P a g e 19 | 25
enough so the manager has increased the number of sales representative who
cover all the languages of people residing in the country.
 This whole process shows us that the organisation’s structure has changed and
for the better.
Michael is not rushing for a change because change at times it can be a success and
sometimes fail.
6.Organisation design:
Organisation Design is a process in which managers decide what type of
organisational structure is sufficiently aligned to the external environment and which
is best to work with the strategies and plans for the organisation.
Four Fundamental principles underlying organisation design.
There are:




Division of work
Organisation structure
Departmentalisation
Coordination
Division of work
Division of work involves “the breaking down of a complex task into components so
that individuals are responsible for a limited set of activities instead of the task as a
whole”, and by doing this there is a provision of job specialisation. Job specialisation
which provides the advantages of increased productivity, reduced training costs and
reduced transfer time. There is also a disadvantage of this tactic plan of alienating the
worker from his/her work, which will probably result in absenteeism and boredom.
 Michael breaks down all tasks and have specialists in each and every field of
work that are properly qualified to handle all tasks.
 The business will run more efficient since all employees will be fully aware of
what they are doing with little supervision from the manager.
 Employees achieve all deadlines on time with all orders, this definitely show
how productive the employees are.
 Employees come to work every day on time, showing a good attendance since
they get paid weekly and insist on working extra hours or overtime to make
more cash.
Organisation Structure
This structure is usually represented in the form of an organisational chart, which
shows the division of work and departmentalisation of tasks. It also shows the
employees which report to each manager, and demonstrates each manager’s span of
control.

Two types of organisational structures exist within organisations:
 The formal structure which works around the relationships between managers
and subordinates, as represented in the organisational chart.
Brinkle uses a formal structure and is evident since everyone has a formal job title,
fulfils a specific role and has a distinct manager subordinate relationship.
 The informal structure emerges naturally from the social relationships which
develop between the employees within the organisation.
4 underlying forces which influence the design of the organisational structure:




Management’s perception of the organisation and organisational problems.
The actual task
Environmental forces
The needs and skills of subordinates
A flat structure would be most appropriate for a young company like Brinkle, in that
it would provide for a wide span of management and a few hierarchical levels,
which would allow empowerment of the employees and the meeting of their needs.
As the company grows in terms of human resources, the structure could change
and a tall structure could be used because it can be useful to add more on the
hierarchy of the organisation.
Departmentalisation
Departmentalisation comes into place because of specialisation and involves the
logical grouping of activities. Departmentalisation bring a specific type of structure.
Functional Organisational structure
P a g e 21 | 25
Brinkle uses a functional organisational structure. This structure is the most basic
structure type. Activities belonging to each management function are grouped
together.
Under the managing director the 4 groups, marketing manager, financial manager,
production manager and human resources manager.
Under the Marketing function are grouped activities such as:




Advertising
Marketing Research
Sales
Public Relations
Advantages of a functional organisational structure




Promote skill specialisation
Enhances career development & training within the department /7
Promotes high-quality technical problem-solving
Centralizes decision making
Disadvantage of a functional organisational structure




Emphasises routine tasks
May create conflict over product priorities
Reduces communication between departments
May make interdepartmental schedule difficult
Under managing, there is marketing, financial, production and human resources.
Under marketing manager there is a research manager, sales manager and
advertising manager. Under financial manager there is a debtors’ manager, creditors
manager and an accountant manager. Under production manager there is a
Supervisor-Yaris, Supervisor-Run X and a supervisor- Tazz. That is how the
organisation split into different production.
Brinkle’s manager keeps the following principles in mind:
 Chain of command – a management hierarchy is provided for the coordination
of activities;
 Unity of command – it dictates that each subordinate should only report to one
superior;
 Span of control – refers to the number of subordinates who report to a particular
manager.
Coordination
Coordination is important because it ensures that the organisation achieves its
ultimate goal.
 There is a use of diagnosis machines to check efficiency of the computer.
P a g e 22 | 25
 Hire or use specific employees to get accurate results.
 The employees that work really hard and show passion get a special pay check.
Standard operating procedures are organised well.
With the number of employees in the company, not everyone is assigned to the same
job.
There is a stock checking person who makes sure that the delivered supplies are
correct and right.
There is another employee who does the packing of boxes or packaging the products.
There is the manager who makes sure that all departments are doing their job and
there are no setbacks.
There is a research who handles the part of finding out what the customers want.
There is an advertiser who goes out there promoting the organisation in all type of
advertising.
There is a person who handles the books, control the balances and balance them out,
to make sure that there are not as many debts for the organisation
And also a supervisor who is in charge when the manager is not present, doing
damage control and ensure a smooth running of business.

I am writing this email to ask to submit my Project which was due in September. I
requested an extension at the MANCOSA offices, via email and via freshdesk but I
was not aware of the freshdesk email until about 4 days ago. I meant to submit but
there was a Load Shedding which caused network connection to be lost so I was
unable to send it. The Student advisor I spoke to said I should re apply and sent
through my Project
