Executive Summary:
Kronos XP operates in the events and team building sector. With the pandemic leading to significant
changes in its service offering, moving from face-to-face to 100% online activities Kronos XP realized
the huge need for the optimization of operations and internal management. With the help of Cofinia
Conseil, Kronos XP implemented Zoho Books and Zoho Expense, to manage the financial and
accounting part, which was the weak point of the company at the time then opted for Zoho One to
optimize all its operations and internal management.
Introduction
Mélanie, CEO and co-founder of Kronos XP, initially chose an accounting software that worked on a
Mac. However, over time the software proved to be costly with frequent bugs and outdated
features, coupled with poor customer service, leading the company to seek a better alternative.
Mélanie and her team faced a growing need for efficiency and had to find a solution that would
meet their evolving needs. With these challenges, they began searching for a more suitable
alternative.
The Business
Kronos XP is a business located in Québec, Canada with 5 employees. Founded in 2006 under the
name Coeur à l'ouvrage, the company has been in business for 16 years and recently reorganized its
youth division to be known as Kronos XP. The CEO and co-founder, Mélanie Verrett, is the main
point of contact for this case study.
With 16 years of experience in the industry, Kronos XP is a well-established company known for its
expertise in delivering unique and memorable experiences for its clients. As a small business, Kronos
XP is able to quickly adapt to changing market conditions, making it an attractive partner for
companies looking to create memorable experiences for their employees or customers.
Under the leadership of Mélanie Verrett, Kronos XP has earned a reputation for excellence and is
poised for continued growth and success in the years to come.
The Challenge
Before implementing Zoho, Kronos XP was using an accounting software that had been in use for ten
years. Over time, the software became increasingly expensive to maintain with frequent updates,
bugs, and outdated features. The software also had poor customer service, which added to the
challenges faced by Kronos XP. As a result, the software was no longer able to meet the growing
needs of the business.
Kronos XP was also relying heavily on manual labor for its accounting processes. This created
inefficiencies and added to the workload of the small team. Additionally, the lack of a centralized
system for workflows led to a scattering of information, making it difficult for the team to stay
organized and keep track of their work.
These challenges were adversely affecting the business by reducing efficiency, adding to the
workload of the team, and hindering their ability to keep track of their work
Finding a solution
In order to overcome these challenges and meet their growing needs, Mélanie did extensive
research on the different systems available on the market and finally discovered Zoho Books while
attending a trade show in Montreal. She was particularly interested in the diversity of features, the
multiple other Zoho applications that could be integrated together, and the significant opportunities
to optimize her operations.
By implementing Zoho, Kronos XP was able to improve efficiency, reduce manual labor, and
centralize workflows, allowing them to focus on delivering high-quality experiences to their clients.
Working hand-in-hand with Cofinia Conseil, Kronos XP was able to make a smooth and easy
transition to the zoho apps. Following Cofinia Conseil’s process was easy, from implementation to
the trainings and support, Mélanie found that the partner helped her get a solid background to be
able to use Zoho seamlessly.
Implementation and Results
Melanie started with the implementation of Zoho CRM, which quickly became a core part of
KRONOS XP's business. Having a first positive experience with Zoho software and being already
looking for a good accounting system, it was the logical next step to adopt Zoho Books and Zoho
Expense, to manage the financial and accounting part, which was the weak point of the company at
the time.
With Zoho tools, especially Zoho Books, Melanie was able to optimize the time and resources of
KRONOS XP and have a better view of her company's financial health: this allows her to make more
effective and realistic financial decisions from now on.
The simplicity of integration and the interconnected applications allow information to flow easily
between the different tools, the information in Zoho CRM is accessible from Zoho Books, and vice
versa. All information is therefore consolidated and quickly accessible for greater efficiency.
