• Materials: Storage
– A predetermined, secure, locked area must be
designated for storage of secure materials – the
principal and School Test Coordinator (STC) should
have the only keys for the duration of testing.
– It is strongly recommended that no one work in the
secure storage area without another person
present.

• Materials: Storage and Use
– Test materials must NEVER be left in open areas or
unattended.
– Test Administrators (TA) should be given access
to test materials ONLY on the day(s) the test is
administered.

• Accommodations for Special Populations
– LEP accommodations are permitted on this
assessment.
– Must be accommodations the student receives on a
regular basis throughout the school year (IEP, IAP,
ACE).
– Accommodations are in place only in order to give
the student with disabilities a level playing field with
non-disabled peers.

• Classroom Preparation
– The classroom must be prepared for testing.
– Manila folders or other visual barriers may be placed between
adjacent computers to prevent students from viewing the
computer monitors of neighboring students.
– If computer labs are configured in rows, care should be taken
that students cannot see the work of students seated in front of
them.
– Seating charts must be completed by each TA.
– Any content related bulletin boards, walls, or posters must be
covered or removed.
– Conduct a walk through to determine that classroom
preparation has occurred.

– Testing signs must be on door.
– If TA does not know students, then an ID must be presented by
the students before testing begins.
– TA must have a list of accommodations for the students.
– Students must have room for materials and to write at desks.
– TA must read directions as written.

reason is a violation of test security.

• Testing should be scheduled to allow students enough
time to complete a test session on the same day it is
begun.
– Review testing schedule and suggested times for each session
on pages 10-11 in the TCM.
• If testing is disrupted by emergencies, lost Internet
connections, lost power, or computer crashes and
students are unable to continue testing on the same day,
the STC should document what occurred as a testing
irregularity and notify the Chip Farman.

• Cell Phones
– If an individual student’s cell phone is seen, rings,
or if there is any cell phone activity while the phone is
on the student’s person during the actual testing
sessions, then the test on which the student is
working will be voided. In such instances, the
teacher is to collect the student’s test and answer
document immediately and have a hall monitor take
the student to the office.
– The student must remain out the classroom until
testing is completed for that subject. An Irregularity
Report and a Void Notification Form must be
completed and sent to the Chip Farman as soon as
possible.

• Cell Phones
– If a student’s cell phone rings and it is with the
phones that have been collected, all students are to
continue testing. An investigation by the Principal
and School Test Coordinator will be conducted when
testing is completed to determine if tests will be
voided
– If a TA’s cell phone rings, is seen, or if there is any
cell phone activity during testing, all students are to
continue testing. An investigation by the Principal
and School Test Coordinator will be conducted when
testing is completed to determine if tests will be
voided due to Administrative Error.

• Administrative Error
– If tests are voided due to Administrative Error, a
retest may be give prior to the next scheduled test
administration.
– $350 charge to school for each retest due to
administrative error.

• How to Avoid a Violation
– Do not examine any test items.
– Do not give students access to test questions prior to
testing.
– Do not copy, reproduce, discuss, or use at any time,
all or part of any secure test booklet or answer
document.
– Do not coach examinees in any manner during the
test.

– Do not alter or interfere with examinees’ responses
in any way.
– Do not provide answers to students in any form written, printed, verbal, or nonverbal.
– Administer the tests in a manner that is consistent
with instructions provided by LDE.
– Follow all security regulations for distribution and
return of secure materials.

– Have a written accounting of secure materials
before, during, and after testing.
– Report ANY testing irregularities to the Principal
and the District Test Coordinator.

• What Happens After a Violation
– The District Test Coordinator (DTC) shall be notified
in writing immediately by the School Test
Coordinator (STC) and Principal.
– The District Test Coordinator (DTC) starts an
investigation process.
– A report of the investigation and a written plan of
action is provided to JPPSS and State
Superintendent within 30 days.

Which students must test in December?
• Students completing EOC courses in high schools
with block schedules
• Students completing the second semester of an
EOC course
• Retesters who need EOC as graduation test

summer or early fall and have not had a
chance to test
• Students enrolled in a Course Choice course and
complete an EOC course in the fall.

Rules for Transfer Students
• A transfer student is not required to take the EOC
tests for courses he/she already successfully
completed for Carnegie credit.
• A transfer student shall be required to take the EOC
test for courses he/she previously took but did not
pass.
• A transfer student may choose to take an EOC test
for a course he/she successfully completed if he/she
scored Needs Improvement on an EOC test in
another course and the student must pass the EOC
test for one of the EOC pairs.

• Test Security Policy
– To the extent that it is feasible and with the
exception of teachers testing students with
accommodations, STCs should assign a Teacher or
Test Administrator who is NOT the teacher of
record to administer tests to students.
• Course Grades and EOC Tests
– Student scores on the EOC tests will count toward
a student’s final course grade.
– EOC test scores for all subjects will be available
two to four days after a student completes all three
sessions of a test.

Alerts
• Rescore eligibility for English II and English III is
available for students within 20 points of the fair
achievement level.
• Automatic rescores will be processed for 12th
graders who receive a “Needs Improvement” on
an EOC test.
– Score must be within 10 points of the Fair
achievement level for non-ELA subjects and 20 points
of Fair for ELA.
– DTCs will be notified of a change in score

• Creating Accountability Classes
– To register students who need to take an EOC test
for accountability purposes, STCs should add a
teacher and class.
• See pages 68 – 69 in the TCM from more information on
adding teachers and classes.
• Teacher, class, and student data has been
automatically uploaded in the EOC tests
system.

