General information Below is an outline of the various steps of the registration procedure for the Asian Career Fair 2015 (ACF 2015) that will take place at MIT from March 5th to March 8th, 2015. Please read these carefully. There are three steps to the registration procedure. 1. Registering online (Early-bird before Nov. 30th, 2014; final deadline before Jan. 31st, 2015) Click on our website http://asiancareerfair.mit.edu/employer-registration/ to access the online registration form (password: MITacf). The registered information on this website will used for contact all ACF related business. After this registration, you will be led to the database website maintained by a third party service landi.io, at http://acfdatabase.mit.edu/ for the access of online database. Please fill the sign-up form. You will gain access to the candidate resume database after the approval from the MIT Asian Career Fair Committee. When you register online, we strongly recommend using the English spelling of names (such as cities, institutes). It is, however, a requirement to gain access to our web pages to upload information about your company or organization and to gain access to the candidate resume database. 2. Payment (Amount due within 30 days after registration. Details refer to Section III) The registration fee for the Asian Career Fair 2015 is based on different sponsorship levels. For details, please refer to our sponsorship package detailed on page xx. Payment can be made by either check or wire transfer. Invoices and receipts can be issued upon request. After the registration fee is received, your organization or company will be approved online and gain access to the candidate resume database until May 31st, 2015. Your organization or company will also be featured as a participant on our website. 3. Employer information (Information due within 30 days of registration. Details refer to Section IV) ACF offers your organization or company the opportunity to promote itself in various ways: please update your company’s profile, job openings and submit the necessary logistical and publicity documents via ACF’s online database (http://acfdatabase.mit.edu/). You can also directly provide us with a brief introduction of your company, descriptions of job opportunities and a logo for Career Fair publicity. For details, please refer to the Section IV. 2 II. Registration The registration fee for the MIT Asian Career Fair 2015 is based on different sponsorship levels. After the sponsorship level is decided, the invoice for the participation fee will be sent to the participant. The following table is a summary of different sponsorship packages: *Posters are designed by companies. ACF helps with poster print and distribution. *Early bird prices apply for registration before Nov. 30th. *The online level will be free for first 30 registered companies. 3 III. Please note that within a given sponsorship level, booth allocation will be done in order in which we receive payments. Therefore, we suggest that you make the payment as early as possible. If you fail to make the payment before the deadline, we will allocate your slot to companies in the waiting list. Should you have any difficulties making the payment, please contact us as soon as possible. ● Refund Deadlines Withdrawal and an 80% refund are possible 4 weeks before the Asian Career Fair (February 6th). 40% refund is possible 2 weeks before the event (February 20th). After this date, no refunds will be available. 4 IV. Submission of Employer Info The Asian Career Fair recognizes that employer visibility is crucial to the success of the event. For this reason, we offer various ways to promote your institution. We hope that you can submit all information conveniently through ACF’s online database by registering on http://acfdatabase.mit.edu/, clicking on “Employer Info” under “My Profile” and updating your company details and job posting accordingly (refer to the following figure). Employer profile in booklet In addition to online and social media publicity, we will also print and distribute a Career Fair Booklet. The booklet mainly consists of employer profiles and advertisements. The booklet is made available to all candidates to the Fair and our institutional sponsors such as MIT Career Office. The employer profile in the booklet will feature the following two sections: 1. Fact sheet of your company/organization, including contact information This profile will allow candidates that are unfamiliar with your company/organization to quickly find relevant information. A formalized layout and uniform categories ensure a consistent look and make it easier for candidates to navigate. The information will be collected from ACF’s online database. Therefore, we hope that you can fill out the employer profile online with as many details as possible. Please note that the requested 5 recruiting contact information is meant as a contact address for interested candidates, and will be printed in your profile. Please only include information that you wish to disclose publicly. 2. Booklet advertisement poster from your company Apart from basic employer information, we will also include an advertisement page from your company. Advertisement has to be submitted according to the specifications below. Note that documents that do not correspond to these specifications may be resized to fit. Online Database One of the main assets of the Asian Career Fair is its online candidate resume database (http://acfdatabase.mit.edu/). Once the payment has been received by ACF, your account will be officially approved and the database can be accessed. Company representative registration In order to ensure that each of your representatives has access to all facilities during the Fair day, it is critical that we are aware of their attendance. Please provide us with details such as their name through ACF’s online database, so we can print badges with their names for use on the Fair day. Note that name/title will appear on the badge exactly as indicated in the online form. 2. Timeline for the Fair Thursday - Saturday March 5 – 7, 2015: Information Session Time upon request MIT campus (various rooms) Information Session (refreshments/lunch/dinner provided to HRs and students) Saturday March 7, 2015: The Day of the Fair 9 am - 10 am Lobdell Hall, Building W20-208 (Stratton Student Center), MIT Setup of the Fair booths 10 am - 4 pm Lobdell Hall, Building W20-208 (Stratton Student Center), MIT Career Fair (exhibition; lunch provided to HRs) 6:30 pm - 8:30 pm TBD Networking dinner (ongoing at the same time through the day) 11 am – 8 pm TBD Interview Sessions (lunch provided to HRs) 8 Following is a brief introduction to these aforementioned sessions. Information session (Friday - Saturday March 6 – 7, 2015) • You will have the opportunity of hosting a 1 hour information session upon request. Typically you can make a 40-minute public presentation of your organization, followed with a 20-minute Question & Answer session. A member of the team will contact you prior to the presentation, and aid in guiding you to the lecture room provided. • Company Information Session is free of charge for Gold and Platinum sponsors, and presentation slots can be requested through ACF’s online database. All presentation rooms are equipped with projector for laptops. • Note that presenters will have to bring their own laptops for the presentation. A team member will be available to assist in setting up your computer, but it is the presenter’s responsibility to ensure that the required software and files are loaded. Company Booth Presentation on the Fair day (Saturday, March 7, 2015) • After setting up the booths, the Fair will run continuously from 10am to 4pm. During that time you will have the opportunity to interact with the attending candidates interested in your organization. We expect approximately 1000 walk-ins to the Fair. We strongly recommend you to attend with multiple representatives: this will allow more personal contacts, and keeps the booth attended during lunch times and breaks and possible information sessions. • You will have the opportunity to schedule interviews on the same day with the candidates of your choice. We strongly recommend the use of our online database to prescreen candidates prior to the Fair. By doing so, we can better assist candidates in finding the appropriate locations of their interviews. We recommend employers to allocate approximately 50% of the interview spots in advance, while the other 50% are scheduled during the day of the Fair. Our team encourages you to use a scheduling sheet (already containing the interviews you pre-scheduled), and you will be able to fill up the remaining spots. • During the Fair, lunch and drinks will be provided for employers. • Wireless Internet will be available at the booths. Instructions on how to set up your connection will be made available upon arrival. Interview Session on the Fair day (Saturday March 7, 2015) 9 • You will be able to conduct the scheduled interviews at MIT Career Development Office’s interview rooms as well as other selected classroom locations around campus as preferred. • Wireless Internet will be available free of charge in all interview rooms. • During the interview sessions, a bagged lunch will be provided to employers conducting interviews, who have pre-registered for this service in advance through our online database.
