POSITION SUMMARY: Working hand-in-hand with the Director of Volunteer Engagement, and the Volunteer and Community Engagement Coordinator, the volunteer team is responsible for helping to grow and strengthen CEP’s existing volunteer program which currently recruits and manages over 900 volunteers who provide more than 26,000 hours of service. This position serves as the department’s “expert” on Salesforce database utilization and management. The Coordinator will participate actively in CEP’s external affairs team. RESPONSIBILITIES: Database (approximately 50% of the time) ● Serve as the lead staff member, the “Power User” of the volunteer department overseeing the management of Salesforce database. Manage volunteer program data, including purging lists, creating records, maintaining volunteer contact information, records of volunteer service, and data on volunteer shifts. Ensure appropriate logging of inquiries and connection back to Salesforce records ● As the Power User for the department, train new departmental staff on Salesforce, following the standards manual and other training materials. Seek out training opportunities to increase proficiency with Salesforce ● Run queries, provide analysis, produce dashboard reports, and other reports as requested by Director and other departments ● Utilize and set up Salesforce to schedule volunteers for training and volunteer shifts ● Utilize Salesforce to produce segmented emails and mass volunteer mailings such as the volunteer newsletter and other volunteer communications. Manage the timelines of those mailings, keeping others on task and to the schedule. 1 Volunteer Stewardship (approximately 20% of the time) ● Participate in developing strategies for volunteer stewardship, management, and retention that promote high levels of volunteer satisfaction. Implement those strategies ● Prepare and conduct volunteer surveys, mailings, and others as assigned by Director ● Plan and execute volunteer appreciation/recognition events for tax clinic, financial capability, assigned tax sites, and CEP overall ● In collaboration with VE staff, create content for Volunteer Newsletter and distribute to volunteers ● Serve as primary staff to support volunteers needing assistance and a response from the volunteer department phone line and email address. Return volunteer emails and phone calls with highest level of customer service. Coordinate with Innovation Manager to ensure timely resolution and responses to issues with online training. Volunteer Training and Tax Site Work (approximately 20% of the time) ● Collaborate with volunteer staff to ensure a positive, productive volunteer experience ● Develop process for placing reminders messages to volunteers for orientations and trainings for all CEP programming. Oversee and implement that process ● With the volunteer staff, plan and coordinate logistics for volunteer orientations and trainings for all CEP programs. During tax season most of those take place on weeknights and Saturdays ● Conduct evening and weekend tax site visits during tax season ● Participate in the tax season working group(s) to coordinate volunteer needs and expectations ● Coordinate supplies, hospitality, volunteer registration, site orientations, and help desk activities Intern Program (approximately 5% of the time) ● Work with Director to design an intern and fellowship program that fills critical program needs while creating meaningful opportunities for interns and fellows. Implement that program which includes posting ads, attending recruiting fairs, screening resumes, setting interviews, onboarding, conducting exit interviews, etc. Other (approximately 5% of the time) ● Attend and actively participate in required educational programs and departmental and staff meetings ● Protect organization's value by keeping information confidential ● Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations ● Perform other duties as assigned by supervisor QUALIFICATIONS: Education ● Bachelor’s Degree or commensurate experience required. Job Experience ● Minimum of one year required, including work with volunteers, in community programs, or other relevant experience. 2 Special Skills and Qualifications ● Proficiency with MS Office Suite and/or Google products and, ideally, experience with databases or CRM software ● Exceptional interpersonal skills ● Personal volunteer experience highly preferred ● Excellent oral and written communication skills ● Proven customer service skills ● Experience and comfort with public speaking ● Strong organizational skills, attention to detail, and ability to prioritize and meet deadlines ● Self-starter with ability to work independently and in a team environment ● Ability to work positively and professionally with people of diverse backgrounds ● Interest in and commitment to CEP’s mission and vision. WORK ENVIRONMENT: ● This position operates primarily in a professional office environment that is accessible. Some work at off-site locations may be required and those may not necessarily be fully accessible ● This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines ● While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee must frequently lift and/or move objects up to 25 pounds and occasionally lift and/or move objects up to 40 pounds ● This is a full-time position at 37.5 hours per week. Days of work are Monday through Friday, hours flexible. Evening and weekend work will may be required, especially during tax season ● Some travel to off-site locations in the Chicago metro area is required.
