5. Pre-Event/Preparation
We started our preparations in November by deciding first which type of event we would
execute. We made a poll to see which event most of us would like to organize for this final output.
At the end of the day, we have determined that we will push through with an Awarding or
Recognition event because we deemed that it would be the most appropriate type where we could
carry out our goals. After that, we disseminated our tasks by creating different committees to
perform different tasks. The planning committee which consists of the project head, assistant
leaders, and the hosts are tasked to create the program flow of the event and monitor every
material and script necessary to the event. The technical and sounds committee’s function is to
spearhead the visual and audio presentations, while the marketing committee is authorized to
make publication materials for promoting the event. The awards committee worked on the survey
that was answered by the participants to gather information on who will be the winners of the
different categories. They were also responsible for the certificate of recognition of the winners.
The games committee on the other hand, were responsible for producing an icebreaker game for
the participants. Lastly, the documentation committee was assigned to document every meeting,
and every attendance of the project members, from the topic of the agenda to what is the outcome
of the meeting. They also created an evaluation feedback form that would be answered by the
participants at the end of the event to collect various responses on the success of the final output.
6. Actual Event (During)
All the organizers and the participants joined the meeting before 3:00 P.M. At exactly 3:00
PM, the hosts started the event with the Letran Quadricentennial Prayer, the singing of the

national anthem, and presentation of the Letran Mission and Vision. To officially begin the
awarding ceremony, the project head welcomed the participants with her opening remarks. When
she was done, the awarding of the participants commenced. The recognition event began with
the visual arts category in the form of painting. Three participants were specially selected and a
special award which is the Juan Luna award was given. The hosts granted the special award
before moving on to the 2nd runner up, 1st runner up, and Champion of the Painting Category.
The pieces of each participant were shown to the viewers. Congratulations and greetings from
the audience were given to each winner. Next is the literary arts category in the form of poem
making. Under this, a special award was granted, namely the Jose Garcia Villa award. Then the
hosts moved on to naming the 2nd runner up, 1st runner up, and the Champion for the Poem
Making category. Poems of the winners were also shown. Admiration for the aspiring poets
erupted from the audience. Third category is the Instrumental Media of the Performing Arts. A
special award was granted to one of the participants who showcased their exceptional skills in
their chosen instrument, which is the Beethoven award. The hosts then pressed on to announce
the 2nd runner up, 1st runner up, and the Champion of the Instrumental Media category.
Performances of the participants were also shown to the viewers which garnered praise and
inspiration. The event then took a break from the awarding process and offered entertainment to
the spectators by developing icebreaker games. The game consists of two segments: guess the
word and 4 pics 1 word. Participants of the event were very active during the break. All of them
tried their best to answer the questions and win the segments. After the icebreaker games, the
awarding ceremony continued to the remaining categories. The hosts began with the presentation
of awards under the Vocal Media category. Two special awards were given under this category,
namely the Regine Velasquez award which recognizes the excellent vocal delivery of the
contestant and the Bruno Mars award which commends the song choice of the contestant. After
naming the winners of these special awards, the event moved on to call on the 2nd runner up, 1st
runner up, and the Champion of the Vocal Media category. Spectacular performances of the
singers were presented in appreciation of their talents. Spectators of the event praised and
applauded the participants. The last category of the event is the Dance category of the Performing
Arts. Under this, three special awards were granted: the Niana Guerrero award which recognizes
the flow of choreography, the Mannex Manhattan award which recognizes the creativity of
costume design, and the Best Music choice award. Afterwards, the hosts announced the winners
of the 2nd runner up, 1st runner up, and the Champion for this category. Before ending the event,
the masters of ceremony congratulated the winners and thanked the committees for their
combined effort in the execution of the program. They also asked each participant to open their
cameras for photo documentation. The event ended after the singing of the Letran Hymn.
7. Post-Event/Evaluation
After the event, all the participants were asked to answer the evaluation form created by the
documentation team to gather feedback about the program. The objective of the survey was to
measure if the event was successful and was done smoothly. In summary, the majority of the
participants claimed that the objectives of the event were achieved, the venue was appropriate,

the time started and ended within the time frame, and the organization of the event was a
success.
