What knowledge do we want the learners leaving the training with? Who is the target audience for the training? What is their role in the organization? What is their experience with Laserfiche? What aspects of Laserfiche do they need to be trained on, relevant to their role? What delivery methods will be used to provide the training? Will we deliver it in-person, online or through recorded videos? Will we work with outside vendors or complete the training ourselves? Over what time period will this training take place? What resources will we provide learners once the training is complete? How will the results of this training be evaluated? Ask yourself these questions to better understand your Laserfiche training needs: Which teams and/ or individuals will need to work with Laserfiche in their daily jobs? How is each team and/ or individual identified above going to need to work with Laserfiche? You may find that different users have different needs. It may be better to segment the training for users based on their job function and proposed interaction with Laserfiche. Users who will only be working with documents in the repository will need different training from users who will be creating electronic forms, for example. Understanding the context in which your learners will use Laserfiche is important to design relevant training within the scope of their specific needs. 7Guide to Implementing a Laserfiche Training Program CHAPTER 1: 5 Steps to Create a Training Program Step 2: Identify Your Training Goals/Objectives Once you’ ve identified your training needs, you need to take that information and create training goals, known as learning objectives. These goals should be SMART: specific, measurable, achievable, relevant and time- bound. You will use these learning objectives to measure the effectiveness of your training. Each learning objective should be made up of four parts: The person who will perform the objective. The behavior that this person must perform. Conditions under which this behavior must be performed. The criteria, or degree to which the person must perform the behavior. Some sample Laserfiche learning objectives are: Department managers will be able to submit, view and perform actions on forms in the Laserfiche Forms inbox as they are assigned and by the specified task deadline. When designing your training, consider and try to incorporate the various ways that people learn, including hands on learning, auditory learning and visual learning Consider training materials to be used in the training itself, as well as materials to support the transfer of the new knowledge and skills into the work environment, such as process diagrams or job aids. You might consider filming your basic, how- to training and making it available via the web so that you don’ t need to repeat common content that everyone needs to know over and over again. Keep track of frequently asked questions as you’ re going through the onboarding process, and document the answers in a page on the intranet. That means purchasing any conference passes or online certification courses. You can also implement a “ train- thetrainer” approach and train a limited number of individuals who then train the rest of their team. If you are hosting your own in-person training then make sure you book the room, and let employees know of the training ahead of time so that they can fit it into their schedules. A sample checklist for hosting an in-person training event is included at the end of this guide. Don’ t forget to plan for ongoing training. In order for people to stay engaged with the project, they’ re going to need to feel comfortable with the new processes and technologies. Even if you do initial launch training, people are bound to forget what you taught, or get going with the system and have new areas of interest or focus. Plus, new hires start all the time! So, it’s important to host regular, ongoing trainings. Classroom training is great for people who are struggling to understand the new technology because it gives them a chance to raise their questions. Web- based training is good for the content that everyone needs to know, and is also scalable and flexible. After training has been completed, evaluate it to see if it has resulted in your employees meeting the learning objectives. You can evaluate the training by sending employees a posttraining survey to gauge the effectiveness of the training from their point of view.
