Immanuel Co-op Handbook Proverbs 1:1-8 The proverbs of Solomon son of David, king of Israel for attaining wisdom and discipline; for understanding words of insight; for acquiring a disciplined and prudent life; doing what is right and just and fair; for giving prudence to the simple, knowledge and discretion to the younglet the wise listen and add to their learning, and let the discerning get guidancefor understanding proverbs and parables, the sayings and riddles of the wise. The fear of the LORD is the beginning of knowledge, But fools despise wisdom and discipline. Listen, my son, to your father’s instruction and do not forsake your mother’s teaching. IHG Handbook Immanuel Homeschool Group was organized in January 2000 to supplement the homeschool experience with academic and enrichment classes as well as unique and solid social interactions. As parents we are ultimately responsible for our children’s education. Immanuel Homeschool Group offers families the opportunity to supplement their homeschool curriculum with academic and enrichment classes. This group requires extensive parental involvement. This program is not intended to replace your homeschool curriculum or provide High School graduation requirements. It is your responsibility to determine whether the content of a class is adequate to meet your curriculum criteria or whether it is a class that will be added to your program for enrichment. We offer High School classes, but we are not accredited to establish High School credit hours. The accounting of credits and tracking High School hours is the responsibility of the student and parents. IHG is open to all homeschool families in this area of western Washington. The oldest child registering must be age 7 before September 15th of the current year. Please read through this entire handbook including policies, procedures and expectations. Take time to prayerfully consider your involvement at IHG. This is a huge commitment, but one, we believe, will bring great blessing to your homeschool experience. This handbook and policies are subject to change as the need arises. Changes are effective at the time of revision. The oldest child registering must be age 7 before September 15th of the current year. Because IHG is a co-op, parents are required to fulfill assigned jobs and remain in the building with their children every IHG school day. Membership with IHG is established when the nonrefundable $40.00 registration fee is paid and a membership/registration packet including all required forms and signatures is submitted. Some forms are submitted online during the family online registration process. See pages 20-21 for directions in the registration process. Please carefully read this document and discuss it with your children. It is important that all members fully comply with IHG’s policies and procedures, both to ensure safety and to manage the use of the facility that God has provided for us. To remain a co-op member in good standing, you must follow these guidelines and all fees and tuition payments must be posted by the due dates in the IHG Calendar. Immanuel Homeschool Co-op admits family members of any race, color, and national or ethnic origins to all the rights, privileges, programs, and activities generally accorded or made available to members of the co-op. If the membership of a family is deemed at any time to be detrimental to IHG, the Board reserves the right to revoke the membership of that family. IHG Fees and Tuition A non-refundable $40.00 registration fee per family is due at the time of registration. Payable to IHG. Materials Fees are non-refundable. IHG Calendar In general, co-op meets on Fridays from mid-September through May. Refer to the calendar for the co-op schedule. The school year consists of 28 weeks divided into 7 sessions which are 4 weeks each. We also divide the year into two semesters which usually run from the first meeting in September through January (Semester 1) and February through May (Semester 2). The yearly calendar includes class and session dates, chapel dates, tuition and fee payment due dates, and a variety of other important dates. The co-op calendar is always available on the co-op webpage at immanuelhg.com and is updated weekly. Through out the year, field trips, family fun activities, and other events are added to the calendar on a regular basis. Payment due dates as well as all activities and other deadlines are posted in the IHG weekly newsletter and on the news and announcements section of the webpage. Although the schedule is subject to revision the typical yearly schedule follows the pattern shown on the next page. As a general rule, session tuition payments are due 4 to 5 weeks before that session starts. The co-op daily schedule consists of six 55 minute class periods with a 30 minute lunch. A 1 hour Chapel program will be held during 3rd period five Fridays throughout the year. Families are expected to arrive by 8:45 a.m. to help setup their 1st period classroom and to stay until 3:45 p.m. to help clean-up their 6th period classroom. Everyone, including teachers, TAs, and students, should help set up or break down. IHG Communication Procedures Email Email is our primary form of communication. Through email we will make announcements about co-op classes, payment