Leave and Absences
Prince George’s County Public Schools has a generous leave package for all
full-time and part-time eligible employees. The leave package includes shortterm and long-term leaves.

All leave request should be entered using Oracle Self-Service and approved by
your leave granting authorities
Refer to your union contract for details about your leave benefits
Depending on available leave balance, you may receive pay during an
approved extended leave status
Prior to returning from an extended leave (i.e. FMLA, sick leave bank,
disability leave, leave of absence) due to your own illness, you must submit a
certificate of medical release to Absence Management and receive a letter of
eligibility to return to work
Prior to returning from an extended leave (FMLA or leave of absence) due to
reasons not related to your own illness, you must submit a written notice of
your intention to return to work and receive a letter of eligibility to return to
work
Temporary and substitute employees do not qualify for leave benefits

Short-Term leave
Short-Term Leave
Employees who need to take the following types of leave should enter their
leave requests in Oracle Self-Service for their immediate supervisor to review
and approve as appropriate:
• Annual Leave
• Personal Leave
• Vacation
• Leave for Court Appearances
• Military service up to 15 days (must apply through Absence
Management)
• Bereavement Leave
• Illness and personal emergencies up to 10 duty days of sick leave for
PGCEA, ASASP, and Executives & Confidential employees; and up to 15
duty days for local 2250 & Local 400 employees

Extended Leave
Extended Leave
Regular full-time and regular part-time employees can request an extended Leave of
Absence (LOA) under the Family and Medical Leave Act (FMLA), a non-FMLA LOA, and
the Sick Leave Bank (SLB). As an employee of PGCPS, it is your responsibility to know
the policies and procedures regarding the extended Leave of Absence (LOA), and how
those procedures may affect you. Leave forms may be obtained from job sites or at

forms;

request. Absence Management will send a letter to you about your leave request. You

Family and Medical Leave Act (FMLA)
Reasons for Extended Leave Under FMLA
• Employees’ serious health conditions;
• Birth or adoption of a child;
• Placement of a foster child with the employee;
• Care of a spouse, child, or employee’s parent with a serious health
condition;
• Qualifying military exigencies;
• The care of a seriously ill or injured active duty U.S. Servicemember
(National Guard or Reserves on active duty in support of a contingency
operation) for whom the eligible employee is the spouse, child,
parent, or next-of- kin

Non-FMLA Leave Of Absence (LOA)
Reasons for Extended Leave Under Non-FMLA LOA
• Any activity that will benefit PGCPS and is approved by the Chief
Executive Officer (CEO)
• Education
• Employee’s family illness
• Improvement of skills pertaining to employment classification
• Military service beyond 15 days
• Necessity in the home
• Needed rest
• Personal illness
• Political campaign
• Public office
• Sabbatical (PGCEA, ASASP, ES. &C.)
Note: Review your union contract for specific details. You may obtain your
union contract from your union representatives

Benefits During Approved Leave
What Happens to Health, Prescription, Vision, and Dental Insurance During Leave?
You may elect to continue your insurance coverage (health, prescription, vision, and
dental) during extended leave:
• If you are on a paid leave, there is no change in the process for paying for health,
prescription, vision, and dental insurance coverage
• If you are on unpaid leave under FMLA, you must pay your portion of the premium
by cashier's check or money order to the Payroll & Benefits Office before the 1st of
each month
• If you are on unpaid leave under non-FMLA LOA, you must pay the full cost (100 %)
(the employee and the employer cost for health benefits) to the Payroll & Benefits
Office before the 1st of each month
• Benefit coverage will cancel on the last day of each month that premium is paid
When health insurance cancels, employees are responsible for full payment of any
expenses incurred
Upon returning from Leave Without Pay, you have 30 days to enroll or make changes
to your benefit coverage elections. If you need assistance, please contact Benefits

Staying Compliant with Leave Processes
Tips for Managing Your Leave Effectively
• Update your personal information in Oracle Employee Self-Service (ESS)
• Obtain your Oracle Employee Self-Service user name and password from
the help desk @ 301.780.2191, M-F from 8AM to 5PM
• Obtain leave forms from the Absence Management web page @

Sick Leave Bank (SLB)
Sick Leave Bank (SLB)
The SLB is a union benefit. Employees must contact their union to join the sick
leave bank, use the SLB grants, or cancel the SLB membership.
Employees can join the sick leave bank by:
Submitting a completed membership application to their union and
contributing the required yearly donation hours

Workers’ Compensation and ADA Accommodation

If you become sick due to your job or sustain injury from your job:
•

You must call Corvel (1.800.774.2447) to report your claim
You must seek medical attention immediately if needed
You must notify your supervisor
You must contact the PGCPS Risk Management Office (301.952.2186) to
process leave related to your work injury or illness
Supervisor should call Corvel and report the incident and contact the
PGCPS Risk Management Office (301.952.2186) if the employee is not
able to call due to the severity of injury or illness

Returning to Work with Restrictions
Employees may return to work with restrictions through the Transition to
Work (TTW) Program (301.952.2186) by submitting a Certificate of Medical
Release that clearly states the specific restrictions, as well as the beginning
date and ending date. Work through the TTW program is based on space
availability only.
•
Submit a Certificate of Medical Release 10 days before the end of your
approved leave.
•
If returning from an approved extended leave, submit a completed
Certificate of Medical Release form to your Leave Assistant
•
If returning from leave other than the extended leave, submit a
completed Certificate of Medical Release form to the PGCPS Risk
Management Office (301.952.2186)
