Most visiting students are hosted on the South Kensington Campus. Some students in life sciences or medical-related disciplines may find themselves taught (ordinarily undertaking projects) at other campuses: St Mary’s Campus in Paddington; Hammersmith Campus; Royal Brompton Campus in South Kensington; Charing Cross Campus in Baron’s Court; Chelsea & Westminster Campus in Chelsea; Northwick Park in Harrow; Silwood Park (Ascot - outside London) Please read the information provided here, and refer to the web pages below. It is your responsibility to inform yourself and to ask any questions. Refer to this document throughout your time at Imperial College. COMPLETING THE ADMISSION PROCESS Visiting students (exchange and non-exchange) will be expected to fulfil any conditions of entry (admission) before they can register on-line. Consult your Student e-Service account. If you have any queries concerning any outstanding admission conditions of entry please contact the relevant Registry Admissions Team (ignore the fact that this is listed as a postgraduate section). COLLEGE REGISTRATION (Enrolment) Please note: Visiting students (exchange and non-exchange) are expected to have fulfilled any conditions of entry before they can register/enrol. Once your admission to the College has been confirmed on Student e-Service, all NEW visiting students should then Register online using Student e-Service You will normally be able to register online within one month of your scheduled start date so long as your admission has been completed (view Student e-Service). All applicants should already have received a logon and password for Student e-Service at the time they applied2 Register online using Student e-Service: How do I do this? : Enter Student e-Service and click on the “online registration” tab. Once you have completed any requests (this may include providing emergency contact details for a parent or relative; answering a question concerning any disabilities you may have; uploading copies of your passport or visa) you will be able to complete your online registration and the print off confirmation of your registration (“registration confirmation page”) Some students will not be able to register until they have obtained their visa, and that may include waiting until you arrive in the UK. Having Problems with Student e-Service? The following web page defines the guiding principles of the Imperial community http://www3.imperial.ac.uk/students/ourprinciples Notice to all students: Once you have registered (enrolled) and arrived on the host campus you should first follow any instructions provided by your host department (see pages 7-8: Your Host Department/Division & Academic Supervision) When would I need to re-register (re-enrol) with the College (if at all)? If you expect to continue your placement beyond the 30 September you need to remember to reregister as a student of the College at that point by looking again for the online registration button/tab on Student e-Service. Once re-registered you should take your ID card to the ID office to be updated. Queries to records@imperial.ac.uk Police Registration (for certain nationals entering the UK on a visa) http://www.imperial.ac.uk/study/international-students/visas-and-immigration/before-and-after-arrival/ This only applies to students who have entered the UK on a student visa and whose visa states that they must register with the police, ordinarily within 7 days of arrival. Departmental/College SAFETY INDUCTION Notice to all students: Once you have registered and arrived on the host campus you should first take the Safety Induction Checklist/Form (available at : http://www3.imperial.ac.uk/staffdevelopment/safety/induction) to your host department/division and ensure you are provided with a formal/official safety induction. This may take more than a day to arrange/to complete but do not worry. Once you have been informed of all the relevant safety information, the Safety Induction Form should then be signed by the relevant member of staff in the host department. You should retain a copy. Last Updated: October 2015 (Registry, Imperial College London) 4 COLLEGE ID CARDS Please note that you CANNOT obtain an ID card until you have registered/enrolled on Student e-Service and arrived on campus. When you register using Student e-Service you will have been asked to upload a photo of yourself. Please try to upload a photo well in advance of the start of your study period or placement. The option to upload a photo becomes unavailable as soon as your start date arrives. However, you can have your photo taken at the ID Office, so please do not worry! Therefore, if you have uploaded a photo of yourself when registering you should take your registration printout to the central College ID Office: Level 1, Sherfield Building, South Kensington Campus in order to collect your ID card. The normal opening hours of the ID Office are Monday-Friday are 8:30 – 10:30; 12:00 – 14:00; 15:45 – 16:45. Alternatively, if you are to be based at a campus other than South Kensington your supervisor at Imperial may suggest that you obtain your ID card at the Security Office on the