GENERAL INFORMATION
Contact: Eastworks Management is available by phone, email, and through the AppFolio Tenant Portal for
tenant communications. The office is not available for walk ins. If a meeting is deemed necessary, Eastworks
Management will schedule a meeting time with the tenant(s) in an appropriate location. There is a 72-hour
response time to emails and voicemails.
Tenant Portal: All tenants who are on the lease have their own Tenant Portal account that is available 24/7
through AppFolio. It is important that you set up access to your tenant portal. You can access your lease,
renewals, account balances, invoices, pay rent online, etc. Contact Eastworks if you have any issues with
access to your portal.
Paying Rent: Rent is due on the first of every month. Eastworks accepts electronic payments via AppFolio,
checks, and money orders. For your convenience, please use the Auto Pay feature via the AppFolio Tenant
Portal. If you set up autopay using your bank account there is no fee. If you use a credit/debit card there is a
fee charged by AppFolio. If you prefer to pay by check, you may leave a check in the secure drop box on the
Eastworks Management office door (suite 340) or mail a check, however there is a $15 processing fee for all
paper checks as well as 7-10 business day processing time.
WE DO NOT ACCEPT CASH PAYMENTS.
Keys: Upon move in, tenants are issued a front door key to the building, a trash room key, and a suite key. If
you paid for a mailbox, you also received a mailbox key.
If you lose your building front door key or trash room key, contact Eastworks Management to be issued
another copy for a $25.00 replacement fee. The $25.00 replacement fee must be paid first before being
issued a replacement key. You will be charged a deduction from your security deposit for any front door or
trash room keys not returned on the last day of your tenancy.
If you lose your suite key, contact Eastworks Management to be issued a replacement from copies on file.
Please note there is a limited amount of copies on file, and you will need to pay the cost for getting more
copies if there are no more on file.
Please see “MAILBOXES AND PACKAGES” (on page 10) for what to do in the event you lose your mailbox key.
Elevators: There are three elevators in the building. The east end freight (by the east entrance next to the
Keystone Building) and the west end passenger elevator (by Riff’s) are large enough to carry freight. The
central elevator is for passengers only. If you would like a tutorial on elevator operation or a tour of the
building to orient you, please let us know. DO NOT use elevators in the event of a fire alarm. If you have an
emergency on the elevator, press the red button within the elevator to be connected to Easthampton
Emergency Dispatch.
The east end freight elevator is operated differently than modern elevators, there are two buttons labeled
“UP” and “DOWN”, you must continuously hold either one down until the elevator is at your floor. The
wooden gate and the metal cab gate must both be closed completely, otherwise the elevator will not work.
Always check that gates on all floors are completely closed if the elevator is not working.
Parking: We do not allow a tenant’s personal or business vehicles, moving trucks or any other type of
vehicle or transportation to be parked overnight. Fire lanes are not to be blocked by vehicles at any time;

vehicles seen parking in the fire lane or left overnight will be towed at the owner’s expense. Parking in the
fire lane could result in a fine from the City of Easthampton. Please check with Eastworks Management on
where you can load/unload.
Certificate of Inspection: The City of Easthampton requires every tenant to acquire a Certificate of
Inspection. Upon signing your lease, you must call the Easthampton Building Inspector to schedule an
appointment for them to walk through your space. The cost of this permit is $75.00. Once you have the
certificate, hang the original up by the front door inside your suite.