deadlines, field trips, and other events. All co-op families are encouraged to have regular access to the internet and an email account. It is important that you check your family email box frequently. There are computers with internet access available at the local public libraries and there are a number of free email services such as hotmail, gmail, etc. Co-op class registration is done via the internet on our registration website. Each family must request membership and must have a working email address in order to register. Use email etiquette when contacting other co-op members via email. Just as it's not polite to give out a person's telephone number without his or her knowledge, it's not polite to broadcast everyone's e-mail address. If you need to send an email to several co-op families, please create an email distribution group or use the BCC (blind copy) field to list all the addresses instead of the TO or CC fields. When you send a message to 30 people and use the TO or CC fields to address the message, all 30 people see each other's address. By using BCC, each recipient sees only two addresses--theirs and yours. Be careful with other folks contact information — keep it private. Do not use co-op email addresses to send mass emails . Please keep your virus checker and spam and junk filters running. There are many viruses that cause your email program to send everyone in your address book an infected file. The sender may not even know they're sending you a virus. In fact, they may not even know they're sending you an email. All communications abuse should be promptly reported to the IHG Board. Newsletter Once a week, usually by Wednesday afternoon, you will receive the co-op newsletter via email. This newsletter is reserved for co-op announcements and board communication ONLY. The IHG newsletter is distributed in the body of an email. The Subject line should read something like “IHG Newsletter…” with the date. Occasionally longer announcements or additional documents may be distributed with the newsletter. The format of the newsletter is a webbased mail service called Mail Chimp. You have the option of an HTML or text version of the newsletter. Be sure that this service, as well as info@mmanuelhg.com is listed in your safe list so it is not recognized as spam. If you don’t receive the newsletter, let us know asap. Webpage The co-op webpage (immanuelhg.com) is a great source of information. Co-op news and announcements are updated frequently. The co-op email address is info@immanuelhg.com. This email address is reserved for co-op business ONLY. If you send forwards or junk mail to this address, you will be tagged as an “unsafe” sender and your emails will automatically go to the junk box. IHG Communication Procedures Mailbox Table Located on the main floor near the Coffee Bar area are the parent information tables. One of these tables will house the “Family Mailboxes”. Necessary communication will be placed in your mailbox. It is your responsibility to check your mailbox on a weekly basis. We request that parents be the ones to retrieve information from the mailboxes. With the exception of Teacher/Parent/Student or Board/Family/Co-op communications, information you wish to share through the mailboxes must be cleared through the board prior to distribution. Items posted do not necessarily constitute IHG endorsement or promotion. At no time should the mailboxes be used for solicitation for personal business (such as Mary Kay, Tupperware, etc.) or fundraising for non-IHG groups. Information Table, Announcements Board, and Binder Table Next to the “Mailbox Table” is the “Community Table”. On this table you will find announcements and special event sign ups. Please check this area weekly in addition to your mailbox. Near the mailbox and information tables will be a whiteboard with the week’s most important reminders and messages. Please check this board at the beginning of your day at IHG. Also, nearby are several information binders with schedules for all co-op members, a copy of the handbook, etc. The Sign out/Sign in sheets for temporary absence are at the jobs table. Telephone, Social Media, and other Communications The Board will not make individual phone calls to communicate with IHG members. We also ask that your calls to Board members be reserved for emergencies or private discussions which would be difficult at school on Fridays. Please do IHG business at IHG on Fridays. Thank you for protecting our personal time, but be assured we, the Board, are available for your special needs. Again, please protect each other’s privacy. Do not give out each other’s phone, address, or email information without consent. DO NOT make copies of the IHG family directory and distribute to ANYONE. Never give out your co-op webpage username and password. Most of our webpage is restricted to MEMBERS ONLY. If your password is given out, then our webpage becomes vulnerable to attack. Do not post anywhere online group pictures identifying or tagging people without their direct permission. Do not post individual pictures of other people without their permission." Do not call Bethany Baptist Church for IHG information. IHG General Policies and Procedures Set up/Clean up You will be expected to assist in setting up for the co-op day in the morning (arrive at 8:45am) if you attend 1st period or in the breakdown/clean up at the end of the day (completed around 3:50pm) if you stay through 6th period. If you have a physical limitation that would affect your ability to assist in setting up, breakdown or cleaning, please speak to the jobs coordinators and be prepared to assist to the best of your ability. List any limitations on your Parent Schedule Preference form. Emergency Procedures Teachers will be instructed in fire safety and talk the children through the escape plan in each class. A building evacuation plan is located in the attendance binder for each classroom. There is also a building floor plan with exits posted on the wall in each room . If alarm should sound, all children will be evacuated from building according to preplanned routes and procedures. Children are to remain with their class and teacher. Attendance will be taken once everyone is out of the building and in their designated safety location. Teachers will be notified when it is safe to reenter the building. Should we be unable to reenter the building, co-op will be dismissed for the remainder of the day. Teachers will remain with students until parents are able to pick them up. Under no circumstances should anyone (adults or students) reenter the building to retrieve belongings. In the event of an earthquake, everyone should go under a table, and assume the “duck and cover” position, staying away from windows. A procedure for lockdown will be covered in class. Parking and Outside the Building (Bethany Baptist Church) There is ample parking all the way around the building. IHG members may NOT park in the lower West lot closest to the church building and offices. These spots are reserved for Bethany Baptist Church use ONLY. Handicap parking is available in the upper parking lot. The playground equipment is off limits. Absolutely no climbing or sitting on the Jesus statue in front. Inside the Building (Bethany Baptist Church) The downstairs south hallway that runs between the church office and the cross walk (sunken theater) is OFF LIMITS to ALL co-op members (adults as well as children). Please honor this request by the church. Be aware that the church is conducting business “as usual” during our day at co-op. Please try to keep the class-change noise down as much as possible. Please do not sit on tables or stand on furniture. ABSOLUTELY NO RUNNING OR YELLING ANYWHERE IN THE BUILDING! Per Bethany’s request, all pianos are off limits except during class or chapel. There should be no food in the classrooms without prior approval by the board. Absolutely no peanut products are allowed anywhere downstairs at anytime. No one should be downstairs during lunch. IHG General Policies and Procedures Lunch Lunch is from 12:00 noon until 12:30pm. Do not bring any food which would stain if spilled. Parents are responsible for the cleanup of their family. Lunch must only be eaten in the upstairs foyer area or outside. The chapel rooms, library, and kitchen classroom are also available for lunch. However, the kitchen, sanctuary, and stairwells are off limits. Lunch is not permitted anywhere downstairs. Parent permission must be given for students to leave campus at lunch. IHG is not liable for off campus lunches. Snow Policy If the Puyallup School District is closed then we are closed. If the schools are on a two hour late schedule IHG will be closed. Listen to the local news on the radio or TV for reports. You can also find local school closure information on the web at www.schoolreport.org. Co-op closure information will be posted on the news and announcements page on the co-op website at immanuelhg.com and an announcement email will be sent to your family email box as soon as possible after a closure is determined. Do not call Bethany Baptist Church for co-op information. Student Supplies Required textbooks and supplies are listed with the Class Descriptions in the CLASSES section of the co-op webpage at immanuelhg.com. Students are responsible for bringing supplies requested by the teachers for each class each week. Parents remember to periodically check supplies to ensure your children are prepared for their classes. Back packs or book bags are recommended. All supplies should be marked with your child’s name. It is also a good idea to put your student’s class schedule on a 3x5 card and attach to their backpack. Lost and Found IHG is not responsible for lost or unclaimed items. There will be a lost and found box located near the information table. If items are not claimed within a reasonable amount of time they will be given to charity. Lunches and art projects left behind will be thrown out. Baby Care Babies are not allowed in the classrooms. Diaper changing, feeding or nursing should be done in the nursery area only. All soiled diapers must be taken home and disposed of. Do not use Bethany Baptist nursery snacks. Please bring snacks for your children if necessary. Absolutely NO peanut products of any kind are allowed in the nursery area. Refer to the Bethany approved snack list. All moms with a child in the nursery are required to serve in the nursery at least one hour each co-op day. All nursery workers are responsible to care for all the children in the nursery, not just their own. IHG Teacher’s Responsibilities