AC 1.2 Prepare a plan for the context of the briefing or presentation. Purpose To present information to the senior management team and department heads in order to decide on final locations and layout of offices and stores. Compare current costings for offsite storage to costings to utilise on site space by relocating office space. Audience Senior management and department heads. Try to deliver to their lifo style if possible or use a little bit of all of the styles. Consider audience size and ensure material is targeted to a level that meets my needs but also that the audience will understand. Method With the use of a flip chart open presentation by introducing myself and giving subject of the presentation Give the purpose of presentation and the objective Present the information via the use of drawings on the flip chart with a breakdown of currents costs vs proposed costs. Finish by asking for questions. Preparation Plan for your presentation by brainstorming, drawing up a script with the use of post it notes, flip charts etc. Research the required information to ensure it is correct/current and timescales can be met. Environment Be familiar with the environment you will be in. You need to know: The size of the room, the seating arrangements and if they can be moved. The availability of equipment, e.g. overhead projector, flip chart, computer equipment etc. The location of power points and if an extension lead is required. If the room has curtains or blinds, the position of the light switches. Check if you need someone when using a projector and need to turn off the lights. The possibility of outside distractions, e.g., noise from another room. The location of parking facilities so you do not have a long walk carrying any equipment you might need to take. Location of any heating/cooling controls, to make the room comfortable. Rehearsal Run through presentation if possible using the room planned, record the entire presentation and watch and rerecord till you’re happy that you look comfortable and confident in your delivery. Use the recording to check for cues for introducing/changing media and to check length of the presentation. Ask a colleague to sit in to act as a focal point and also to give critique. What feedback did I receive/what happened? Feedback was that my delivery of the content was Confident. On reflection what have I learned from the feedback? That I’m better than I thought I was at delivering a presentation. What will I do differently as a result I will stop worrying so much and concentrate on improving. What results do I anticipate I will get? A better presentation, in which I feel confident and comfortable delivering. What feedback did I receive/what happened? Feedback was that it came across that the presentation subject was well researched, and came across passionately in delivery. On reflection what have I learned from the feedback? That a thoroughly researched and well prepared presentation shows in delivery. What will I do differently as a result? Ensure that future presentations are given the correct amount of preparation time and research. What results do I anticipate I will get? A thorough and broad understanding of the topic at hand. What feedback did I receive/what happened? Feedback was that my use of drawings and breaking them down into smaller drawings relevant to specific topics, made understanding the overall presentation easier. On reflection what have I learned from the feedback? That the correct use of media, whether that be handouts, power point, flipchart etc. can make or break the way a presentation is received. What will I do differently as a result? Tailor the use of media when planning the delivery to suit the type of presentation i.e number of attendees, location, topic of presentation. What results do I anticipate I will get? Continued positive/improved feedback regarding the use of appropriate media.