Air Conditioning: Tenants may have an air conditioning unit in their suite. Window units are prohibited. It
must be a portable, standalone AC unit and IT MUST BE SELF-EVAPORATING. Tenants will be charged an
additional monthly fee to cover the cost of increased electric usage. Tenants must submit a maintenance
request through the AppFolio Tenant Portal to schedule a time for maintenance to properly vent the AC unit
through your window and will be charged a labor fee. Tenants are prohibited from venting the AC
themselves. DO NOT ATTEMPT TO VENT IT YOURSELF OR WILL YOU BE CHARGED REPAIR FEES.
Missing or Lost Items: Eastworks Management is not responsible for missing or lost items or belongings.
Eastworks does not have a lost and found. If you find an item such as a wallet or electronics like a tablet or
phone, please bring them to the Easthampton Police Department. Eastworks Management does not accept
found items.
Dogs: Dogs are welcome in the building, and they must be kept on a leash per Easthampton Leash Law and
for the safety of our tenants and visitors. If a dog is found wandering without a leash or having accidents
that are not cleaned up, it may lose visiting privileges in the building. We enjoy having our four-legged
visitors and ask that everyone with a dog to be a good neighbor. Please pick-up after your dog. There are
children who play outside and regular visitors who enjoy eating lunch on our picnic tables who do not
appreciate messes left by dog owners. We do not want to ban our furry friends so please be a courteous
community member and pick up after your dog.
Bikes, Skates and Roller Blades: For the safety of our tenants and visitors, all bicycles, roller skates, roller
blades, skateboards and scooters are prohibited from use in the public areas of the building. We provide
bike racks outside in the parking lots from spring to fall. If you bring your bike into the building, it must be
stored in your suite and is prohibited from being stored anywhere else.
Good Neighbor Policy: To keep businesses running as smoothly as possible, we alert our tenants of
upcoming fire alarm tests, smoke detector tests, plumbing shut offs, and other maintenance events. If you
are doing any approved renovations or construction work, having an event in your space or anything that
could potentially impact your neighbors, please notify Eastworks Management at least 48 hours in advance,
and please notify all affected parties, including your neighbors above you, below you, and next to you.
If you are being disturbed by noise from a neighbor but speaking with them does not help, you can call the
Easthampton Police Dept. at (413) 527-1212 and file a complaint. We understand pinpointing noise within
an exact location within the building can be difficult. If you are unsuccessful trying to locate your neighbors,
please contact Eastworks Management.

SHARING A SPACE
A singular tenant may have a suitemate(s) up to a maximum capacity as dictated per the square footage of
your space (e.g. a tenant with a 600 sq. ft. space can have one (1) suitemate; Tenants with a space less than
600 sq. ft. cannot have suitemates). Eastworks is not responsible for issuing copies of keys to suitemates or
getting key copies back; that is the sole responsibility of the tenant. Eastworks does not rekey spaces in the
event a suitemate moves out, however, the tenant may coordinate with Eastworks Management to rekey
their space at their own cost.
Tenants must notify Eastworks Management if they intend to have a suitemate and provide their contact
information. The tenant is still responsible for paying the full rent amount on the first of each month, and for
payment arrangements between tenants and suitemates. Eastworks does not accept payments from
persons not on a lease. Please note that suitemates are required to carry their own liability insurance and
personal property insurance unless you provide a new certificate of insurance that clearly states they are
covered under your insurance.
INSURANCE
The following insurance coverage is required by Eastworks LLP:
1. Required Coverage: Public Liability and General Liability: $1,000,000 per incident/ $2,000,000 per
term of the policy.
2. Required Coverage: Personal Property Coverage. Discuss with your insurance provider to determine
appropriate coverage amount you should have.
3. “Will & Paula Bundy and Eastworks LLP” must be added as additional insured.
4. The suite number must be listed on the policy.
TENANT DIRECTORIES
Building Directories: Eastworks has directories throughout the building to help direct clients, customers,
and visitors to tenant spaces. These directories are updated twice a year in the Spring and in the Fall. Upon
move in, tenants are asked if they want to be listed on these directories and how they would like to be listed
to be added to the next building directories update. Tenants will have the opportunity to be added,
removed, or edit their directory listing when Eastworks Management sends out a memo to all tenants a
minimum of 30 days before the next building directory update. Please note that the building directories
have limited space and may not accommodate lengthy directory listings. Leaseholders have directory listing
priority and suitemates will only be listed if there is space and are not guaranteed to be listed.
Website Directories: On the Eastworks website (www.eastworks.com), there is also a tenant directory that
lists tenants, their suite number, and a logo image of their choosing. Tenants may also have their website
linked to their directory listing if they so choose. This directory is updated monthly.
Upon move in, tenants are asked if they want to be listed on the website directory, how they would like to
be listed, and are asked to send Eastworks Management the logo they would like used. Tenants may be
added, removed, or edit their website directory listing by contacting Eastworks Management during their

