Introduction Due to the prevailing covid situation in the country, this session had to be taken place via an online platform which was the Microsoft Teams App. Dependent on the nature and scope of the event, we had to seek the services from our institute to help in the planning and management of the event and with regards to inviting a group of audiences as well. Interpersonal skills are important for communicating and working with groups and individuals in your personal and also in the professional field. People with strong interpersonal skills tend to build good relationships and have learned to be a bit flexible in situations that have to be in order to work well with others. Due to this people often feel comfortable while working with colleagues who have good interpersonal skills. Further, the ones who posses’ interpersonal skills include the ability to solve problems, to make good decisions, ability to understand others to come to the best solution or make the best decision for everyone involved in the task provided. Many organizations intend to hire staff with strong interpersonal skills because these individuals work well in groups and also collaborate with their members effectively. People with high interpersonal skills also turn out to become good leaders because of their ability to communicate with and motivate those around them. By sharing the workload in regards/in favour of the project, Realizing and understanding that each individual or a group of individuals posses somewhat of interpersonal skills was obvious. These interpersonal skills were evaluated and likely in favour to the roles appointed to the individuals itself. Considering that fact, below are the responsibilities and the interpersonal skills the relevant roles cherished. Leader/chairperson- Abilash Rajkumar Being the leader and overall in charge of this group project, Abilash had many responsibilities in order to make the project keep going forward by showing a positive progress and his duty was going on well since he had been possessing a number of interpersonal skills that a proper leader should posses. Abilash naturally had the motive on making the group deliver a perfect outcome and by using his, communications skills, his motive and goal was clearly understood by each and every individuals of the group itself. Furthermore, the utmost highlighted skill which stood out apart from the other individuals was the ‘active listening ‘and ‘trust worthy’ which nowadays many other leaders fail to possess. Co-Leader/Secretary - Keerthana Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 22 of 58 Calling/Appointing Keerthana as the co leader/secretary was no mistake. She had been in charge of the group’s complete documents had being retaining the skills of ‘writing’ which was an adding advantage to the group itself. Also Keerthana has been the individual which has been providing the plan and making sure the work goes accordingly as per plan and motivating individuals about their duties and responsibilities with regards to the project was a special skill evaluated from Keerthana. The Generalists – Usman Rushdhi , Hakshaya and Jason This set of individuals has been a major backbone to the whole group itself. The reason why stating backbone isn’t wrong is that they have been providing and sharing their knowledge which resulted to a perfect satisfied outcome as per expectations. They have skilful by being ‘the curious learners’ in the group and also carrying out experiments like how it works and what is all about with regards to this. Editor/ Designer – Hevin Nichola Also known as the “creative one” in the crew. This particular individual is in charge of the project’s deigns edits and make it look cooler and class in order to give the best first impression to the audience. He has been holding the group’s highest ‘creative skills’ and through the skills he has possessed, the outcome and overview of the presentation looks more attractive to the general audience itself Further, Hevin has been an active listener too and collects ideas from the other team mates and executes in order to receive a good outcome from the presentation. The Time keeper – Mohamed Umair Fazil Umair was in charge by being the time keeper. His duty was to collect minutes of the meetings and he was responsible on preparing the group’s Gantt chart and the events agenda as well. Umair used to be the character that possesses the ‘Time management skill’ too. By this he used to motivate the fellow team mates by encouraging those to work on time so that the group receives it expected outcome from the presentation. Coordinators – Mohamed Akram ,Abdullah Azmi and Krishikhan These were the group of individuals who delegated tasks to each sub crew /team members in the group. And once the necessary tasks are being completed, if there is any additional changes to done the coordinators will be checking them and changing them with the awareness of the members who submitted it Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 23 of 58 Once the coordinators complete the check, they pass the relevant to the reviewer which was Keerthana for a further crosscheck. The coordinators in the group were responsible if the relevant task are not completed by time and by this their interpersonal skills with regards to this was also identified by being the responsible and do the negotiations. Event Managers- Mohamed Rifath Fouz and Richard Rifath and Richard were totally in charge in the day of the seminar. They were in charge in controlling slides, checking for all presenters’ connections, testing the voice of the presenters and so on. They too were the individuals with creative interpersonal skills and use to advice the presenters on how to deliver the presentation to seek attention of all online audience. The key skill which was noticed and can be emphasized deeply was that they were the experts to handle by being calm under pressure on the day of the event. Implementers – Ahamed Hamas and Methu Once all parts are being fully completed, the implementer’s role comes in to play. These were the individuals who prepared the contents of the