Exam Policies and Procedures Effective Fall Semester 2010-11 Updated: 11/12/2010 Students are responsible for familiarizing themselves with the policies, procedures, and regulations related to exam administration. Unfamiliarity with these policies will not excuse non-compliance. Students should review the exam schedule and room assignments that are posted on the web. Each day of exams, the exam schedule for the current day will be posted on the bulletin board in the lobby, as well as on the plasma screens. Students are required to take all of their examinations at the day and time scheduled (see exceptions below). Examination Conflicts An examination conflict occurs when two or more exams are scheduled on the same calendar day. Also, a conflict exists if an exam is scheduled on a day of religious observance. If you have an exam conflict, you should fill out and submit an Examination Conflict/Deferral Form to the Office of Student Affairs no later than the announced deadline. Written notification of the day and time for makeup exams will be sent shortly thereafter. No exam can be rescheduled to a date prior to the scheduled exam date. Exam Deferral In emergencies or other rare circumstances, a student can receive permission to have an exam deferred. Examples include: serious personal injury or illness; serious illness, injury, death of a member of the student's immediate family; significant family events scheduled prior to the announcement of the exam schedule during the registration period; and any other similar events beyond the student's control. To request a deferral due to this type of occurrence, fill out and submit an Examination Conflict/Deferral Form to the Office of Student Affairs no later than three weeks prior to the last day of classes, or with as much notice as possible in emergency cases. The Deferral Form must be accompanied by a written explanation of the event giving rise to the request, along with appropriate documentation (e.g., doctor's note, travel documents). No exam will be rescheduled to a date prior to the scheduled exam date. Accommodations Due to a Documented Disability Students with a documented disability may be entitled to certain accommodations for their examinations. In order to receive accommodations for an exam, a student must obtain authorization in the form of an “AVL” from the Office of Disability Services, and provide a copy of this form to Dean Toth, who is responsible for providing disability services within the law school, no later than one week prior to exams. Dean Toth will provide written notification of the day and time for the accommodated exam(s), normally by the last day of classes. Technical Assistance Students who expect to use a laptop to take exams are required to obtain the latest version of Exam4 and upload a practice exam with that laptop by 5:00 PM on the last day of classes each term. Additionally, first-time Exam4 users must attend a Lawtech workshop and take a practice exam. Anyone who does not meet these requirements will not be entitled to technical support during the exam period, and may be required to handwrite their exams. The latest versions of Exam4 are available through Exam4.com. For those who adhere to this policy, Lawtech will try to assist with any technical (computer) problems that arise during the exam. To minimize the time lost for the student, Lawtech will attempt to resolve the problem within 10 minutes if prior the start of the exam, or within 5 minutes if during the exam. After Lawtech has exceeded the allotted time, they will advise you of the status of the problem, and you may opt to either continue in a Bluebook, or be escorted to a “crash room” to use an emergency laptop. The process of switching to an emergency laptop involves the gathering of your materials, going to the crash room (which may be on a different floor in the building from the exam room), and Exam4 start-up time. As such, the choice to move to an emergency laptop may take up to 15 minutes FROM YOUR EXAM TIME and you WILL NOT receive extra time on your exam for the time lost in switching to an emergency laptop. Please also note that, just as in the switch to Bluebook, you will have not have access to anything you had typed into your previous document – you will be starting on a blank page. Also as with the switch to a Bluebook, if Lawtech is able to retrieve any part of the exam you typed prior to the crash, it will be added to the materials given to your professor. As only three emergency laptops are kept, we can only accommodate the first three eligible students who opt to use the laptops. Again, you are not eligible for these laptops unless you have adhered to the above practice exam policy (including, where applicable, attendance at an Exam4 workshop). Exam Procedures New anonymous exam ID numbers are distributed to students each quarter. Students can retrieve their exam ID numbers through the Virtual Community after “signing” an Exam Procedures Affirmation. Exam numbers will not be given in absence of this affirmation, or via phone