2014 Annual Meeting

The annual meeting of the Boyne Mountain Cabins Condominium Association was held in Graz of the
Mountain Grand Lodge, 1Boyne Mountain Road, Boyne Falls, Michigan.

President:
Jean Stock directed introductions of all present.
Jean Stock reported Association Dues and Delinquency Report. The association is doing well
on collecting dues. There are two cabins in arrears. One cabin is in foreclosure and Amy
has been working with the bank to collect the dues. The bank knows not to release title
until the dues are paid. Board would like to make sure the dues is fully collected and not
a settled amount. There is no lien on the property currently, however if the debt grows it
will be suggested.
Vice President:
Jim Rajewski asked all present for approval of minutes. There were no questions or
comments for minutes from 2013. Kim Martin motioned to approve the minutes and
Webb Barnes seconds the motion. Motioned carried.
Tree Trimming and removal: Asking owners to report anything they see of concern or
safety issues with the trees. Addressed the damaged evergreens from last winter’s heavy
snowfall and replacing if needed.
Ski Return, Jim spoke with Steve Matthews regarding the ski return and will be scheduling a
walk through with Steve and any board members that can attend. Jim will try to schedule
the weekend of Owner’s Appreciation May 23-25. This will be a discussion with the
continued growth of Edelweiss and the traffic going across the return.
Secretary/Treasurer:
Financial Review – Financial report is through the month of March. Financials are trending
with the annual budget for year. Pre-paid annual insurance for discounted rate. Snow
removal fared well for the amount of snowfall received. Pooled reserve was discussed
for the increase to the dues for quarterly owners. Carpet was paid out from the pooled
reserve and is already building funds. The concern is to be sure funds are replenished for
appliances that will start needing replacement (dishwashers, refrigerators, microwaves,
and stoves). Jim suggested as a board they need to monitor the budget for the rest of the
year to see what the trend will be before making a decision to increase.
Association Managers Report:
Cabin Staining - Owners who have been interested in staining their Cabins have been
working with Larry McKillip. The second contractor that was used in 2013 is no longer
contracted due to quality of work. We will be contacting Greg from Sealwize for a bid as
another alternative to owners for staining. Staining should occur every 5-7 years on
average depending on site location. Factors such as dampness, amount of sunlight, and
temperatures will change the average. Some cabins could see an average between 3-5
years. Staining should include building, front entrance, back entrance, and patio
furniture.
Landscaping – Spring clean-up underway with clean-up around cabins from winter and
debris. Sanisweep was here to clean up the roads. Mulch is schedules within the next few
weeks. Tree trimming and weed whipping will be scheduled at the same time and
throughout the spring/summer months for upkeep.
Chimney Cleaning – Will be scheduled again in the fall.
Window Cleaning – Spring exterior window cleaning has been completed and will be
scheduled again in the fall.
Owner web site/owner email list – Boyne has a new web site that is property specific between
the three Michigan Resorts. Easier to access and explore into the owner site. Work
tickets can be submitted from this site and will be sent directly to Owner Services to
service.
Elections:
There are up to 3 positions available. Two owners expressed interest in joining the board.
Due to low attendance a quorum was not established so an official vote could not take
place. A formal mailing will take place for the membership to submit their vote. In order
for the vote to pass there needs to be at least 33% of the membership to respond. During
the meeting Kim Martin of Cabin 850D expressed interest in joining the board. The
board encourages all members to take time to fill out and return the ballot.
Michigan Condo Act:
There have been some resent changes to the Michigan Condo Act and there more changes in
process. Owner Services will notify the board when the changes are completed.
New Business:
Boyne Country Heating & Cooling has submitted a bid to maintain annual furnace and air
conditioning maintenance. The cost to owners would be $135 for a thorough inspection
and cleaning. For owners that participate they will waive service fees if they are called
out to the Cabin. Service fees are $65 per visit. Owner services has the breakdown of
services if owners are interested in obtaining a copy of bid.
Trash Bins there were six built last year. The rest of the original bins will need to be replaced
or repaired if any can be salvaged. Cost for a new bin is approximately $1,500. There
are new bins that need to be completed.
Erosion concerns to Cabin 834 and 835 have been addressed by the owners who paid to have
the decks leveled and installed gutters and downspouts.
Resort news – Lacrosse field on the side of the airport is ready and holding tournaments. The
rest of the fields will begin construction soon across the M-75 entrance. Eventually they
will construct Concessions and bathroom facilities.
Tentative for the 2016-2017 ski season to move the Highlands 4 seat high speed
chairlift to replace the Disciples lift.
Owner appreciation will be featured at the Highlands Resort. Boyne Mountain owners
will have an owner reception Friday May 23, 2014 from 6pm – 9pm