presentations and they join each section together and create the final outcome of the presentation. They had been one of the finest ‘team workers’ and was flexible in changing the order of the presentation according to the preference of the presenters choice so that the overview of the total audience turnout to be a positive one. Researchers of this project Since the topic chosen by the crew was a challenging one, it was not possible for only the generalists to focus on. A goal can be simply called as the utmost target/expectation of a specific task that is expected to be achieved by completing the end of the task. (Anon., n.d.) Here plays the SMART goal approach. This SMART goal approach is used to help guide the goal which motivates towards planning useful objectives. SMART is an abbreviation for ; S - “Specific” M - “Measurable” A - “Achievable” R - “Relevant” T - “Timely” Specific – Make goals being specific, particular, and limited for the best effective plan Measurable – The goal made is quantifiable and has to be tracked for its progress to know whether the outcome will come as per expectations. Achievable - The goal made to get the needed outcome being realistic and achievable by using the limited tools and resources you get. Relevant – The goal being aligned within favour to the group and also to the general audiences Timely – Remembering that the goal should be having a deadline and will the goal be achieved by the deadline or before the deadline (Merrihew, 2017 Jun) Reasons why setting goals are important? Specifically, setting goals can make you be aware of what you need end of the task, and by setting goals; motivates you to go further in order to achieve the desired outcome. The general goal of this project is to provide a clear understanding to the general audiences of what is computer networking totally about and also making sure that they develop their knowledge skills by gaining some knowledge from the training session. Objectives What is an Objective? An objective refers to the specific steps a team/group will take to achieve an expected outcome. The result which is achieved is the goal. Hence the term ‘goals and objectives in other words can be simply defined as, my goal is what I want to become, while my objective is how I plan to get there. (Anon., 2019) Reasons why setting objectives are important? It creates guidance towards the goal; Team members become more vigorous and dynamic in their work when they know what would be the expected result of them. Due to this, their operations of work are more centralized with less wasted time. The objective of this project Making sure that the deadline is maintained and no further extensions happen. Making sure to achieve the perfect targets to get the perfect outcome. Deliver/Share many ideas with regards to the workshop. Creating the project slides in a creative manner. Reducing the word count in the slides so that it gives and pleasant out come. Appointing the skilful presenters and other roles in favour to achieve the expected goal. Event Roadmap Managing time was one of the main activities when planning on conducting the event. Considering time as an important factor the time management agenda we followed; within the time period of two months we broke in our plan completing each activity within week after week out of the eight weeks given. We worked tirelessly in order to get the perfect delivery of this project organized. Delivery in generally refers to the process of turning strategies and the plans into posstive actions in order to achieve the goals and objectives. Week 1 Informing and Formation of the group. Abilash and Sumedha was been appointed as leaders by the lecturer itself. She informed them to form a group of 15 members each since there was 30 odd students in the class and fortunately I myself fell into the group of Abilash. We started to hunt for the best one in our batch and since this total formation and hunting was taking place online we had less idea about the batch mates and their skills possessed. Once the group was finalized with its members, by the end of the week 1, we spoke and created a Whatsapp group and introduced each ourselves to every participant in order to save the contacts and know each other who is going to be a part of this project journey Week 2 Appointing roles and preparing of discussion for a topic. Once the group was formed, introduction had taken place and the roles were appointed, we teammates had together come out with a topic for us to conduct our presentation with. Many ideas came out in the field of ICT itself. It took a couple of days collecting different ideas and analyzing them to see whether if it be possible for us to get the perfect outcome anyone expects. Finally by almost the end of week 2 we were able to filter ideas and come out with a topic to do our project and assignment. Week 3 Planning a proper lesson plan and dividing sub topics. We prepared certain tasks in order to present the main matters in a logical and an understanding order. We were on the process of publishing a lesson plan, which included the following below; Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 29 of 58 The title of the training session – “Computer Networking” The General goal of the training session which is making sure that the target audience develops their networking IT related skills. Key points to be covered during the session such as Networking protocols and Network security. Training materials required for instruction such as videos, creative slides etc. Deciding on coming up with interactive activities. Deciding to prepare questions in order to evaluate the knowledge of the target audience. Apart from this by the by week 3 itself we gave certain activities to the participants with regards to the presentation where as two individuals were given a topic to complete a research on and prepare their part of information and give for submission. Week 4 Gathering information, activities and preparing ourselves with brainstorming and team dynamics. Gradually Team mates started mailing the needful to the relevant in charge individuals in the group