tenancy. Logos must be a square JPEG or PNG image file at 300 DPI. Tenants are automatically removed
from the website directory on the last day of tenancy.
SIGNAGE
All signage must be approved by management. Please submit a proof to reception@eastworks.com which
shows design, size, and intended location before installation. Due to fire codes and for safety reasons,
affixed perpendicular signs (i.e. blade signs), sandwich boards, and other free-standing signs are not
permitted in common areas or exterior walkways.
STREET SIGNAGE
First floor tenants can purchase streetside signs for $350 (fabrication and installation) which contain your
business name. First floor streetside signs are located at the entrance to the west end parking lot, the west
entrance of the main parking lot, and the east entrance to the main parking lot. Signage for your business is
installed at the entrance closest to your business. The cost is $350 for the life of your tenancy on the first
floor, which includes labor and materials. The signage contains your business name only.
Ground floor tenants can purchase exterior signs for $250 (fabrication and installation) which contain your
business name. Ground floor exterior signs are located at the rear ramp entrance by Suite 018.
TENANT PAINTING POLICY
1. All tenants must receive approval from Eastworks Management for scope of work and colors before
painting. Any painting done without permission may be charged to tenant’s security deposit.
2. Tenant is required to provide Eastworks Management with the exact paint chips proposed for use.
Eastworks will keep these swatches on file in case touch-ups are needed.
3. Tenant is not allowed to paint doors, trim, or woodwork on interior or exterior. If any of these
have been painted by previous tenant, permission to repaint will be granted on a case-by-case basis.
4. To avoid security deposit deductions upon move-out, tenants should meet the following
expectations:
• Colors approved by landlord
• All painted areas edged by neat, straight lines
• No runs in the paint or colors bleeding through
• No smudges or splatters on floor, counters, cabinets, appliances, etc. (the cost of cleaning
will be deducted from tenant’s security deposit)
• No painted doors, woodwork, floors or trim

TRASH & RECYCLING
Trash
There is a trash and recycling room on the ground floor across from the central bathrooms. All tenants are
supplied a key to access this room. There are bins for bagged trash and flattened cardboard as well as
recycling bins for non-shredded paper, glass, plastic, and metal. Trash is emptied daily during the week. As
a courtesy to our staff, please:

Seal all trash bags tightly so food and garbage do not leak, causing both smell and mess issues
Flatten cardboard
Do not leave items that are not bagged trash or recyclables
Trash room keys are a specific type of key and are costly to replace. If you misplace your trash room key, you
can purchase another one for $25.00. You must pay the $25.00 replacement cost before you will be issued a
replacement key.
Disposal of Furniture, Large items, Electronics, and Light Bulbs
To dispose of furniture, large items, electronics, or light bulbs, please dispose of them in the area you live or
contact Valley Recycling at (413) 587-4279 to arrange drop off and to inquire about fees. Valley Recycling is
located at 234 Easthampton Road, Northampton. DO NOT THROW LIGHT BULBS IN THE TRASH.

SMOKING POLICY
There is absolutely no smoking allowed anywhere within the Eastworks building. We have a vigilant
concern for fire safety, and it is necessary to remind you that smoking is a serious hazard to everyone in the
building. Any fire is a threat to people’s lives, risks disruption of our tenants' homes and businesses, and
damages the financial wellbeing of Eastworks as a whole. For this reason, we have a zero-tolerance policy
for smoking in the building.
Tenants or their guests caught smoking in the building will be evicted.
Visitors or employees caught smoking will be asked not to return to the building.
Designated smoking areas
We have designated smoking areas outside the building (areas marked in green on map below). The grass
area on the east end of the building (closest to Keystone) and the grass area by Riff’s are the only authorized
smoking areas. Look for the green signs and smoking urns for your cigarette butts. These areas comply with
the state- and city-imposed smoking laws. For health and safety reasons, smoking is not allowed around the
main entrances. Violators can be fined $100 per incident.
Due to placement of gas meters and flammables, there is absolutely no smoking in the back of the
building.
Please note this policy does not change in the winter or during adverse weather conditions. People smoking
in other areas of the building will be reported to management.

