SAP PM offers organizations the potential to enhance maintenance
processes, but several prevalent issues can hinder its effectiveness. It is
crucial to identify and address these issues to unlock the full benefits of

We have noticed that a number of work orders have been opened for the issuance of spare parts but
then closed without any planning for labor hours, labor capacity breakdown time, spare parts
confirmation, task list, or cost settlement.
This is a serious issue that could lead to increased maintenance costs, reduced asset reliability, and
safety risks.
Gap Analysis
1- Incomplete Work Confirmation:Closing work orders without proper work confirmation leads to a lack of visibility and accurate data
on completed tasks.
• Inadequate Cost Analysis: Work confirmation is essential for accurate cost analysis, including
labor and materials, enabling better budgeting and cost control.
• Limited Historical Data: Incomplete work confirmation hampers the availability of historical data
for analysis, preventing insights for process improvements and decision-making.
2- Incomplete Resource Planning:Properly defining tasks, activities, and operations is crucial for estimating the required resources
(such as labor and materials) for maintenance activities. Without this information, it becomes
difficult to plan and allocate resources effectively.
3- Limited Cost Analysis:Accurate cost analysis relies on capturing all relevant details in work orders. Without defining tasks
and activities, it can be challenging to attribute costs accurately to specific maintenance activities or
equipment.
4- Inadequate Performance Metrics:Performance metrics such as MTTR and MTBF rely on capturing accurate data,
including time confirmations and activity confirmations. Without these
confirmations, it becomes difficult to measure and analyze performance metrics
accurately.
5- Inefficient Work Order Management:Work orders should serve as a comprehensive record of maintenance activities.
Focusing solely on reserving spare parts without defining tasks, activities, and
operations can lead to incomplete documentation and hinder effective work order
management.
6- Inefficient Master Data management:Lack of proper master data understanding hampers maintenance planning and
scheduling. E.g. Functional Location task lists and its objects, Equipment BOM and
its objects.
Suggestions
1. Emphasize the importance of capturing detailed information in work orders, including tasks,
activities, and operations. Ensure that staff members understand the value of tracking and
reporting these elements accurately.
2. Implement standardized processes for work order creation that include capturing tasks, activities,
and operations. Provide training and clear guidelines to staff members on the importance of
accurate resource planning.
3. Emphasize the importance of cost tracking and analysis in maintenance management. Encourage
staff members to enter tasks, activities, and operations to ensure comprehensive cost tracking and
reporting.
4. Communicate the significance of performance metrics in evaluating maintenance efficiency.
Implement processes to ensure that time and activity confirmations are entered for each work
order.
5. Establish a standardized approach for creating work orders that includes capturing all relevant
information, including tasks, activities, operations, and spare parts. Provide training and support to
staff members to ensure adherence to the defined processes.