and some individuals had to keep checking on them to know the progress of the task and also to speed up the process. By this time we got to meet each ourselves since our institute opened for physical classes and got to meet each other too. We a team of 15 members and each of us have different age, qualifications, experience, skills, and methodologies of training, had to put all our knowledge together in order to achieve our set goals and make this a successful session . I as a human being personally believe that no matter what before any session you have to prepare yourself to do your best. Hence, we decided to prepare a guideline to practice ourselves and while the team members having to tell the leader where they were going wrong as practice makes man perfect. We believed that this will enable us to improve our presentation skills along with our level of confidence. Not only that, it’ll also enable us to foresee any technical or logistical difficulties and prepare or selves with back up plans for any contingencies. Attracting the attention of the audience was one of our key goals. Hence, some had to overcome the presentation phobia as they had to ensure they wouldn’t feel uncomfortable while conducting the session even if it is planning to online. We had to make it a point that our performance is not what mattered but the message that is being delivered. Audience will be there in order to learn something from us; therefore we had to ensure that we deliver the message even though we might feel nervous just in case. The leader motivated us by putting the nervous energy in to an energetic motivation. Another factor that helped us succeed in this matter was the way we communicated with each other and the various methods we had to come up with in order to connect with the Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 30 of 58 audience. The brainstorming discussions we had helped us correct the wrong . We even identified some of the SWOT by this time. Week 05 Preparing of slides and a contingency plan By this week leader, coordinators and related role individuals gave their replies and informed the researchers to prepare not more than 3 slides for the topics given to them. They started getting themselves busy on that schedule and then a contingency plan also was prepared. The contingency plan is formulated after we have conducted a risk assessment (SWOT analysis). It was necessary for us to undertake a contingency plan to prepare in advance for situations that may possibly arise. The art of problem solving in the day of the event is in the hands of the leader and the project managers. He had to make sure the platform provided had the presenting facility, sounds, videos and many more. It was one of our targets that the individuals remain as flexible as possible to the material presented. We idealized to conduct this session with the audience having an opportunity in learning networking using computers. Several activities were idealized and needed the use of computers and at the same time as we wanted to improve the IT and soft skills of our audience. Having conducted sessions with the use of computers will help them prepare for their future careers as well. Integrating technology was an effective way to connect with all audiences of learning styles. Considering the capacity of audiences and computers we had to decide on a plan on proper time management for an equal amount of people. As ESOFT had plenty computer labs and we having a general estimate of 70 audience to arrive decided to speak to Miss Madushi regarding to make necessary arrangements to arrange a computer lab to do the necessary as we expect. We also had our have a backup plan to our idealization. The reason was mainly because of the global pandemic which was happening around us. Not knowing what will happen around us since the number of patients started to rapidly increase by this time doubted whether would we have to take this session to an online platform with a virtual audience as well. Week 06 Completion of the complete presentation slides, preparation of Agenda and Rehearsal/trail -1 Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 31 of 58 By this week as per prediction we had to turn online. The entire slides were prepared and minor changes were made in a convenient way to online. Presenters had to be hunted among us and had to get themselves prepared in a proper tone of communication in order to attract the audience and give them a positive impression and understanding The timing of the event was crucial to its success. It is important to find out when other events are being taken place online at the same time period that our event does not suffer from poor attendance. Consideration also needs to be given to the time of day our event will be running. This must fit with our topic, the concept and target audience as well. Also, be mindful of the length of the event as this can impact significantly impact the given time and participation numbers. Week 07 Team briefing, Preparation of Feedback form and Rehearsal/trail -2 This was our last rehearsal and then would be the event. Everything was well organized from the vocals of the presenters till the slides in the presentation everything looked to its perfection and was set for its final rehearsal. Meanwhile a feedback form was created in order to circulate among the audience. We organized a small brief session for everybody involved to go understand and know the program schedule/run sheet when the final rehearsal was done. In addition, explore the contingency plan that we have in place, so other members of the team are briefed of the duties and responsibilities in case of any mishaps. Make sure the voice has been tested prior to the event and slides are been kept ready. Critical reasoning of problem-solving scenarios in the event Critical reflective report A critical reflective report is defined to be as writing that outlines an individual’s basic critical reflection on a subject or an event. Reflective reports are frequently used as part of the assignment of practical projects. In group projects, personal reflective reports can document each individual’s own particular commitment to the total work. Introduction to my critical reasoning report Our crew was formed in order to complete an assignment on “Demonstrating a range of interpersonal and transferable communication skills to a target audience”. The aim of this report is to reflect my experience on our group assignment. In this report I will share and discuss my experience in relation to the formation of our group, organization of work, problems which arose, how we overcame those problems and how we managed our group work. Group formation This is the initial stage. This was the time when the group members and the tasks of the an individual/group of teammates was to be decided. Students were able form their own groups, as the lecturer gave us some time to form our group, so we selected our group members and formed a group of 15. Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 34 of 58 The leader was selected by the lecturer itself to make communication smooth and clear, and finally Abilash Rajkumar ended up being the leader for our group. We together discussed a bit about our group assessment and what needs to be done. Everyone shared their ideas on the project and was aiming to give their fullest support towards this project. Organization of work The first challenge faced after the formation of a group was the means by which to start the work to finish the presentation on time. At first stage we were kind of isolated, by the time realizing and undertaking little pieces and joining them together accordingly, the pieces of the puzzle was allocated to parts to each colleague. Built up a class of events was the most appropriate approach to finish the task on time, so we chose for each sub topic when it should be finished. Finally all team mates knew who will do what, in what arrangement and by when. Understanding and a managing group processes Including everyone and their ideas We allowed everybody to contribute their ideas regarding this workshop. Our objective was to deliver many ideas as possible that could be expected under the expectations of the participants. We listened to every ones ideas precisely and afterward we specified every one of the ideas in a book so that we remember them or they don't get misplaced. By utilizing this approach, we enhanced our group work a ton and did some imaginative alterations too. Group leadership Group leadership helps to work group more effectively, so the chosen leader was Abilash and he was in charge of choosing the team members which resulted by himself choosing us. Problems encountered during the group project Floundering While we were figuring out the tasks and were trying to decide everyone’s role for this project, the group work got a bit delayed and some work got even got postponed. Dominating or reluctant participants Some of the group members were taking the lion’s share of the discussion by talking too often, by being a bit dominant and by not letting others finish. While others were speaking rarely as they were having difficulty to get in the conversation and also get interacted. Finding good presenters As some group members were ready to be the presenters of the presentation, it was not sufficient for them to cover the complete schedule. There were very less volunteers who were willing to present. Errors in prototype Though numerous checking took place, once the rehearsal took place the team members itself felt like the presentation of some subtopics were too lengthy to witness. Getting stuck After collecting some of the case background and highlighting some problems faced, we got stuck at some solutions or possible strategic solutions. This issue was moving our group progress quite down than expected. Problem solving Solving out a problem which arises unexpectedly wasn’t easy as a group to anyone of us. This is because once a problem arises, the entire crew gets de motivated and also the wastage of time with regards to this is quiet high and also a waste. Once a problem is identified, it is necessary to generate potential solutions. Brainstorming What is brainstorming? Brainstorming is a combination of relaxed, indirect technique to problem solving with lateral thinking. It motivates one another to come up with different thoughts and ideas that can, at first, seem a bit insane. These ideas can be created into original, creative solutions to a problem, while others can shine even more ideas. This helps to get teammates unstuck by motivating them out of their usual ways of thinking. (Osborn, Sep 2018) By brainstorming we are trying to open up possibilities and break down incorrect assumptions about the problem. Which problem/s brainstorming was used? Floundering Getting stuck Why did we use brainstorming? When used this problem solving method, brainstorming brought team members experience into play. This increased the richness of ideas explored, which means that we often found better solutions to the problems that we face. What more, brainstorming is fun, it helps team members interact, as they solve problems in a positive and in an open minded itself. This was the step one; Setting up a comfortable meeting environment. Since most of our meeting we done online and we had a couple of sessions physically at our lecturer room itself. This was a chance where we got to meet every teammate directly and organizing the meeting inside the lecture room was an adding advantage because of the environment and how it looks. Presenting the problem to everyone. Step two; Abilash being the leader of the group had to present the problem to the group in the meeting. He also made it clear that the objective of the particular meeting was to generate many ideas as possible. Guiding the discussion. Step three; Members of the team started presenting ideas and different roles to appoint for a group project. Once one member starts presenting an idea, building the same idea further was an adding advantage of this group brainstorming. So by this many individuals’ skills were too realized and according to that roles were too appointed. The unexpected twist which happened while brainstorming