INFORMATION TECHNOLOGIES IN PROFESSIONAL ACTIVITIES Practical seminar № 2 MS Excel: linking tables and data consolidation The goal: study how to make links between tables and consolidate information. 1. Create three tables with information about prices for software (see the example figure 1). Create separate tables called "Price list (month)" with months of the 1st quarter- January, February, March. Locate each of these tables on the three separate worksheets. Name these worksheets "January", "February", "March". 1.1 When you will create these tables make links between them: • • • • select the range of rows and columns that you want to use in the linked table; use the "Paste link" to paste the selected rows and columns in the linked table; do this exercise to make tables "Price list February" and "Price list March"; information about the prices (column Price) put manually according to the data below (Figure 1). 1 Figure 1. 1.2 Change information in the cell A7 of the table "Price list February" and see how the corresponding cell in the table "Price list February" changes. Try to change the text in cell A7 of "Price list February" table and make conclusions about the direction of the established connection. 2. Create tables "Shipment_January", "Shipment_February", "Shipment_March" on the separate worksheets. Name these worksheets: Ship_Jan, Ship_Feb, Ship_March. To conduct this task, please, use the example in figure 2. 2 Figure 2. 2.1. For cell D4 of the table "Shipment January" activate command Formulas → Trace Precedents. You will get a blue arrow and a link for the table with incoming information. 2.2. Create two more tables on the two separate worksheets: "Shipment February" and "Shipment March". Name these worksheets: 3. Total revenue calculation Create new table "Total revenue for the 1st quarter" in the separate worksheet. Name this worksheet "1st quarter revenue". Add new row in this table "Name and Model". Put in this model information about names and models together. You can use function CONCATENATE. Try to make a space between Names and Models: "Sony A1". It should not be like this: "SonyA1". To create this table, please, use the example below in figure 3. 3 Figure 3. 4. Data consolidation Make separate worksheet "Consolidation". You have to use command CONSOLIDATE. That command you can find in main menu DATA → CONSOLIDATE. Please, consolidate data by two different ways as on the example below (figure 4). Use three files "Excel_Consolidation_Broker_April", "Excel_Consolidation_Broker_May" and "Excel_Consolidation_Broker_June". Make formatting as in the example below (figure 5). Create new file and consolidate the information by Dealers and Stocks from three files "Excel_Consolidation_Broker_April", "Excel_Consolidation_Broker_May" and "Excel_Consolidation_Broker_June" as in the example below (figure 6).