PHONE AND INTERNET
There are two providers of internet and phone for the Eastworks building, Verizon, and Charter Spectrum.
Each provider has different installation procedures, please make sure you review these before scheduling
service installation. Please note: We do not give out tenants’ phone numbers to the public without written
permission from the tenant.
Verizon
Procedure: Telephone installation at Eastworks is handled differently from a home installation. Verizon
brings your service to the building’s phone room, and Eastworks Management coordinates an electrician to
do all the internal phone wiring. Follow steps 1 - 4 below if you are ordering service through Verizon.
1. Call Verizon at 1-800-837-4966. Have them bring your service to the demark room located in the
basement. They must be scheduled on a weekday between 8:00 am – 4:00 pm so we are available to
give them keys to the phone room. Make sure you ask for all the information listed below:
a) If you are getting a telephone number, what is the number?
b) If you are getting DSL, is it a dedicated (“dry loop”) line?
c) If you are getting DSL, is it 7mps speed? (This is installed differently than other DSL speeds.)
d) If you are getting phone and DSL, are they putting it on the same line?
e) What is the date and time Verizon is scheduled to come to the building?
IF YOU DO NOT PROVIDE ALL OF THIS INFORMATION TO EASTWORKS MANAGEMENT, THERE COULD BE A
DELAY IN BRINGING THE SERVICE TO YOUR SPACE.
2. Contact Eastworks Management with all the information above.
3. Eastworks will need to know the location of the phone jacks in your space and where you would like
service brought. If you are getting 7mps DSL, you will need one phone jack designated for your internet
only. This jack would be put closest to your computer. If you are getting telephone as well, you will need
an additional jack.
4. Once steps 1 - 3 are complete, Eastworks will schedule the electrician to bring the service from the
phone room to your suite. We try to schedule this work the same day as the technician, but we cannot
guarantee this. We will inform you of the installation date.
Rates: Current rates for internal wiring by the electrician: $90/hr. to run and install the phone lines and any
new or additional jacks in the space, or a minimum of $115 per phone line to the existing jack. Rates are
subject to change; these are for reference only.
Payment: Once the work is complete, Eastworks will send you an invoice for the electrician’s time and
materials. You are responsible for all installation charges from Verizon and the electrician, per your lease
agreement.

Charter Spectrum Cable
Procedure: Charter Spectrum Cable offers internet, cable, and phone service. Many spaces within the
building are wired for cable, but not all. Charter Spectrum Cable does all the internal wiring and setup within
your space. Follow steps 1 - 4 below if you are ordering service through Charter Spectrum Cable.
1. Call Kenneth Bachand, local Charter Spectrum account representative at (413) 388-1812, or email him at
kenneth.bachand@charter.com. He has worked with many Eastworks tenants to get them set up for
the individualized services they need.
You can also call Charter Spectrum Cable Sales Department at (833) 694-9256 or Customer Support at
(855) 780-1880. You can visit them online at www.spectrum.com. Please note you cannot get residential
packages in commercial suites. All installations must be scheduled between 8:00am – 4:00pm MondayFriday, so we are available to provide keys to the cable closets.
Note: If Charter Spectrum arrives for an installation, and we have not been given advance notice,
they will be denied access to the cable closets. Due to the size and complexity of the building, we walk
Charter through all installations before they can begin work; we need to be prepared for this.
2. Submit a maintenance request with the installation date and time through your Tenant Portal. We will
provide access to the appropriate electrical closets and show the technician(s) where to run the cable
line in the hallways.
3. You must be present during the time of installation to allow Charter access into your space. Eastworks
personnel are not responsible for letting Charter into your suite.
4. If you are getting a telephone number, please provide this number to Eastworks Management.
Payment: You are responsible for all installation charges from Charter Cable, per your lease agreement.