relevant campus. However, if you did not or were unable to upload a photo when you registered online BUT you do have your registration printout GO TO the central College ID Office with your registration printout in order to have your photo taken and your ID card issued. Alternatively, if you are to be based at a campus other than South Kensington your supervisor at Imperial may suggest that you obtain your ID card at the Security Office on the relevant campus. Buildings Access: a notice to all students: It is important that if your study period or research internship is to take place in a building not normally accessible to a student of the admitting/host department, your host department should contact the ID Office [id.card@imperial.ac.uk] at South Kensington or the Security Office on other campuses in advance of your visit to the ID/Security Office to ensure that you will receive the correct buildings access. Ask about this when you first speak to your project supervisor/course organiser in the host department upon arrival. College Halls of Residence: a notice to all students: If you have been provided with accommodation in a College Hall of Residence please note that buildings/hall access can normally be added to your ID card by the Office at the hall of residence you are residing at. However, there are exceptions to this rule. Purpose of the College ID Card The ID Card has five purposes and must be carried with you at all times whilst on campus: 1. ID for when it is requested by College staff; 2. Library Access Card (see later section) 3. Swipe-card access to the buildings you have an entitlement to enter (please note that access to most halls of residence is by this method, although some halls of residence provide a separate key/card); 4. enables you to pay the student discount rate on purchases made at some College managed shops (most importantly, on the South Kensington Campus, at the Junior Common Room and Queens Tower Restaurant) www.imperial.ac.uk/eatinganddrinking ; 5. Finally, and very importantly, the ID card acts as your Imperial College (Students) Union card (see later section). Last Updated: October 2015 (Registry, Imperial College London) 5 Undergraduate or Postgraduate For purposes of registration you are a “new undergraduate” unless your offer of admission describes you as a postgraduate. This may be confusing to some visiting students. Therefore, if you are following a study programme drawn from a BSc/BEng or MSci/MEng or MBBS degree stream then you are classified as an “undergraduate”. If you are undertaking a study programme based on a graduate-level MSc programme or you are undertaking a masters level project you would normally be classified as a “postgraduate”. If you think this will pose you any problems please email records@imperial.ac.uk Your Imperial College Computer Account (including mailbox) As a user of Student e-Service you should find that your computer account is already fully activated. You will be able to access your mailbox once you arrive at College You will access your computer account using the same username and password that you use for Student e-Service. If you are unsure of your username and password use the “reset your password” function on Student e-Service or call the ICT Service Desk on +44(0)2075949000, remembering to state your CID. Password information cannot be given out over email for security reasons. Official College and Departmental notices/emails are normally sent to your Imperial College mailbox. We encourage you to check your Imperial College mailbox daily. Please note the opening times of the Student Hub on page 2. The closing times are tightly controlled so try not to arrive when the Student Hub is due to close!! It is important that you have sufficient time to liaise properly with staff and them with you. Undergraduate Accommodation during the 2016 Summer Vacation Please note that if the END DATE of your study placement falls beyond the end of the academic year, then an alternative source of accommodation for the period July to September [2016] is Student Summer Vacation Accommodation administered by the Student Hub: http://www.imperial.ac.uk/study/campus-life/accommodation/current-residents/summer/ Please also note that if the END DATE of your study placement falls beyond late September 2016 that accommodation options are limited since College accommodation is normally unavailable to short-stay visiting students beyond late September. However, it is always worth asking. Host Department & Academic Supervision Who is responsible for you? Exchange Students: The Departmental Exchange Programme Coordinator is normally responsible for all aspects of an exchange student’s stay in the host department. Please view the list in the guidance information for applicants. There will always be someone able to answer your questions or to signpost you to someone who can. If you are unsure as to whom to contact in your department/division then email a.hawksworth@imperial.ac.uk For non-exchange occasional (visiting) students you would normally need to contact the Senior Tutor or Postgraduate Tutor for advice or the undergraduate or postgraduate