was taking place, a part of the SWOT analysis came into play. By this we were able to note down some Strengths of each individuals, Opportunities which were received, Threats which was there and was about to come and the weaknesses of the individuals. Finally the end result of brainstorming resulted in, Appointing proper roles to the teammates according to the skills they possess. The areas which some of the team mates were stuck got their doubts clear. Identifying some Strength, Weaknesses, Opportunities and Threats. Understanding the whole project concept afterwards. Teammates turned to become more interactive with their fellow teammates because of the physical environment. The word “SWOT” abbreviates for Strengths, Weaknesses, Opportunities, and Threats, and so a SWOT Analysis is a problem solving technique which was used in our team for achieving goals and objectives. Which problem/s SWOT was used? Dominating or reluctant participants. Finding good presenters. Why was SWOT used for these problems? The reason with regards to this was simple. By analyzing each and every individual’s Strengths, Weaknesses, Opportunities and Threats it made the group to understand how this set of information will result in achieving our goal. How was SWOT analysis used? As stated previously under Brainstorming, this was an unexpected twist which happened. While brainstorming was taking place in the final stage, was, SWOT analysis too came into play. By this we were able to note down the some Strengths of each individuals, Opportunities which were received, Threats which was there and was about to come and the weaknesses of each individuals. Good speakers were also realized when this session was taking place by seeing the way they speak out by presenting their ideas. Finally, by the end of the main presentation, we were able to summarize the strengths of individuals’ possessed and the strengths which were realized by the end of the presentation. Below are the strengths which were noted down; The well technical knowledge of our teammates on writing, networking, web, communication. The knowledge on the IT industry Education qualifications related to this which can be justified by certificates, awards and so on. The higher level of experience of our team members. Willingness to provide assistance when required. Weaknesses Admitting the fact that there were good speakers in the crew resulted in some of the being reluctant because they felt like the participants who were good at speaking skills were a bit dominant too in the day of the meeting session. Furthermore, weaknesses were taken in to note occasionally until the final presentation took place. Below are the weaknesses which were noted down; There was an unequal participation when it came for some works which were divided. Due to this some participants started to avoid work. Individual thinking started to lack rapidly. Opportunities Through the physical meeting we realized some opportunity which we had as an adding advantage to our project. One been; Two individuals n our group was a bit more specialized in the topic we chose. Another opportunity that was noted while the physical meeting was taking place was, while speaking further there were some individuals who has done presenting presentation for a live audience ,so making them do be an online presenter was not hard. From the time the lecturer informed us to prepare on a presentation till the day of the presentation we noted down the opportunities we received from both internal and external environment. Below are the opportunities that were noted down; Session should be conducted online, due to that the whole crew’s nervousness was a bit less. Class lectures and explanations were done online and due to this the sessions can be recorded to revise incase. Having a lecturer who knows networking and who also was teaching us was ready to support us with the presentation. Having two individuals who were more specialized in networking compared to others. Some teammates had already an experience in doing presentations to a live set of audience. Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 40 of 58 Threats If the whole project went according to plan without weaknesses and threats there wouldn’t have been a certain interest like to boost ourselves up. No work will go always according to the plan itself .Same happened to us as well. Although trying to do the session online was easy, there were many threats we have to face by doing it online. Due to the global pandemic everyone is facing not only we had to conduct our session online, we had to also learn about the project, conduct meetings and do team work all online. This was one of our major threat we faced thinking it was an opportunity to us was a mistake. Not only that below are more few threats we faced that a listed in a summarized manner; Many meetings had to conduct online, due to that there was lack of attendance. Our batch coordinator informed us that she will be proving the necessary audience, due to this it was a threat because we totally had no clue of what type of audience they were, age, and also which stream they were following. More excuses were given by some teammates since all were at home and did not get to meet each other a lot. Power cut and connection issues were also threats to us because due to these teammates lost interest at some point. Introduction The aim of this task is to reflect my experience and contribution on our group towards the training session that was conducted. In this task I will share and discuss my role, contribution, my skills and knowledge to meet the goal of this project. Me in my team; I was been appointed as one of the coordinators and as a researcher as well. I personally being a very interactive and a socialized individual resulted me in receiving plenty of work with regards to the project. Coordinator What is a coordinator? Their duties include performing specialized tasks, monitoring a team of staff members and establishing good relationships with them in order to get the work done. (Inneed, Apr 2021) Critical evaluation of my role and contribution to the