MAILBOXES & PACKAGES
You may purchase a mailbox to use for the duration of your tenancy. The boxes are located on the first floor
across from the central bathrooms. The mailbox number corresponds with your suite number. If you choose
not to have a mailbox here, any mail received will be returned to sender as undeliverable.
There is a one-time fee of $50.00 for the box, which includes one key. These are “Do Not Duplicate” keys
and can only be obtained through Eastworks Management. Please bring a check made out to Eastworks LLP
at the time of purchase for your box. The one-time $50.00 fee must be paid in order to receive a mailbox
key.
There is a $50.00 replacement fee for lost keys if back-ups are on file. Eastworks is not responsible if a key is
lost and there are no other keys on file. If we do not have any backup keys on file for your mailbox, you
will be responsible for the rekey charge of $110.00.
Once you have a mailbox, you must notify the post office. Eastworks is not responsible for notifying the Post
Office. The Easthampton Post Office is located at:

Please take note: Any mailbox keys not returned at the end of your tenancy will incur a $110.00 rekey
charge, which will be deducted from your security deposit.
Packages: If you are expecting a large package through USPS, the mail carrier will either place this item in
one of the parcel boxes located below the mailboxes and leave the key in your P.O. Box or deliver it to your
suite door. The key will stay in the parcel box once you have retrieved your package.
Packages from UPS, FedEx, DHL, etc. will be delivered to your suite. Please be sure to include your suite
number on all deliveries so they will be brought to your suite. Packages will not be accepted for tenants by
Eastworks Management.
Eastworks Management is not responsible for misplaced or lost packages. If your package is missing,
please contact the shipping company. Eastworks Management cannot help with lost packages.
If you receive a package that is not yours, write Return to Sender or “RTS” on the package and return it to
UPS, FedEx, DHL, or USPS. Packages are not accepted by Eastworks Management.

LOCKOUTS, REKEYING, & ALARM SYSTEMS
Lockouts: If locked out from your unit between 8:00AM and 4:00PM Monday – Friday, tenants may contact
Eastworks Management for assistance. We cannot guarantee that someone will always be available during
these hours. Tenants must provide proof of identity before being allowed entry to the locked-out space.
As policy to protect our tenants, we do not open doors for people that are not listed on a signed lease.
If you are locked out of your space outside of the above stated hours, please contact the local locksmith
Florence Lock and Key at (413) 584-6282 and make sure to tell them you are an Eastworks tenant.
Rates for his service may vary, so please inquire to the amount charged before the bill arrives. No alterations
to the locks are permitted.
Re-keying: If you need to re-key your space, please contact Eastworks Management and we will coordinate
the work with the locksmith and issue you a new set of keys. When the work is complete, Eastworks will
send you an invoice for the cost of re-keying.
Alarm Systems: Tenants may install an alarm and/or security system in their space. Tenants must notify
Eastworks Management they are installing such a system and must provide a pin number or access code to
the management for access. It is highly important that this information is provided to management so we
may enter your space in the event of an emergency or to read water or electric meters, etc. In the event a
tenant does not properly notify management of an alarm and/or security system installed in their space,
Eastworks is not liable for triggered alarm systems or any fees or fines that result from police or emergency
services response.

