Auto-notification from MyTechZone indicating Organizer’s Approval to publish

The person(s) with the role of Author or Corresponding Contact are the only ones who have the authority to
complete the final manuscript process. This person must be logged in to MyTechZone to validate the final
process.
Detailed instructions for Final Manuscript
1) Access
Log into SAE MyTechZone at www.sae.org/mytechzone
Contact SAE staff if UserID and Password is needed

2) Navigate
2a. Left-navigation pane
 click plus sign to the left of the event acronym
 click plus sign to the left of the session folder
 click the paper number

3) Progress Tab
3a. Click the Progress tab to ensure the Approval for Publication field is complete.
(Note: Authors cannot proceed without the Approved for Publication entry)

4) Paper Title - Main Tab
Click on the Main tab and ensure the paper title is correct.
4a. If the paper title needs to be edited, click into the paper title field and edit. Once the edits are
complete you will need to save the changes.
4b. Click to the end of the paper title and press the space bar. The Save button appears on the
lower right of the paper title field.
4c. Click Save button.
NOTE: SAE paper titles are formatted with initial capitalization for every word except articles (the, a, an, etc.) and
prepositions (through, under, from, etc).
Correct Example: NVH-Development of a Novel Serial-Hybrid Diesel-Electric Propulsion System for Urban Bus Applications

5) Author/Co-author listing - Participants Tab
5a. Click the Participants tab and ensure the author/co-author listing is correct and is in proper
order.
5b. Remove participants by clicking the red “x” button to the left of the participant.
5c. Add participants by clicking Add Participant button in the upper right hand corner of the Author
Participant Information block.
1. Search for Participant.
2. Select the appropriate participant from the search results
3. Assign a role
4. Click Add Participant button.
5d. Change the order of the participants if necessary by using the up/down arrows to the right of
each role field.
5e. Click Save Changes button at the bottom right hand of the screen
CAREFUL: once you sign the copyright in the next step, no changes can be made to the author listing

SAE Technical Paper – Final Manuscript Submission – Key Points (as of 9/4/12)
Publishing Process
With SAE’s move to digital publishing, final formatting of technical papers is the exclusive responsibility of SAE. Final
manuscripts are to be submitted in a two-column format as SAE will publish in the classic two-column format. The SAE
Technical Paper template is available at http://volunteers.sae.org.
Formatting
 Although authors may wish to adjust font and layout characteristics to their liking, this will have no effect on the
appearance of the final published paper. Final formatting is controlled by SAE’s electronic publishing process.
 The SAE template provides styles that must be applied to each element (an element is defined as anything that
needs a style tag applied such as a heading, figure, equation, table title, etc.) of the technical paper. SAE uses
these styles as electronic tags that identify each element for electronic formatting.
 Controlling the flow of text around figures and tables is the responsibility of SAE. Therefore, in the technical
paper template, insert figures/tables with their titles/captions between paragraphs near the first text reference
to the figure/table in a way that enhances readability. NOTE: If the author chooses he/she can also place
figures/tables at the end of the paper with appropriate titles/captions and references.
 The optimum way of keeping figures/tables nearest to where referenced in the flow of the text in the final
published paper is by keeping figures/tables to one column width or 3.5 inches or less.
 Authors can have 2-column width figures/tables but these will appear at the top of the page either on the page
where the figure is referenced or at the top of a subsequent page.
 Resolution of the figures/tables should be at least 300 dots-per-inch at the intended publication size. All text
included in figures/tables should be equivalent to, or larger than, 8-point Times New Roman font at final
publication size.
 Equations wider than 3.5 inches must be split to fit within the two-column publishing format. Number
equations consecutively, with the number enclosed in parentheses and following the equation on the same line
(right-justifying the numbers is not required). Note that simple equations may be incorporated into the text
without numbering.