group Collect data to gauge satisfaction and success I used to collect feedback, concepts and ideas from my teammates, the lecture of this particular module and also from the other group who was also to present a presentation. By this I was able to analyze certain ideologies, certain concepts and mostly a set of feedback to the group. By this it was easier in order to achieve what we were aiming for. Communication with participants or about project and event in order to achieve goal I used to have serious conversation with my fellow team mates with regards to the project in order to achieve a certain task and a milestone of the project. Doing this used to prevent the team mates from lack of concentration and also prevented from losing interest towards the project. Managed deadlines and progress across the team in accordance to make sure the project is delivered on the particular time. I being appointed as coordinator had to responsible similar to the timekeeper of the group as well with regards to making deadlines and also making sure that needed tasks are finished in the needed time. And under this topic we successfully prepared few slides on what is network topology and what are the types of it. While preparing the slides with regards to this, we learnt many additional knowledge and by this myself and my colleague’s knowledge skills were being developed 3.2 Discuss the importance of having dynamic team members in a group to meet its goals by referring to the role assigned to the group members and analyze how team dynamics among your group members effectively helped to achieve the shared project goal. Team dynamics Introduction A good team dynamics start with well trained and experienced event organization. As one of the Coordinator of this crew, it was also up to me to define the nature of the team through smart staffing, positive guidance and fair dispute resolution. Every successful team has some common characteristics that open the way towards the success. While working as a group to conduct this session, we made sure that our goals, rules and roles were clear while communication and participation were present as well. Goals were successfully set and the team was working towards improving the networking knowledge and soft skills of the target audience. Personal effectiveness, working with others, use of initiative, negotiation skills, assertiveness and social skills lead use for achieving what we wanted. How we achieved the goals with team dynamics Firstly the thing that we had to do together was selecting the best suiting topic to the target audience. We had to do a bit of research on events similar to this being conducted in other online platforms as well. Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 43 of 58 As selecting the topic on computer networking had a greater advantage as it’ll establish our target which was enhancing the soft skills and networking skills of the target audience by educating them on what is computer networking and based topics with regards to computer networking. As a coordinator, I too had to ensure that I kept complementing and cheering the various skills of my team members as that will lead to a speedy and efficient work. The leader too used to compliment on each and every idea expressed by them while pointing out the pros and cons and discussing everything whole heartedly. This was one way that made my team be effective enough as effective dynamics was one way that could make each participant to serve in its best capacity. Their unique personality, the level of trust KINGPNG) amongst each other and the ideas they also present healthy conflicts, accountability, and the focus of achieving the desired goal were some primary elements of a positive team dynamics in our group. All team mates were dedicated to achieving the set goal where they kept sessions in order to evaluate and enhance their own level of CPD. The team dynamics in our team understood how each of the team member’s distinct role and behaviours influenced or impacted other team members, their activities and the team as an entire perspective. We knew positive team dynamics was the key way to the success of this event. Hence there were few strategies that we as a team followed in order to succeed our goals and objectives. In order to provide knowledge to our chosen target audience on Continuous Professional Development, we knew that us working together is what’s going to be the foundation for the real outcome. During this time, Abilash being the leader of the team had made it a forum to point out a few weak team dynamics and how it’ll impact our session negatively, in case if positive team dynamics were not practiced. We spoke regarding the blocking behaviours that may put down the entire team such as being aggressive, negative, withdrawing, recognition seeking and how even too much of fun can block the flow of information and work within the team. Some team members taking it easy at the expense of other colleagues, holding their opinions and ideas without expressing them thinking that they was be judged harshly by the other team members, poor communication, and lack of focus was discussed in brainstorming and decided to be avoided completely during this time period of two months. We also had fun and brainstorming ideas. We used to play games together not very often. This was mainly because the limited time period and the workload might be stressful and at the same time doing such activities will help to build the team and its motivation. It will influence on how each person thinks, works, solve problems, and also had fun while building the relationship among the team members in our group and also with the opposite group. Address problems Another strategy that we followed was addressing the problems instantly or not delaying them. I found one of my team members engaging in unhelpful behaviour and I as the coordinator and being interactive worked to address it quickly. When I spoke to him with regards to that, he said that he was determined to achieve the target but yet he was quite nervous to put out his opinions as he was a new member to the