MAINTENANCE REQUESTS AND REPAIRS
Maintenance is provided for Eastworks tenants between 8:00 a.m. and 4:00 p.m. Monday through Friday.
Report all maintenance requests through the AppFolio Tenant Portal using the “Submit a Maintenance
Request Form.” Maintenance requests are addressed in the order which they are received, so there is no
predetermined deadline by which they will be addressed.
Maintenance requests will be scheduled around the availability of staff, contractors, and vendors. If a
scheduled maintenance time does not work for the tenant, they must inform Eastworks Management 48
hours prior through the Tenant Portal, otherwise Eastworks will proceed with the original scheduled time.
Eastworks reserves the right to enter premises in the event it is determined there is a risk of damage to the
premises or integrity of the building regardless of unit or tenant availability.
Tenants may only conduct repairs as stated to be tenant responsibility, per their lease. Damage caused by
tenants doing repairs outside the purview of their lease will result in a maintenance fee of $100.00 and any
additional charges to correct the damage to the unit.
In the event of an emergency, please call (413) 527-1000 and Dial 1. If you are unsure if it is an emergency,
please reference “EMERGENCIES” (p. 14).
Eastworks staff shall be allowed to enter any unit at any time without advance notice to make emergency
repairs or when there is reasonable cause to believe an emergency exists. If tenant(s) are not present they
will be notified their unit was entered upon completion of the repairs.
Lights: If a light bulb burns out in your space, you are responsible for changing it per your lease agreement.
The building light fixtures use 4’ foot T8 LED bulbs and ballasts. To prevent electrical issues, please ensure
you are only using LED bulbs when replacing burnt out lights. Some spaces have different fixtures that take
different types of bulbs. Please ensure that you are using the correct replacement bulb.
If the light is still out after you have changed the bulb, please submit a maintenance request via the Tenant
Portal and we will schedule an electrician for repairs. There is no charge to the tenant for electrical repairs
unless otherwise specifically stated in tenant’s lease.
If you would like Eastworks to change your bulbs, please contact our office to schedule an appointment.
Please review our fees (prices subject to change) below which includes the cost of recycling bulbs. Once the
work is complete, we will send you an invoice.

EMERGENCIES
ALWAYS CALL 911 IN THE EVENT OF A FIRE OR LIFE-THREATENING EMERGENCY
In the event of an emergency, call the main office line at (413) 527-1000 and Dial #1 to be connected to the
emergency phone line. This phone line is strictly to be used only in the event of an actual building
emergency. Lockouts are not an emergency, please reference “LOCKOUTS, REKEYING, AND ALARM SYSTEMS” (on
page 12) for what to do in the event of a lockout. The following is a list of what is considered an emergency:
1. You have no power in your space. If your space has its own electrical panel, please check that first
for any tripped breakers before calling the emergency line.
2. You have no heat. If wearing a sweater keeps you comfortable, your heat is working. Your space will
be very noticeably cold if the heat is not working.
3. You have a water leak in your space beyond a drip. Eastworks expects tenants to report leaks and
to make their best efforts to contain the leak immediately. Tenants are responsible, per their lease,
for the maintenance and upkeep of plumbing in their space. If you have a plumbing fixture leaking,
shut the water to it off, contain and/or clean up the leak, and call the emergency line so Eastworks
Management can ensure it did not leak into a space below you.
4. Puddles or water leaks in the building. Eastworks has many plumbing, sprinkler, and sewer lines
throughout the building and it is extremely important you call the emergency line if you see any
puddles or water leaks.
5. An elevator is not working. Please be sure that if you are having issues with the east end freight
elevator that you are operating it correctly and that all gates on all floors are completely closed.
Reference the elevators section (p. 3) for operating instructions.
6. Smell of gas or smoke. It is extremely important that you report any smells of gas or smoke for your
and the building’s safety.
7. Clogged or overflowing toilet in a public bathroom. Tenants are responsible, per their lease, for the
maintenance and upkeep of plumbing in their spaces. If you have an overflowing toilet in your space,
shut the water to it off, clean up, and call the emergency line so Eastworks Management can ensure
it did not leak into a space below you.
8. Loitering or altercations. If you see any individuals who do not look like they belong, wandering
aimlessly, or clearly have a threatening intent call Easthampton Police Department at (413) 527-1212
immediately. Call the emergency phone line and report the situation. For your safety, never approach
these individuals. If you have an altercation with a person or group of people in your space or
common areas of the building, call Easthampton PD and the emergency phone line.
9. Vandalism or break ins. If you see someone actively vandalizing, breaking into any space, or your
space has been vandalized or broken into, call the Easthampton Police Dept. at (413) 527-1212
immediately. Call the emergency phone line and report the situation.

