POSITION DESCRIPTION – TECHNICAL SERVICES COORDINATOR FULL TIME

POSITION CONTEXT
The Brisbane Powerhouse is a producer and presenter of international, national and local performing arts in
Brisbane and throughout the world.
Brisbane Powerhouse accommodates:

a 560 seat flexible end stage theatre

a 200 seat apron stage theatre

a 700 spectator open stage

visual arts exhibition space

2 restaurants and bars

rehearsal rooms
Brisbane Powerhouse activities include:

presenting international, national and local performing and visual arts

producing performing arts and touring those productions nationally and internationally

housing and supporting resident companies
Purpose
The Technical Services Coordinator plays a vital role within the Brisbane Powerhouse Technical Services
Department. As the key coordinator, they provided support for the successful operation of the department.
The Technical Services Coordinator will liaise with Production Managers, and Heads of Departments to
appropriately crew events at the Brisbane Powerhouse. This includes developing and maintaining an
understanding of crew skills and availabilities. Furthermore, it includes the timely and accurate preparation and
distribution of the department’s production rosters and staffing charges.
The Technical Services Coordinator is responsible for the Production Management of live events as assigned
by the Technical Director, including all free weekend programs on the Turbine Platform.
The Technical Services Coordinator will act as assistant to the Technical Director in the overall administration
of the department and will contribute to the continued development and implementation of all systems,
procedures and services.
Reporting Relationship
The Technical Services Coordinator reports to the Technical Director.
The Technical Services Coordinator has no financial delegation.

KEY ACCOUNTABILITIES

Coordinate, prepare and distribute the weekly rosters for Technical Services staff and monitor and update
as required in consultation with the Technical Director, the Production Managers and the Head of Lighting,
Head of Staging and Head of Sound and AV.

Manage, collate and process weekly timesheets and other employee information to be distributed to the
finance department for successful completion of the payroll, then prepare reports for department using this
information.

Administer the human resources recruitment and training process of the Technical Services Department in
consultation with the Technical Director.

Fulfill all general assistant duties for the Technical Director as required.

Coordinate live events including all free weekend programs on the Turbine Platform. Collect, collate
technical information for these events and distribute to relevant parties. Coordinate any other events as
assigned by the Technical Director.

Liaise with and provide information relevant to other Brisbane Powerhouse departments including
Programming, Finance and Box Office.

Assist the Technical Director with the daily coordination of the Technical Services Department. This
includes coordinating and attending weekly Technical Services Department Meetings, then recording and
distributing meeting minutes.

Manage and minute the weekly scheduling meeting assisting the Technical Director to ensure successful
presentation of Brisbane Powerhouse events, functions and services.

Coordinate and assist in the development of all Technical Services Department processes, procedures and
resources whether physical or on-line to ensure the successful operation of the department.

Be responsible for the data entry of electronic systems relevant to the department, including equipment and
supplier management in EBMS and technical specifications on the BPH website.
KEY SELECTION CRITERIA

A working knowledge of the entertainment, arts, functions and convention industry, from a production
coordination and technical perspective.

Operational understanding of rostering, payroll processes and industry relevant awards.

Possess tact, discretion, and diplomacy to ensure sensitivity when coordinating rosters, administering
payroll and human resources issues.

Sound analytical and problem solving skills and the ability to effectively manage competing priorities and
commitments and an ability to work under pressure dependent upon operational requirements.

Excellent time management skills.

Ability to complete projects from inception to completion with minimal guidance.

Possess an ability to work effectively as part of a small team, providing direction and coordination when
required.

Well-developed written and oral communications skills with the capacity to liaise successfully with diverse
clients both internal and external providing a level of customer service.

Well-developed computer literacy with the ability to use word processing packages, spreadsheets,
databases, event and facilities management software.

DESIRABLE SELECTION CRITERIA

First Aid Certificate

Flexibility to work after hours and weekends if required

Open C class driver’s license