team. On the other hand, another team member who was also new to the team engaged in the activities enthusiastically. I used him as an example to motivate the reserved team member and also encouraged him again and again in order to change his weaknesses in to strengths to support the team’s goals. Open discussions were also conducted in order to guide the team members to a resolution, allowing the team to return to a state of positive group dynamics. Belbin’s team roles Belbin’s team roles were similarly created as each team member and the team as a whole need a strong focus to thrive. The theory of Belbin’s team roles offered clearly defined roles, which motivated the team members to address their responsibilities while working together more effectively. This helped to set clear behavioral and outcomes expectations and to clear up lines of communication between team members. When using the Belbin’s theory, we had a discussion leading everyone to think about why we are here and through Belbin’s theory things will go in favor to us and may more. Our current situation, the worst possible outcome and the best possible outcome and many more were seriously stressed out too in this instance. Open communication, sharing of ideas through calls in regards to the work was another developed positive team dynamic that helped in the success of this event. Open discussions The leader made sure that communicating among the team members was another vital factor. He asked each and every team member to make sure that we hear everyone’s opinions out, in order to ensure that both the opinionated and quieter team members feel their voices are heard. Each and every team members’ ideas were taken in to consideration in planning and organizing the event as a team. Pay attention I as a coordinator and a part of leadership knew that attentiveness was necessary. I too always made it a point to pay attention to my team members and was aware of what was going on. The leader looked out for unacceptable behaviors such as bullying so that he was ready to address them the right away. Team building Team building activities such as healthy conversations, playing of video games and many more that were conducted helped on interpretation, free communication and motivated team creativity in problem solving. Working with different types of individuals developed and built our adaptability which made us open towards being flexible according to certain changes. Numerous personalities of the team mates helped us understand the way to work with people in order to achieve our team’s expected goal. Positive team dynamics developed within our team helped in making us reach out to new ideas and concepts, and to learn to Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 46 of 58 work independently as a part of the team while carrying out multiple related tasks on a daily basis. Great team performance doesn’t come overnight. So didn’t ours. Positive team dynamics has to be well practiced prepared, organized and understood. Team dynamics are unavoidable and a crucial part of even any business activity and not something that you can afford to get wrong. Task 4 4.1 Discuss with examples, the importance of continuous professional development (CPD) in a work setting by evaluating the range of CPD criteria that can be used to measure the effectiveness of your employees in your organization. Continuous Professional Development Introduction to CPD Continuous Professional Development (CPD) is the process of hunting and documenting various skills, knowledge and also experience that you make you gain both formally and informally as you work beyond any of the initial training given to you. CPD is what a person would experience within his work, learn and then apply. Continuous Professional Development helps to continue to make a meaningful contribution to the team. This is important as it ensures to continue to be capable in the told profession.CPD is an ongoing process that continues to be practiced in any ongoing career.CPD provides many positives such as ensuring your capacities by keeping an accurate rate with the current standards of others in the same field you possess. This will motivate you in a great list of followings and the oral proclamation about the organization’s reputation. The goodwill of the organization will enhance with time which will be an added advantage to all parties involved in the organization itself. CPD ensures that you maintain and strengthen the knowledge and skills you need to deliver as a professional service to your clients, customers and the community. (Complete assumption for this case study); I being a trainee of ABC who is holding a junior position in my career practicing CPD is helping me in dealing with all parties who are been considered as stakeholders in this very organization. This helped in achieving the expected outcomes on the session conducted online on Computer Networking in 2021 to our general audience. Importance of Continuous Professional Development (CPD) to measure effectiveness of the organization. Continuous Professional Development makes sure that you and your knowledge stay relevant and updated. It helps you to stay aware of the changing nature of the environment you are in. The encouragement of Professional development helps you to be aware of the changing trends and directions in your profession, which will in turn favor to be more efficient and productive in work related activities increasing the effectiveness of the organization as well. I learnt that by gaining the peak level of productivity as an individual engaged in a certain profession, with the practice of CPD it could take an you towards the top of the ladder in any given organization or circumstances. I realized it while working on this session by the reputation that I gained personally within my organization itself. The rate of change is probably faster than it has ever been since the business world is known for its dynamic changes in its nature which at times makes it quite impossible to keep a track on, and this is a feature of this new normal that we live and work in while adjusting to