FIRE AND SAFETY
Fire Alarms: Fire alarm systems provide a rapid means of notifying all occupants of an emergency.
Continued abuse of these systems creates a complacent attitude among the building tenants, which may
result in injury or death when the alarm is ignored during an actual emergency. Fire alarm systems such as
pull boxes and smoke alarms may not be tampered with or altered for any reason. False alarms created by
tenants such as using a pull station when there is no fire or smoking in, is a fineable offense by the City of
Easthampton.
Evacuation: Fire alarms in the building should be treated as a real fire every time. The only deviation from
this is when we schedule our annual fire alarm and sprinkler tests. You will be notified well in advance of
these tests.
You must leave the building during an alarm. Failure to do so puts your safety and the safety of others at
risk, impedes emergency personnel, and is a fineable offense by the City of Easthampton. DO NOT use
elevators in the event of a fire alarm.
Fire Extinguishers: Multi-purpose ABC fire extinguishers are located throughout the building for use by the
occupants on most types of small fires. When using a fire extinguisher, use the P.A.S.S. method:
P - Pull the pin
A – Aim
S - Squeeze the trigger
S - Sweep the fire
Each tenant needs to have his/her own personal fire extinguisher in their space, as listed in your lease under
Stipulation #9. It must be in the space as a precaution and as required by the Easthampton Building
Inspector. The extinguisher must be hung by the main entrance of your space, no higher than 4’ from the
floor.
Fire extinguishers are required by the City of Easthampton to be inspected every year. Eastworks
Management offers tenants the option to get their fire extinguishers inspected while the building fire
extinguishers are being inspected. Cost is $5.00 to get your fire extinguisher inspected which can be paid by
cash, check, or credit card. Payment for inspection and any additional service or repair is due at time of
service.
Eastworks will send a memo to tenants notifying them when the building fire extinguishers are being
inspected to allow tenants to notify the office that they wish to have theirs inspected as well. You must be
present to have your fire extinguisher inspected and Eastworks can only offer a timeframe, not a specific
time, that your extinguisher will be inspected. Should you need to schedule a more specific time that is
convenient for you, please contact Massachusetts Fire and Tech at (413) 731-8000.
Automatic Sprinkler System: The entire building is equipped with an automatic sprinkler system. The
sprinkler heads located in each space must never be painted, covered, blocked, or tampered with in any
way. All sprinkler heads must have a minimum of 2’ feet of clearance in all directions.
If a sprinkler system riser or essential component of the sprinkler system is within your space, you will have
been notified and shown where it is in the space upon your move in. There MUST always be a clear
uninhibited path to these locations. Do not block, tamper with, or otherwise inhibit the riser or sprinkler
system component. You will be notified at least 24 hours in advance if Eastworks will be entering your space