Teachers at IHG determine course content and materials. All IHG teachers have signed and agreed to the IHG Mission Statement and Statement of Faith. All IHG teachers must be born again Christians and have a written testimony on file. IHG Drop Off Students We are glad to be able to provide this special program to those students 14 and older who would like to participate in IHG without the presence of their parents. The IHG Board reserves the right to limit the number of drop off students in any year to a number which they feel best suits the co-op and the families. Because Running Start students are unable to commit to a year-long job, they are not eligible for the drop off program. In general: 1. Each student must abide by the code of conduct described in the IHG handbook (Student Responsibilities). Drop Off Students will have a “one- strike” vs. a “three-strike” your out policy. 2. Drop Off Students are required to perform up to one hour of service to the co-op on Fridays. Jobs available to IHG drop off students include 8:30am set on co-op Fridays, or 3:30pm break down and clean-up. A parent is also required to help with setup and cleanup of the Teacher/Parent Tea in June. Details are in the Drop Off application. 3. Drop off students must report any absences. Please use the online form or TEXT Chandra Williams at (253) 576-1817. Three un-excused absences will result in losing your spot in the drop off program. No refund will be given for classes already paid for. 4. Students will take responsibility to complete all class assignments. Failure to comply with IHG Parent, Student, and Drop-Off Student responsibilities will jeopardize your privilege of participating in the Drop Off program. At IHG. IHG Dress Code All co-op members should seek to honor God in character and dress (I Corinthians 6:20). Clothing should be modest. Please avoid the following types of clothing: Revealing shirts (midriff exposed; revealing cleavage or drawing attention to the bust line; extremely tight, backless, strapless, or lingerie tops) are not allowed. Spaghetti strap shirts or dresses are not allowed. (Spaghetti straps may be worn under another top or jacket as long as the straps are not visible and the neckline is not revealing.) Tank top straps must be at least the width of two fingers and cover the bra straps. No undergarments should be visible (including through a sheer blouse). Baggy pants must be belted at waist. No low-riding pants. Leggings worn as pants must be paired with a top that fully covers the rear end. Skirts/dresses must reach the top of the knee unless worn with leggings underneath. Be sure to check the skirt length from the back…they are sometimes shorter in back, especially while walking or bending over. Shorts must also reach the top of the knee. Any item of clothing or accessories that may have a printed message or logo on it should be of a neutral or God honoring theme. Please be cautious about wearing super high heels at co-op. Not only are they unstable, but they can send a sensual message that is not appropriate for co-op. Students or parents not following this dress code will be sent home to change their clothing. Parents should check children's clothing before leaving home for co-op. If you are unsure if something is appropriate, it is probably wise to choose another item of clothing. A helpful reference concerning modest dress can be found in Dana Gresh’s book Secret Keeper (used in 10th grade Legacy). IHG Parent Responsibilities The Parent Responsibilities Contract is a required part of the online IHG Registration for new members and registration renewal for returning members. Parents must read and e-sign (agree to) the Parent Responsibilities Contract each school year before registering for classes at IHG. Parent responsibilities include: 1. Parental participation is mandatory. Students will not be allowed at IHG without a parent in the building at all times except for emergency or illness. At such times a designated substitute “parent” must be assigned. If a parent must leave the building, during the co-op day, they must sign out at the information table. 2. By registering your child at IHG, you agree to complete your assigned jobs every school day. It is imperative that you be on time for all jobs. We depend on one another for a successful school day. A free period is only offered to parents who attend all six periods. 3. If you are unable to fulfill your assigned job due to an absence, you must either notify Chandra Williams (leave a TEXT message on her cell phone (253– 576-1817) or submit an online absence report form. Teachers should make arrangements for a substitute and provide lesson plans when possible. (See teacher responsibilities). Absences must be reported/posted by 8:30am the day of the absence. 