these situations accordingly. (Sexton, Apr 2017) Further Continuous Professional Development shows a particular individual on how he/she will be neglected or disregarded if he/she stands still and makes him/her realize that the world would not stop just because he/she does feel to stop, as in the next minute he/she will realize that the value of his/her knowledge and skills become outdated.CPD is a great perception towards the organization and it will even be a helpful tool in probably forecasting future learning, trends and various other aspects which turns to an extent you will be able to predict or be benefitted. I learnt that PDP adds an immense value to an individual and as a team member. Practice of a development plan makes an individual more effective and aware in his life. It trains me to be more skilled in tackling any sort of obstacles thrown on my way since it tells me to expect the worst with a positive attitude. I learnt that PDP helps to stay interested and keep it interesting. Experience is a great teacher, but it does mean that we intend to only do what we have already done before. PDP contributes to my own future learning again by exposing that it delivers a deeper understanding of what it means to be a professional along with the emphasizing of its plus points along with a greater appreciation of the implications and impacts on and off work which made me notice a radical change by the time I was engaged in the planning and implementation of this session as well. A number of methods can be used to help with the review such as; SWOT analysis (Strengths, Weaknesses, Opportunities & Threat) Knowledge and skills using the information from the primary skills Identifying personal goals and objectives Establishing learning needs for the future, in the light of the review Preparing for action This phase is critical to making sense of the personal development plan. In the review I work out in simple terms where I am and I want to get to. Once I realize them I need to work out how to achieve my personal goals and objectives and meet the learning needs. It is possible to just dive in to action but it is worthwhile planning how to meet learning needs. A learning need could be met by a wide range of activities and tasks. Which activities chosen will depend on the personal environment, where I might work, whether I am able to go to a conference or other meetings, improvise personal learning style and much more? As we all learn in different ways and styles it is important to look for learning activities and opportunities that best support on how we learn as a person. Introduction Motivation theories provide a big insight on what makes an employee or a team member perform better. It provides the top level with a way to motivate and helps them in understanding how the influenced can be managed better. Lack of knowledge about motivation theories might result the top level individuals to believe that big money are the only way of motivating staff. However, the theories have helped the managers in understanding that the influenced ones have different needs too. It might be that employee A prefers to have more responsibility and challenges compared to employee B. Hence increasing A’s responsibility, providing more challenges to him and appreciating A motivates him more than employee B who would be satisfied with getting a monetary incentive. Likewise, employee C might be a single mother who would rather prefer to have more flexibility in her job and would be able to perform better if the work that she is doing helps her to look after her child and also the work. The above examples prove that in a professional working environment for a manager, it has become important to understand the needs of his/her employees. Out of many motivational theories inspired I will be selecting two motivational theories and discuss how they can be helpful within the members and a workplace Mohamed Azmi Abdullah HND-COM/2021-MAR/103 E116290 Page 53 of 58 Motivational Theory 01 Maslow’s Hierarchy of Needs Theory The psychologist named Abraham Maslow(1943) developed a theory that suggests we, human beings, are motivated to satisfy five major basic needs. These needs are arranged in a orderly manner. Maslow suggests that we should search first to satisfy the lowest level of needs. Once that is done, we seek to satisfy each higher level of need accordingly until have satisfied all five needs. Maslow’s Hierarchy of Needs Theory is important and simple motivation tool for managers to understand and apply. Herzberg’s Motivation Theory model, or Two Factor Theory, claims that there are two factors that an organization can adjust to get motivated in the workplace. The factors are: Motivators: encouraging employees to work harder. Hygiene factors: These will motivate the employees to work harder but they will cause them to become de motivated if they are not in a satisfactory level. He identified the five main sets of human needs and their satisfaction in motivating employees. Maslow’s theory is rather simple and descriptive; The theory is based long occurrence about human needs. It is mostly relevant to poor and developing organizations where money is a big inspiring factor. Descriptive in nature Any need could act as a motivator provided it is not acceptable. Herzberg Based on the use of motivators which includes the achievement, recognition and the opportunity for development. Refers to the hygiene factors and motivating factors in his theory. Hygiene factors dissatisfies while motivating factors motivate the subordinate. No hierarchical arrangement is given. Herzberg’s theory is more prescriptive. It suggests the motivating factors which can be used efficiently. The theory is based on information collected by Herzberg after interviewing 200 employees. Herzberg’s theory is an addition to Maslow’s theory of motivation. It is on the other hand applicable to wealthy and developed organizations where money is a bit less important motivating factor. Prescriptive in nature Herzberg in his two factor model, hygiene factors do not act as mentors, only higher order needs to act as mentors.
