£30,000 to £35,000 per annum
Place2Be is the UK's leading children's mental health charity, providing in-school support and
expert training to improve the emotional wellbeing of children, young people, their families,
teachers and school staff.

access to therapeutic and emotional support in schools, using a proven model backed up by
research and training.

Overall Purpose of the Job
The Executive Assistant to the CEO is a key post at the heart of Place2Be. The post-holder
ensures that the Chief Executive’s busy schedule runs smoothly and professionally represents
Place2Be and its values at all times, demonstrating a sound knowledge and understanding of
Place2Be’s aims, objectives and our work. The role involves engaging with all departments across
Place2Be, including The President and Trustees as well as a wide range of external stakeholders
from head teachers to key partners from government and high level corporate funders. As a
frequent first-point of contact in this fast-paced, dynamic organisation, the post-holder plays a key
role in leading and reflecting the high quality standards and professionalism of our organisation.
Summary of Main Responsibilities
1. Representing and supporting the CEO:



Proactive diary and email management, acting as gatekeeper, taking telephone calls, and
responding to enquiries, maintaining an overview of key priorities.
Supporting the CEO by providing secretarial and administrative assistance, including
maintaining up-to-date records and filing systems and providing relevant papers and
information for meetings.
Meeting and greeting the CEO’s visitors ensuring they are welcomed into a friendly
professional environment and arranging refreshments for CEO led events and meetings.

Undertaking specific projects in support of the CEO, including research and the preparation
of briefings and reports.
Completing any other tasks or duties as directed by the CEO.
2. Ensuring the Professional and Smooth Running of the Chief Executive’s Office and
Executive Team by:




Undertaking the Secretariat function of the Executive Team, Board of Trustees, and a
number of sub committees as required.
Producing professional minutes to a high standard and monitoring action points.
Scheduling meetings, managing agendas, co-ordinating the timely distribution of papers,
and monitoring action points.
Coordinating Trustee induction, compiling induction packs and arranging induction
meetings with key senior staff.
3. General



Work with the Communications team in the organisation and management of internal and
external events where relevant.
Share information and best practice openly and productively.
Actively support and promote the core values of Place2Be.
Flexibility
The job description is a general outline of the job duties and responsibilities and may be amended
as Place2Be develops and the role and team grows. The post holder may be required to
undertake other duties as may reasonably be required from time to time.

Experience in providing proactive administrative support in a senior PA/EA capacity to
senior management.
Flexible, service orientated and solutions focused attitude.
Excellent interpersonal skills – the ability to build and maintain relationships with senior
individuals.
Excellent telephone skills and etiquette.
Excellent written and minute taking skills with an aptitude for summarising and capturing
complex discussions.
Used to handling matters of a highly confidential nature, and discreet in all circumstances.
Highly organised with an exacting attention to detail, ability to plan ahead and manage your
time, negotiating competing demands, with experience of complex diary management and
production of high quality correspondence.
Computer literate with experience of data handling and necessary IT systems using
PowerPoint, Excel and Microsoft Outlook.
Sound judgment, able to work with minimal supervision.
Self-motivation and the capacity to work well with others under pressure.
