INFORMATION
Old Coast Markets is a young event that will grow throughout 2016! It will be a fun place to visit with a
family atmosphere & a focus on giving all market visitors & stallholders a great day out. We want to support
small businesses that have interesting & unique wares; creative souls who are designing & producing
interesting works; & those who have a fabulous & exciting product to share with the South West!

Applications must be made on this form. No other form of application will be considered.
Market stalls can only be operated by the person/people or organisation that booked the stall. Only ONE business is
permitted per stall.
The outdoor market area trades regardless of the weather and stall holders must be prepared to trade in all weather
conditions. No refunds are given for inclement weather.
All stallholders must trade from 9am to 2pm as advertised to the public. Stallholders who close their stall during trading
hours without permission from Old Coast Markets may not be re booked for the next market.
Stall holders are responsible for removing all rubbish from their bay at the end of the day.
Please ensure all exits are clear at all times in the event of an emergency.
Old Coast Markets respects your privacy. All information is kept private & confidential and is never passed on to a third
party unless required by law.
Products /Stalls

It is up to the stall holder to ensure all products comply with relevant safety & compliance standards; comply with the
appropriate labelling regulations; and to acquire any necessary licenses or permits for selling or producing your products.
There will be a limited number of stalls offering Community Information/Education, Natural Therapy/Wellbeing
Practitioners, Food Catering Stalls (Take home food products for sale are welcome eg jams) & ‘Direct Selling’ businesses.
Exclusions: Retail chains & Political parties.
Stall holders with food products must be registered with their relevant council and provide a copy of their ‘Food Act 2008’
Certificate to Old Coast Markets. It is up to the stall holder to ensure they have the appropriate insurance & licenses.

Public Liability Insurance is not included in the stall fees. Stall holders can opt in to the event insurance for an additional
fee of $15 per event if you do not have your own. This means you will be covered for Public Liability Cover for the
duration of the market event.
Evidence of or CERTIFICATE OF CURRENCY for Public Liability Cover, which will indemnify the Owners of Old Coast
Markets in case of any claim arising from your stall, must be provided.
Product Liability Insurance for individual businesses is in NO WAY covered in stall fees. It is up to the individual business
to have cover for the products you are selling.
Stall Set Up and Presentation

All stalls will be marked out with tape showing bay corners & bay numbers will be taped to the centre of the bay. Your bay
number & map of the stall layout will be given to you prior to the market day. Please remove the tape at end of day.
Stall holders are responsible for supplying their own tables, chairs and any other physical items needed to conduct their
business, including ‘float’ for change for shoppers. Please note there is NO ATM at the venue.
All stall equipment must be firmly secured for personal and public safety, including marquees for outdoor stalls.
Stall holders are responsible for the presentation & maintenance of their stall. Stalls must be in a clean & neat condition at
all times.
Stall positions will be at the Old Coast Market’s discretion. OCM reserves the right at any time to alter the size, shape &
position of stall sites as may be necessary for the best interests, risk management & legal requirements of the market.
Set up is from 6.30am. All stalls to be completely set up by 8.45am. Stall pack down is between 2pm and 3pm.
Indoor stallholder access will be through the rear & side doors at the perimeter of the building from 6.30am – 8.45am. At
8.45am the rear & side access doors will be closed and there will be no access after this time. Once the market opens,
there will only be one entry available for market visitors in order to maintain the security of all attending the market.

Stall holder vehicles must NOT be parked in the Eaton Rec Centre or Eaton Community Library car parks. The ERC car
park will be used for a mix of outdoor stalls & public parking. ECL car park will be used as parking for visiting public only.
Outdoor stall holders will be allowed to access the rear of the Eaton Rec Centre with their vehicles for set up of stalls
before being directed via event staff to remove vehicles from the area. Once the market commences there will be no
vehicle movement within the outdoor stall area.
Stall holders will be provided with a map prior to market day as well as direction from event staff on the day for access to
parking. Some stall holders will be able to park vehicles at the rear of the Eaton Rec Centre (not on some of the grassed
areas OR blocking driveways) & around the edges of the sports oval for the duration of the market.

Stall holders will indemnify the organisers and/or Old Coast Markets and any of it’s partners from and against all claims,
demands, losses, costs and expenses arising from any injury or damages to any person, including the general public, the
vendor or others, occurring either in the space occupied by the participant or elsewhere arising out of its occupancy or
any thing connected with occupancy.
The organisers will not be liable for any loss or damage to the property of the participants due to fire, robbery, accidents
or any cause whatsoever that may arise from use & occupancy of the site.
The organiser assumes no liability for any damages or losses resulting from or relating to the failure of the participant
complying with the above stated guidelines.

It is not acceptable to insult or intimidate stallholders, customers or representatives of Old Coast Markets or staff of the
Eaton Recreation Centre. Such action may result in stall cancellation indefinitely.
Any clothing, odour or behaviour that offends market visitors or stall holders will not be tolerated and may result in
cancellation of your stall.
Stall holders are not permitted to sell/spruik outside their allocated stall without the permission of Old Coast Markets this
includes to sell to other stall holders.
Stall holders must comply with all instructions by Old Coast Markets.
If there are damages to the venue due to negligence of the stall holder, costs will be invoiced & paid by the stall holder.

Applicants are not automatically guaranteed a stall by completing this application form. All applications will be reviewed
and all applicants will be notified via email within 5 days of the application closing date if successful or not.
Old Coast Markets endeavours to uphold a varied and wholesome reputation for the market. With this in mind, we use
our discretion to choose stalls according to the type of goods for sale. We also aim to avoid over-duplication and to have
a good range of products. Please ensure you have correctly indicated on page one of this application of the type of
goods you intend to sell.
Final approval of stalls is at the discretion of the Old Coast Markets and we reserve the right to refuse applications.
Please don't be discouraged if you are unsuccessful this time around as we may have more applicants than market space,
so please apply for our next market.

If successful, you will receive an invoice from Old Coast Markets. Please do NOT send any form of payment with your
application form.
Payment for your market stall at Old Coast Markets must be paid within 7 days of receiving your invoice to secure your
stall. If no payment is made & no contact received your stall may be passed to another stallholder.
Payment of invoices can be made via PayPal or bank deposit. Details of payment info will be provided on your invoice if
you are accepted.
Refund Policy
A full refund (minus $5 admin fee) is only available if your market stall is cancelled at least 2 weeks prior to market day &
Old Coast Markets can fill your cancelled space.