or email. Make sure you bring your exam ID number with you to each of your exams, as proctors will not be able to supply them. To assure security, please do not disclose or share your exam ID number with anyone. Students should bring an Ethernet cord to each exam. Computer users should arrive 30 minutes before the exam is scheduled to start. You may go to any computer room where there are available seats. As much as possible, students should sit in every other seat in the room. Bluebook users should arrive 15 minutes before the exam is scheduled to start, at the designated Bluebook room. When you arrive at the exam room, you must sign in and pick up an envelope to be used to submit your exam materials upon completion of the exam. There will also be scrap paper made available unless the instructor has indicated otherwise. Any lengthy supplements will be provided separately. The proctor will have extra materials. Choose your seat and set out permitted materials for the exam. In the case of closed book exams, students should have only a computer or writing instruments in front of them during the exam. All unauthorized electronic devices must be turned off and stored in your bag at the front of the room, along with any other prohibited materials. Possession of a cell phone or other communication device at your seat or on your person during the exam will be considered a violation of the Code of Conduct and dealt with accordingly. When all personal property has been put away and the exam is about to begin, the proctor will distribute all exam questions, face-down. Turning over or looking at the exam before the proctor has officially started the time is a violation of the Code of Conduct and will be dealt with accordingly. No student-to-student communication of any sort is permitted once the exam distribution has begun. Exam4 asks students to type the mode in which they are taking the exam. For in-class exams, this mode will be “Closed”. The mode refers to computer access and not necessarily to the written materials permitted. You MUST type the mode as instructed by the proctor. Choosing an unauthorized mode for the exam is a violation of the Code of Conduct and will be dealt with accordingly. Students must sign out and in when leaving the exam room to use the restroom. If you are taking your exam using a Bluebook, you are responsible for making sure your exam number is on each Bluebook. Number each Bluebook used (e.g., 1 of 2, 2 of 2). (Change in procedure) Once it has been announced that 5 minutes are left in the exam, you are not permitted to leave your seat. If you finish after the 5-minute mark but before time is called, you must remain in your seat until the proctor indicates you may leave. When you are finished, you must turn in your exam packet and sign out. All materials (exam questions, used scrapbooks, Bluebooks, or other reading material distributed during the exam) must be placed back into the envelope and turned in to the proctor at the front of the room. Writing, typing, or failing to submit your exam immediately after the time has been called is a violation of the Code of Conduct. Regardless of whether the exam is completed or not, NO STUDENT-TO-STUDENT COMMUNICATION, ABOUT THE EXAM OR OTHERWISE, IS PERMITTED UNTIL YOU HAVE LEFT THE CLASSROOM. Notify your proctor if you have a question about the exam wording/instruction or experience a technical or health-related problem. The proctor will notify the Office of Student Affairs if a student needs assistance. Inclement Weather Policy Exams may be delayed or postponed during inclement weather. In case of inclement weather, students should check the School of Law website and their Drexel e-mail beginning at 6:00 a.m. the day of the exam. Please note that when classes are in session the School of Law complies with the University’s decision to close during inclement weather. During the exam period, we may postpone or delay final exams even if the University decides to stay open. Please remember to check our website and your Drexel University e-mail account beginning at 6:00 a.m. for notices. Code of Conduct Students are required to adhere to the ethical standards outlined within the Code of Conduct (Student Handbook 10-11, p. 53f). For example, during exams students must not give, accept, or utilize assistance other than what is outlined in the permissible materials or professor’s instructions. Students should not attempt to contact their professor directly regarding an exam, nor should they make any attempt to reveal their exam ID or otherwise breach anonymity. All inquiries regarding exams should be directed to the Office of Student Affairs or Lawtech where appropriate. Once you have completed an exam you are not permitted to discuss it with any student who has not yet taken the exam. It is a violation of the Code of Conduct for any student to disclose the form, content, degree of difficulty or any other information pertaining to the exam, or discuss the exam in any way with any student who has not yet taken the examination.