4. If a parent must be absent for the day, children may attend if a “substitute parent” attends with them. NOTE: a mom (parent) already at co-op MAY NOT serve as a substitute for an absent parent. High School students 14 years and older may attend co-op as a “one-day drop off” without a parent. One-day drop off students are required to complete a job, either 8:30am setup or 3:30-4:00pm cleanup. One-day drop off students are responsible to check in with the drop off coordinator or the Jobs Coordinator to receive their job assignment. If the student fails to do the job assigned, the parent’s absence will be converted to an unexcused absence and that family loses the privilege of one day drop off for the remainder of the year. 5. Participation at IHG is contingent upon tuition being paid in full and on time. Pay according to the Payment Procedures and Schedule (listed in this handbook). Tuition and materials fees are non refundable. If tuition is 14 days or more late, students may not attend classes until tuition is paid in full. If you are having difficulties financially and payment is not possible, please contact the IHG board. 6. The standard of behavior expected at IHG for children preschool age and above is first time obedience. If your child is not trained to this standard, please talk with an IHG Board member to determine if IHG is the best opportunity for your child. Parent Responsibilities Contract continued on next page… IHG Parent Responsibilities Parent Responsibilities Contract continued… 7. No children are allowed in classrooms or classes they are not registered for. No visitors are allowed in IHG classes; this includes siblings of students. If you have other children attending public or private school, they are not allowed at IHG on their days off from school. We cannot have children at IHG who are not registered members of IHG at any time. Alumni and previous students of IHG are welcome to visit during lunch 12:00 - 12:30pm. 8. We ask that families respect the courtship standard regarding boy/girl relationships, which does not consider casual dating relationships as appropriate for young people who are not seeking marriage as the purpose of the relationship. This involves: Demonstrating a mutual respect for one another as brothers and sisters in Christ Any public display of affection (except between siblings or husband and wife) is not acceptable at co-op. Students of the opposite sex are never permitted to be alone together during the co-op day. 9. Do not send your child to class during the contagious stages of an illness or lice infestation. 10. Parents, especially those responsible for a TA position, must not socialize in classrooms. 11. Parents will be contacted if a disciplinary problem arises with their child. Parents are responsible for their children’s actions and behaviors and will be asked to implement a plan (contract if necessary) with the Board to bring their child to acceptable behavior standards. If such behaviors continue, a child or family might lose their privileges at IHG. 12. If it becomes necessary to drop out of a class, you are required to pay tuition through the current 4 week session. All class changes must be requested in writing on an Add/Drop form found on the payment table or online. Place completed forms in the file labeled Add/Drop in the payment box. Changes must go through the board and the request necessitates one week to be recorded. 13. All parents are responsible to enforce IHG rules for all students. All IHG families must agree to abide by the rules set for our group by the host church and the IHG Board. 14. Read the co-op weekly newsletter and check your mailbox when you first arrive on Friday and again before you leave. 15. All suspicious behavior by known or unknown persons should be reported to the board immediately. IHG Member Responsibilities Agreement Because IHG is a co-op, parents are required to fulfill assigned jobs and remain in the building with their children every IHG school day. Please carefully read the following documents and discuss the Student Responsibilities contract with your children. It is important that all members fully comply with IHG’s policies and procedures, both to ensure safety and to manage the use of the facility that God has provided for us. High School Expectations for Students from Teachers Each class has enough material offered that it satisfies 75/150 hours to equal 1/2 to 1 credit for the year, in which a letter grade will be given at the end of the year. If the class is not designed for a student to receive 1 or 1/2 credit (150/75 hours) then it becomes a Pass/Fail class. Teacher will communicate a grading plan for that class at the beginning of the year. Teacher will not allow student to be disruptive in behavior (this is any kind of behavior that is limiting/stopping academic success for student or fellow students in class) without notifying parent after two weeks of offense. The two weeks gives the teacher/student time to correct behavior. Teacher will not allow student to get behind more than 2 weeks without parent contact. Teacher will give encouraging and constructive feedback on all completed homework so students may effectively build on material learned throughout the year. A student may be asked to drop a high school class if continued behavior and/or late school work causes disruption and hardship for class/teacher. Student and parent will respect and adhere to the agreement they accepted for teacher's plan and expectations for the high school class in which they are enrolled. Submitted High school contracts are a part of the Member Responsibilities Agreement which families submit at registration. A sample of the High School Expectations is located in each attendance binder. Please see a board member if you have any questions.
