Company Name Employee Equipment Policy Purpose Company shall issue all employees a laptop and/or desktop and other equipment/ gadgets appropriate for their roles and responsibilities in the company. These equipment are business tools which the company entrusts to all employees working remotely. As such, everyone is expected to secure and maintain the laptop/ desktop as well as the data on the equipment at all times. Procedures for Equipment Physical Security, Use and Care 1. Each employee provided with an equipment is responsible for the physical security of the said equipment. All equipment acquired for or issued to the employee by the Company are deemed to be company property. 2. Employees should not install software or hardware or change the system configuration including network settings without the consent of Management. 3. Employees are expected to protect all equipment and accessories from damage and theft. 4. The employee shall thoroughly check the equipment upon issuance. 5. All employees must take the following actions to ensure the physical security of their company-issued laptops: When not in use, the laptop must be locked with a password and caution taken when entering any company passwords on the laptop. Store the laptop in a locked cabinet or desk when not in use. Do not leave your laptop in your vehicle. If it is necessary to leave the laptop in your vehicle for a very short period of time, the laptop must be locked in the trunk of the vehicle. When using the laptop in public areas, do not leave the laptop unattended for any length of time. During travel: Do not pack your laptop in checked-in luggage. Attach a name tag or business card to your laptop to easily identify it during security checks or if lost. Store the laptop in a hotel room safe or locked suitcase when you are not in the room. 6. The company equipment should be secured at all times and passwords should never be shared. 7. The company-issued equipment is for the exclusive use of the employee and should never be lent to family members or friends. Guidelines 1. All equipment shall be covered by an equipment insurance policy. 2. All employees shall be issued an equipment and shall sign the Employee Equipment Agreement. 3. In case of damage or loss, the employee shall file a report to management on the incident. 4. Likewise, the employee shall submit all documentary requirements of the Insurance Company. 5. Employees are expected to report any incident concerning the equipment (e.g. defect, accident, loss, etc.) within twelve (12) hours of its occurrence. 8. In case of damage or loss, the employee shall cover the deductible required by the Insurance company for the repair or replacement of the unit, unless the damage or loss is deemed to be not the fault of the employee or beyond the employee’s control. 9. In the event of separation from the company, the laptop and its accessories shall form part of the employee’s accountability to the company and shall be returned accordingly. 10.