• Scheduling Session I of English II and
English III Tests
– STCs need to make sure that all students have
ample time to finish their compositions because the
writing session must be completed on the day it is
begun.
• This session cannot be reopened on subsequent days.
• If there is any reason that a student may not be able to finish
the writing session, do not allow the student to begin the
session.

• Graphics in EOC Tests
– Adobe SVG Viewer was installed on computers with
Windows operating systems and IE8 browsers.
– The new IE9 and IE10 have a native SVG Viewer;
therefore, the Adobe SVG Viewer will not be
needed if using either of these browsers.
• Contract and Shading Items in EOC Tests
– A check is now available on the EOC tests
homepage to ensure that test items that include
shading and contrast display properly.

• Accommodations
– STCs must assign accommodations to all special
education, Section 504, and LEP students before
testing begins so students with accommodations will
receive the correct forms.
– If students will be testing in more than one content
area, the accommodations need only be entered into
the system once.
– Accommodations cannot be assigned after a student
begins testing.
– When an accommodation is not properly assigned, it
must be reported as a testing irregularity and properly
documented.

• One Teacher/Test Administrator AND at least
one proctor monitor students in a room during
testing.
• The same Test Administrator must stay in the
room for the entire section.
• To exit the EOC tests, students must first exit
the test session by following the prompts on the
screen, and then use the Logout button. Not
following these directions will cause the session
to be incomplete.

• Teachers/Test Administrators must close the
secure browser for each student who has
finished testing for the day. The browser can be
closed using these commands: Alt+F4, and then
by entering the administrator password. The
administrator password is on the Teacher/Test
Administrator homepage and is secure.

• STCs have the capability to reopen a testing
session if a student does not finish the test
within the allotted time. Session 1 of the English
II and English III can only be reopened the same
day the writing prompt is begun.
• Session 2 of the Biology and U.S. History tests
can only be reopened on the same day the
session is started.
• For all other tests, sessions must be reopened
within two school days.

• Computer Labs purchased with Carl Perkins
Funds must be used for the programs for which
they were purchased. If a lab is not being used
full time during a day, it may be used to
administer the EOC tests during the time it is not
being used for Career and Technical Education.

– Students who are required to pass the EOC tests as
part of their graduation requirements may retest if they
did not score Fair or above on a previously administered
EOC test.
• Managing Retesters
– Retesters will be pre-populated into retester classes.
– Accommodations must be assigned to retesters.
– If a student is retaking the course, the student will be in
the teacher’s class and NOT the retester class.

Only students with the designated accommodation Extended Time will
be allowed to exit out of a test session and complete it at a later time
within the same day.
Students returning to complete a testing session should be monitored for
interaction with other students during the testing break.
The one-day policy for completing test sessions will apply to all subjects
and test sessions.
Testing irregularities that raise questions regarding test security or
accuracy of test data may result in a test being voided.
If you believe a test should be voided, call 655-2846 immediately.
Voids and irregularities must be scanned and emailed to Chip Farman
by the end of each testing day.

School/District Procedures
• If a student cannot resume testing after a test session is reopened,
 the secure browser should be closed to clear the cache on the
student’s computer.
 The Teacher or Test Administrator should notify the School Test
Coordinator who should contact the District Test Coordinator at 6552846.
 The District Test Coordinator and District Technology Coordinator
should evaluate the situation to determine if the issue is a school or
district issue.
• If online testing is disrupted and students are unable to continue testing on
the same day, the School Test Coordinator should document what occurred
as a testing irregularity and notify the District Test Coordinator by calling
655-2846.
• If the students will be unable to return to testing by the end of the day, the
District Test Coordinator must immediately notify the Louisiana Department
of Education (LDOE), Office of Assessments.

CSV Upload Feature
The CSV upload feature requires completion of the course code field. The
following updates relate to that course code field:
Five point course code class rosters have been uploaded to the EOC system
under the course code for the assessment. Additional students in five point
course code classes should be uploaded under the regular course code as
needed.
Integrated Mathematics I – course 160339 was removed.
Integrated Mathematics II and III were added (courses 160340 and 160341,
respectively).

If a student exits (withdraws) from school before or during testing,
SIS Exit Reason Codes in the appropriate fields of the EOC online
system. The complete list of Accountability Codes and Descriptions
is available on the EOC homepage.

Third-Year Assessment Cohort
• All students in high school must take Algebra I
and English II (or LAA 1) by third year of high
school regardless of enrollment or program.
– Students who transfer in and have already received
credit for both Algebra I (or Geometry) and English II (or
English III) are exempt.
– Students who meet the LAA 1 Participation Criteria are
exempt.
– Students in the GEE cohort who have either taken the
GEE math test or the GEE ELA test are exempt.

Third-Year Assessment Cohort
• Districts will receive a roster. Students must be
entered into the EOC system and coded out.
• Code 96 should be applied to students who are
LAA 1 or who earned one or both units before
coming to a Louisiana public school.
