Vehicle booking system

Project Overview
As per our understanding, we need to design and develop a website which offers services of
coach/Minibus hire from website. The website offers Minibus hire for a wedding party, through to
a regular contract providing transport for a school or college, a flexible solution to meet the
requirements of all our clients.
Users can book the coaches/minibuses for following events

1. Product Perspective
✔ Develop and design a website containing features of their offering booking service for
coaches/minibus.
✔ Admin portal- Admin can manage everything from their loginBookings/users/drivers/payments/discounts/rides etc.

Followings are the features of the website we need to design and develop –

2. Get a quote-> Front end users can book the Minibuses/Coaches from the form of “Get an
instant free quote”. Users can enter the below details to book the service.
a. Step-1-> Select the type of Journey
i. One way
ii. Return
b. Select the pickup address
c. Select the destination address
d. Luggage
e. Number of Passengers- Dropdown – Query- The reference site does not allow to
book for less than 9 passengers? Do we also need to keep the same condition for
passenger number booking.
f. Pickup date
g. Pickup time
h. Return date and time if the journey type is “Return”
i. Name
j. Email
k. Contact Number
l. Get an Instant free quote- Button
On the submission of the button “Get an Instant free quote”. Next screen will come which will
show the submitted details and the vehicle list. Users can change the vehicle from the drop menu.
Once the user submits the details, user will get the quote on his/her submitted mail.
Query1. Can you please explain the price logic? How the pricing is prepared bus size wise,
location distance wise and number of passengers.
2. Once the user receives the booking quote on their email address, what is the process of
confirming the booking of bus? Will the users manually call and confirm the booking?
3. Can users pay the charges online? Or it will be offline payment?
4. If the payment is online, then how user will pay. Please explain the Payment method and
payment gateway to be implemented on the website.
5. If the user is paying online, can they cancel the booking? How will the refund work?
6. Will there be any cancellation charges which customers have to pay in case they cancel
the booking?
7. If the user can cancel the booking what will be the time interval within which they can
cancel the booking?
8. Is there any limit of the travel date, Do the customer has to plan the travel date from a
specified days ago to travel date? Can they do instant bookings?

4. Our Tours – Admin can enter the details of their planned tours to the specified destinations.
The page will contain the banner with the title and below a listing of the tours. All the details will
come from admin panel.

Enter the details on the form to enquire about the booking. We assume admin will receive the
mail and they will contact the customer manually out of the system.

6. Contact us – The Contact us page contains the contact form, google map and contact details
related to the company.
7. Admin Portal – The Admin of the portal can manage the following options from the portal.
✔ Login – Super admin can login into the system with the registered work email id.
✔ Dashboard- The Dashboard of the Admin portal will contain the number of upcoming
bookings into the system, number of tours planned for the year, Total no of vehicles with
driver(staff), payments received date wise/Month/Year wise etc.
✔ Customers-Admin can manage the number of customers registered into the system from
this screen with their all-registered details. Admin will be able to search for the customers
with id, names entered etc.
o Sorting of the report
o Exporting details into the CSV format
o By clicking on the customer id, admin will be able to check the details of the form
submitted by the customer.

✔ Bookings- Admin can view all received bookings for instant quotes from customers on this
screen. Clicking on the booking id, the user will be able to view the complete requirement.
Admin can prepare the quote and availability according to the schedule and send the
customer in mail. Query- We assume the booking will be finalized between company and
customer by mail and admin can maintain the status of booking and payment from this
screen. Please explain the payment process.
✔ Transactions- Admin can manage the transaction details from this screen. Received
transactions booking wise, tour booking wise. Query- Please explain the procedure, how
cancellation and refund will be managed?
o Sort the result of transactions date wise/amount wise
o Filter the data by status wise
o Export the data
o By clicking on the transaction id details related to the customer, payment can be
managed.
✔ Tours- Admin can manage the tours planning from this screen. Admin can create the tour
plan and update the details on the website. Assumption-Bookings for the tours will be
managed manually by the admin out of the system. Please confirm?
✔ Blogs- Admin can manage the blogs (add/edit/delete) from the admin panel. Admin can
add new blogs and delete them as per their requirement. Logged in and non-logged in
users both can comment on the blog. Query- Do the admin wants to approve the
comments before showing on the website?
✔ Manage Comment- Admin can manage the content of all pages from admin panel.
✔ Manage Buses and driversQuery✔ Will the admin manage the drivers and buses/coaches in the admin panel?
✔ What are the details the admin wants to enter related to vehicle and driver?
✔ Will there be any verification method for drivers in the admin panel? If yes, please
explain the procedure.
✔ Do you want to manage their salary from admin panel? If yes, please explain the details
we need to include in the admin panel?
5. User Portal - As per our understanding users can register into the website by clicking on the
“signup”’ button which will contain the basic details of the user. After registration users can login
into the portal and purchase the courses related to their choices from this screen.

✔ Login- After Registration users can login into the system with email id and password.
✔ After login, users will be redirected to the home page of the website, where they can select
the quote form to book their tours and booking for buses.
✔ Once the user submits the details of the form, user will receive the quote on mail. We
assume the finalization of the booking will be done through mail or calls out of the system
and admin will update the booking status manually in the system. Query- Please explain
the payment procedure, how payment will be made?
✔ Bookings - After login if a customer clicks on the booking menu, he/she will be able to
access the booking which they have made. The screen will list the schedule of the booking,
status, information about the booking and the staff.
o If the category of the booking – the screen will show the normal listing of booking
and its status.
o If the category is tour - Then we assume the tour bookings will come here.
o The screen will show the upcoming and completed bookings with details, payments
and cancellation if any.
✔ Payments- Users can check their transaction details from this screen. If there is any action
taken by the admin on it related to request for cancellation, change in quote all will come
here.
✔ Profile- Users can check and maintain their profile details from this screen.
✔ Comments- Users can check the submitted comments from this screen.
✔ Contact us- Users can contact the admin from this screen related to any complaint or any
other stuff. They will receive the response on the mail from the same screen.
✔ Terms of use- Users will be able to read the terms of use from this screen.
Query

As per shared reference, users can only maintain the profile from their logged in panel.
But we have prepared some features which we think should be available on the user
login panel. Please review and let us know if it is needed or not.
Also, please share if any other feature is needed in admin panel.
