COMMUNICATION
BACKGROUND
• THE METHOD OF COMMUNICATION EMPLOYED IN THE BANKING DIVISION SECURES A PAPER
TRAIL OF EACH APPROVAL OR TRANSACTION THAT HAS OCCURRED, ENSURING THE EXISTENCE
OF EVIDENCE. WITH THE INTRODUCTION OF EMAIL, THE CONNECTION LANDSCAPE HASN'T
ALTERED MUCH IN A WHILE. THE FBC EMAIL SERVER'S STORAGE CAPACITY IS INSUFFICIENT TO
HOLD EMAILS OLDER THAN FOUR MONTHS, WHICH OBLITERATES ITS PAPER TRAIL.
ADDITIONALLY, WHEN USING EMAIL, THERE IS A PROPENSITY TO ACCIDENTALLY MISS CRUCIAL
COMMUNICATIONS OR FORGET TO COMPLETE A TASK TO THE POINT WHERE YOU NEED TO
BE REMINDED TO DO IT.
PROBLEM STATEMENT
• CHALLENGES THAT NEED TO BE ADDRESSED, INCLUDE MISSING THE REQUESTS ON EMAIL, ACCIDENTALLY
DELETING REQUESTS, AND REQUEST MISS POST.
• THE USE OF EMAIL AS A PLATFORM FOR INTERNAL COMMUNICATION HAS A NUMBER OF DISADVANTAGES
SUCH AS LOW STORAGE CAPACITY OF APPROXIMATELY 680 MB AND IS NOT REMOTELY AVAILABLE.
• ONCE THE EMAIL IS FULL, THERE IS A RISK OF LOSS OF SENSITIVE INFORMATION. IT IS TIME-CONSUMING TO
READ AND WRITE WHEN RESPONDING FOR APPROVAL. SECURITY RISKS, TRANSACTION DIFFICULTY,
TECHNICAL ISSUES, AND LACK OF CONSISTENCY ARE UNAVOIDABLE. THERE IS A NEED TO ENSURE THAT ALL
REQUESTS HAVE BEEN ACTIONED.
OBJECTIVES