students’ office (or equivalent) in your host department Last Updated: October 2015 (Registry, Imperial College London) 7 Information from the Host Department All NEW visiting students (exchange and non-exchange) should be informed by their host department (study programmes) or supervisor (projects) as to the date/time/venue of your initial meeting. If you are unsure as to whom to contact in your department/division then email a.hawksworth@imperial.ac.uk. At this initial meeting you will have the opportunity to discuss your proposed programme of study and/or project (whatever has been decided prior to arrival) in more detail with the Departmental/Divisional Exchange Programme/Visiting Student Coordinator and/or project supervisor. Again, if for some reason you do not know the name of your coordinator email a.hawksworth@imperial.ac.uk During the first few days you will be asked to complete a departmental Safety Induction (see page 4). This is very important. Do not delay completing the Safety Induction. If you are attending to undertake a project then you should not commence your project until you have completed the Safety Induction to the satisfaction of your host department/division. General Advice about Courses: The vast majority of new exchange students will only take courses provided by the host academic department or where access to courses taught by other academic departments forms part of the host academic department’s curriculum (including undergraduate courses taught in the Centre for Languages, Culture and Communication and undergraduate courses taught by the Imperial College Business School). It is very important that you do not approach other academic departments for access to courses unless you have the approval of your host Departmental/Divisional Exchange Programme/Visiting Student Coordinator. Exam results for courses taught by other departments are normally reported to your host academic department for processing with your other exam results etc. General Advice about Projects: Students who take a combination of courses and project work normally select or are allocated projects from the curriculum. However, students who attend just to undertake a project do so normally on an independent basis (i.e. the project is not part of the host department’s curriculum). See the advice about transcripts on pages 9-10. See the advice on pages 9-10 Learning Agreements (normally relevant to Erasmus students). In accordance with the College’s system for looking after students all visiting students should expect to be allocated a personal tutor or a supervisor depending on the nature of your placement (courses, courses/project or project). When you are introduced to your department/division at the “initial meeting” make sure you understand what support you have access to. Completion of Certificates of Arrival Certificates of Attendance Learning Agreements for Studies Transcripts for students who have been assessed/examined (curriculum only) Learning Agreements for Traineeships Independent Projects Certificates of Arrival/Attendance Students who require certificates of arrival and certificates of attendance to be completed and signed/stamped should bring these to the Student Hub, where a member of the College (Registry) Records Team will be able to complete these for you. Please do not attempt to complete the forms before presenting them to the Records Team. Ensure you have your College ID card with you. Alternatively, you can email them to records@imperial.ac.uk (remembering to quote your CID). Learning Agreements for Studies (normally only Erasmus students) IF Part A (old style learning agreement) or BEFORE section (new style learning agreement) of your learning agreement has not been completed by the host academic department and returned to you prior to your arrival at Imperial College, you should speak to the Departmental Exchange Programme co-ordinator in order to locate it. If your particular learning agreement requires an institutional level signature then please note that you must ensure that your Part A (old style learning agreement) or BEFORE section (new style learning agreement) of your Learning Agreement (study plan, with or without ECTS credits) is completed in full and has been signed by the Departmental Exchange Programme co-ordinator in your host department before you ask the College (Registry) Student Records team (via the Student Hub) to sign/stamp it. However, most learning agreements only require the signature of the host academic department. Use Part B (old style learning agreement) or the DURING section (new style learning agreement) as necessary during your study period. Complete the AFTER section (new style learning agreement only) with the assistance of both your home and host student exchange co-ordinators at the end of your study period. Transcripts A Transcript is an official document issued by Imperial College which lists a.) any formal assessments/examinations a student has undertaken, b.) records the marks achieved and c.) lists the ECTS credits awarded if the assessment has been undertaken successfully Please note that transcripts can only be produced (issued) once your marks have been formally issued by the Registry via Student eService (www.imperial.ac.uk/studenteservice) For undergraduate students this will not be until late July or early August and for postgraduates it may not be until the autumn. Ordinarily, a copy will be sent to you as a pdf (by email). If you want to receive a hard copy please also confirm the postal address for it to be sent to. If you wish a transcript to be sent to a “third party” (e.g. your home university) you can select a postal address or an email address for the transcript to be sent. Your host academic department may be willing to communicate unofficial curricula-based examination and project results to their counterpart at your home university at an earlier date. Departments are normally willing to do this at the earliest possible opportunity to assist certain students who, for example, are due to start their next academic year shortly after leaving Imperial College. However, this is at the discretion of the host academic department. Speak to your host Departmental Student Exchange Coordinator for guidance. Please note that the College does not process any ECTS-model transcripts which some partner universities issue their students with. Learning Agreement for Traineeships (normally Erasmus Traineeship students only) IF Part A (old style learning agreement) or BEFORE section (new style learning agreement) of your learning agreement has not been completed by the host academic department and returned to you prior to your arrival at Imperial College, you should speak to your supervisor in order to locate it. If your particular learning agreement requires an institutional level signature then please note that you must ensure that your Part A (old style learning agreement) or BEFORE section (new style learning agreement) of your Learning Agreement (work plan) is completed in full and has been signed by the Departmental before you ask the College (Registry) Student Records team to sign/stamp it. However, most learning agreements only require the signature of the host academic department. Use Part B (old style learning agreement) or the DURING section (new style learning agreement) as necessary during your traineeship/placement period. Complete the AFTER section (new style learning agreement only) with the assistance of your supervisor at the end of your study period. Independent Projects If you are attending Imperial College to only undertake an independent project (i.e. a project which is not a formal part of the College’s curriculum) then you would not normally be issued with a transcript. Instead you should instead request a statement from your independent project supervisor. If you are undertaking an independent project (i.e. a project which is not a formal part of the College’s curriculum) as part of a broader study plan (courses) then you would not expect to have the outcome of your independent project appear on your transcript. Instead you should request a statement from your independent project supervisor. IMPERIAL COLLEGE (Students) UNION Your College ID card acts as your Imperial College (Students) Union card. Acquaint yourself with the location of the Union Offices and facilities. The Union is located in Beit Quad on the South Kensington Campus (see online maps). View information on the Imperial College Union website at www.imperialcollegeunion.org The Union website includes information on the Advice Centre, Clubs and Societies and FELIX (the student newspaper) so that you know what is happening. The ERASMUS Club Our ERASMUS Club can be contacted via Facebook or emailed at erasmus@imperial.ac.uk The Club (a club of the Imperial College Union) is normally active throughout the year, although mostly during the first two terms (October until mid/late March). The Club is run by our students, many of whom were studying abroad in 2014-15. The club normally meets regularly, and stages a variety of visits and events. Last Updated: October 2015 (Registry, Imperial College London) 11 TRAVEL IN THE LONDON AREA You are also advised to familiarise yourself with the Transport for London website : http://www.tfl.gov.uk It is advised that all students obtain an oyster card (see the Transport for London website: http://www.tfl.gov.uk Those of you who have found accommodation at a distance from the campus (where you will be taught) may be interested in the 18+ Student Oyster Card Scheme (operated by Transport for London) for discounted travel on period tickets for weekly/monthly/annual travel: see relevant section of the College website. The online application procedure requires you to pay a fee (£10), have a bank account (UK and non-UK are acceptable) and a photo which you can upload. Please note: to be eligible to apply for the Transport for London Photocard scheme, you need to be a fully registered student at Imperial College for at least 14 weeks. COUNCIL TAX Council Tax is a local tax set by councils to help pay for local services like policing and refuse collection. It applies to all domestic properties. However, students living in College halls of residence are automatically exempt from paying Council Tax.