to access these locations. In the event that sprinkler system repairs are needed within your space, Eastworks
will schedule repairs immediately, and tenants will not hinder access or otherwise control when the repairs
are done.
Annual Inspection: Every year, the Easthampton Fire Department conducts an annual safety inspection of
every space within the building. The test is scheduled, and tenants are notified in advance. Outlined below
are criteria and expectations that the Fire Department is looking for in each space. Tenants in violation are
given a written warning and a time frame to make changes. Repeated violations are subject to possible
fines.
Safety Management Practices: The policies listed below are intended for addressing safety management
practices, which could result in fire or other forms of preventable loss. If you have questions regarding fire
safety, contact the Easthampton Fire Department at (413) 527-4200. All fire-related incidents or unsafe
conditions, regardless of the severity, should be reported to the Eastworks Management Office.
PLEASE NOTE THE HIGHLIGHTED SECTIONS ARE REQUIRED BY CITY AND STATE BUILDING CODES AND ARE
NOT OPTIONAL.
•
Flammable Liquid Cabinets: All flammable liquids used should be stored in an approved flammable
liquid storage cabinet to minimize the potential of a fire. The cabinet should be constructed in
accordance with the current edition of NFPA 30, “Flammable and Combustible Liquid Code.” These
cabinets can be purchased through most local hardware stores. THERE IS ABSOLUTELY NO GAS OR
PROPANE ALLOWED IN OR NEAR THE BUILDING.
•
Used Rag Storage Listed in Containers: To prevent fires from possible spontaneous combustion, all rags
should be stored immediately after use in a UL-Listed and/or FM-approved metal waste container
equipped with a spring-loaded lid. The contents of the containers should be properly disposed of daily.
These containers can be purchased through most local hardware stores.
•
Overuse of extension cords: If you need an extension cord, construction grade are the only allowable
cords. You cannot plug an extension cord into a power strip.
•
Overloading outlets: Do not overload outlets or power strips. Piggybacking power strips to one another
is strictly prohibited. All appliances (refrigerator, microwave, coffee maker, etc.) must be plugged
directly into an outlet; extension cords and power strips are prohibited for these items.
•
Appliances: Halogen lamps, hot plates, toaster ovens, electric skillets, space heaters and other highpowered electrical appliances are prohibited. Appliances must be plugged directly into wall outlets.
Extension cords and power strips are prohibited.
•
Public Areas: Free items, chairs, desks, pallets, signage such as sandwich boards, boxes etc. are not to
be stored in hallways, stairwells, or any place which would interfere with public access or exit areas of
the building. These items left unattended in such areas are in violation of fire safety codes and will be
removed. The use of crepe paper, corn stalks, and bales of hay or other combustible materials for
decorations is strictly prohibited in public areas.
•
Open Flames: Open flames, candles, incense, etc. are prohibited.

MOVING OUT
Giving Notice: You must give a minimum of 30 days’ notice (or number of days as required by your lease) in
writing, of your intent to vacate the space. Verbal notifications will not be accepted nor be legally binding.
All notices are required by the 30th or 31st of the month(s) prior to your intended move out date. Mid-month
vacancies are not permitted, and you will be responsible for the rent for the entire month.
Mail & Forwarding Address: Please provide a forwarding address to the Eastworks office. It is necessary in
order to return your security deposit (or portion thereof); you can provide a forwarding address when
returning your keys. If you had a mailbox at the Eastworks building, please go to the Easthampton Post
Office (or www.usps.com) to fill out a Change of Address Form. Eastworks is not authorized to forward mail.
Any packages or mail received will be returned to sender after your last day of tenancy.
Security Deposit: Security deposits are processed within 30 days after receiving your keys. Please allow an
additional 15 days to receive your check in the mail. If after 45 days you have not received any
correspondence or check from Eastworks, please notify Eastworks Management.
Returning Keys: All keys must be returned to the Eastworks Management Office: place them in an envelope
and leave them in the rent drop box or slide them under the main office door. You will be charged a
deduction from your security deposit for any keys not returned.
Inspection: An inspection of your suite will be conducted by Eastworks Management within two (2) business
days of move out. The inspection is to confirm the return of any security deposit, minus deductions for any
damages or additional clean up apart from normal wear and tear. The suite should be left empty and broom
swept.
Eastworks Management charges a minimum of $75.00 for any items not affixed to the tenant’s space or in
the hallway after the last day of tenancy. In addition to this minimum charge, tenants will also be billed the
labor costs, dumpster fees and any other charges associated with cleaning out the space and/or hallway.
As a reminder, all items affixed in the space must remain in the space once vacant. The “Improvements”
section language, part VI of your lease is included below:
VI. Improvements. Tenant may, at its own expense, make alterations and improvements such as partitions,
painting, and additional electrical work provided Tenant receives permission of the Landlord in advance,
which permission will not be unreasonably withheld, and provided that it is understood that all items affixed
to the floor, walls, or ceiling by any means not designed to be removed routinely, become the property of the
Landlord and shall not be removed by the Tenant at any time without Landlords' permission.
Important: If you have a refrigerator, place it in a large water-tight container before unplugging and
allowing it to defrost. Defrosting releases a significant amount of water, which can leak into spaces below.
