Introduction
We are introducing electronic payslips for all staff,
including those who work in schools.
From April 2012, all employees will be able to view
their payslip through a secure website called ePay.
We will be running both the electronic and paper
system together in April, but only electronic
payslips will be provided from May 2012.
Key Features
 Payslip history
• Ability to view previous payslips through the ePay
website.
• The site will hold payslips for the current financial year,
plus previous 5 years (accumulated from April 2012).
 Notifications
• Staff will receive an email alert each month to let them
know their payslip is available.

 User friendly
• The website is simple and easy to use, with clearly
labeled folders and content headers.
 Information provision
• Staff can access useful information such as: payroll
dates and deadlines, tax office contact details and
reference number.

• Improved data security
– pay data will be safely stored, securely password
protected and no longer circulated in the postal
system.
• Improved access
– able to access pay information 24 hours a day, 7 days
a week (useful for staff that are on leave, part-time
hours or term time only contracts).

• Duplicate payslips
– no longer need to pay for copy payslips, as
information is available on the website to print or
download if required (i.e. proof of earnings for loan
application).
• Central information point
– P60, P11d and pension statements may be provided
electronically through ePay.

• Saving money
– Reduces the cost of producing a payslip by over 50%,
from 19p to 7p and we expect to save £56,000 over
the next 4 years.
• Reduced environmental impact
– Greatly reduces the volume of paper we use.

– Improve and remove waste from the payslip
production process.
– Enhance the payroll service.
• Advertising revenue
– We will continue to provide staff offers through
advertisements on the new website.

• Financial saving
– The PY01 service price has been frozen for
2012/2013 at last years rate.
– Anticipated savings from e-payslip implementation
have been used to offset contractual increases, which
are usually passed onto schools.
• No on-site distribution
– You will no longer have to be responsible for handing
out paper payslips to staff.

•Earlier receipt
– Staff will be able to view payslips earlier than current
arrangements, providing opportunity to deal with any
issues sooner.
•Reduction in general queries
– The ePay site encourages a ‘self-help’ approach for
staff.
– More information will be at employee’s fingertips.
