Unless specifically stated in the following policies, students are bound to the academic policies and procedures stated in the UNF catalog and student handbook. Students should always consult the catalog and student handbook for policies not specifically described herein. These policies are in addition to standard UNF policies, and in some cases may be more restrictive. It is your responsibility to know which policies affect your academic progress and graduation.
Satisfactory Progress Policy
All UNF based undergraduate engineering students must maintain satisfactory progress towards their degree. Failure to maintain satisfactory progress will result in an advisor hold on the student’s record and they will not be able to enroll until they have met with an academic advisor, and revised their plan of study. For all three engineering programs, satisfactory progress requires the following courses be completed with an appropriate grade by the end of the semester shown:

The School of Engineering enforces the "two repeat" rule for all prerequisite and core courses offered by the School for its major programs. Students who do not successfully complete a prerequisite or core requirement for a School of Engineering course on the first attempt (i.e., earn a grade of D, F, W, WP, or WF) must repeat the course. Students who do not successfully complete a course within three attempts will not be permitted to register for courses offered by the School in future semesters. The only exceptions to this policy are withdrawals for medical, military, and fully refunded withdrawals (i.e., WM, WS and WR respectively).
Introduction to Engineering Courses taken at Other Universities
All students who have not taken a comparable course at another university must complete
Introduction to Engineering, EGN 1001C. At the discretion of the Academic Advisor, the student may be required to discuss with the current instructors, the course content of Intro courses taken at another university to assess whether another course may be allowed to substitute.

Independent Study and Supervised Undergraduate Research Policy
A student after consulting with a faculty member and with the approval by the School of
Engineering Director may register to do an independent study, or supervised undergraduate research project with the faculty member. The primary purpose of these courses is to conduct research of mutual interest between the student and the faculty member. The Independent Study shall not be used to complete a required course in the program.
CLEP Policy
A student with academic preparation relevant to the content of a required course may file a request to be exempted from that course. The student will make file this request to the Academic
Advisor, who in cooperation with the Director of Engineering and relevant departmental faculty, will determine an appropriate means of evaluation. While a student can be exempted from the course, the credits are not exempted and another course must be taken to complete the program.
D Policy
As of Spring 2015 (including the Spring 2015 Semester) the School of Engineering will not accept a D in ANY engineering courses. Students who do not earn a C or better in any class must repeat the course, and may not advance to any post-requisite courses. Students admitted into the BS engineering program prior to summer of 2012, fall under the older “D-Policy.” For these students, only D’s (up to three) earned prior to Spring 2015 will be accepted, and no D’s will be allowed from Spring 2015 moving forward.
Incomplete Grades
At the instructor’s discretion, students who have not completed required work in a course by the end of the semester may be assigned a grade of “I.” For an “I” to be assigned, the student must have completed a substantial portion (at least a majority) of the course with a passing grade. An
“I” cannot be used to avoid an “F” grade

REGISTRATION
There are 3 registration periods at UNF: Fall, Spring, and Summer semesters.
Registration for New Students
New students can only register for one semester (incoming summer students can only register for the summer term and must then register for the fall semester).
New students should always meet with the Engineering Advisor to discuss course selection. At this time, the student’s name is entered into the Engineering Advisor’s database and assigned a faculty advisor. This will allow the Advisor to communicate with the students concerning course or curriculum changes.
Registration for Continuing Students
Continuing students are allowed to register for the summer and fall at the same time, typically in
April. If a student knows what courses to take, he/she is not required to see the Engineering
Advisor or faculty advisor but may register at the appropriate time. The appropriate time is assigned to the student via a “time ticket” which can be found in the students’ UNF online
MyWings approximately one week prior to the beginning of registration.
Students who receive a registration error can either see the Engineering Advisor or email the advisor (preferred) to solve the problem.
2.
OTHER STUDENT ACCOMODATIONS
Military and Veteran Students
Military and Veteran students should visit the Military and Veterans Resource Center (MVRC) in Building 57 (Education & Human Services), Suite 2700. MVRC was established in 2009 to serve as the center point of entry for veterans and their families as they navigate the civilian and academic worlds.
During term sessions, MVRC is open Monday through Thursday from 8:30 a.m. to 6:30 p.m.,
Fridays 8:30 a.m. to 5:00 p.m. During intersession, the center is open Monday through Friday from 8:30 a.m. to 5:00 p.m.
Disabled Students
The Disability Resource Center (DRC) promotes and facilitates partnerships among UNF students with disabilities and the UNF community. The DRC is located in Building 57
(Education & Human Services), Room 1500.

3.
GRADUATION
UNF students are required to apply for graduation. The application can be made online or by submitting a form to One Stop. The appropriate time to submit the graduation application is the semester prior to graduation. In addition, the Engineering Advisor monitors the students taking the senior design courses during the previous summer. During this period, the Engineering
Advisor will alert the student to any potential deficiencies. This will allow the students the following year to complete these deficiencies.
4.
PROVISIONAL ADMISSION, ACADEMIC PROBATION, SUSPENSION
Provisional Admission
Students who have applied to the School of Engineering, having previously obtained a “C+” or better in 8 credit hours of pre-engineering courses, yet not having satisfied all other preengineering curriculum requirements, may be offered “Provisional Admission.” In the event of provisional admission, students must meet with the appropriate SOE Academic Advisor, and complete a “Provisional Admission Form” that lays out a maximum three-semester course plan to ensure timely full admission into the SOE program. Failure to meet this three-semester deadline will result in denial of the student’s admission to the program.
Academic Probation
According to University policy, a student is placed on probation if their term or overall GPA is below a 2.0. Probation is a warning to the student. Any student on Academic Probation status will receive a hold on their records, and will not be able to register for the next semester until they meet with the appropriate School of Engineering Advisor and complete a School of
Engineering Academic Probation Form acknowledging that they understand the consequences of
Academic Probation status (see suspension policy below)

Suspension
The UNF School of Engineering has adopted a policy of suspension that is more stringent than that of the university. In addition to the standing university policy on suspension, a student will be suspended from the School of Engineering if they meet either of the following criteria:
The student is placed on Academic Probation status for the next registered semester, or
The student is placed on Academic Probation status for a third time, regardless of the timing of the occurrence of the first two instances
Any student who is suspended from the program will not be allowed to register for further engineering courses, or continue in the Engineering program without an approved repeal of their suspension. Students who wish to appeal their suspension from the program can file a
Suspension Appeal Form with the undergraduate advisor to be reviewed by the School of
Engineering Undergraduate Curriculum Committee (UCC). The UCC will review Suspension
Appeal forms once each semester, prior to advance registration for the next consecutive semester.
5.
ACCEPTING TRANSFER COURSES
If a student transfers to UNF from a Florida State School, transfer credits are automatically granted due to the statewide catalog system. Courses within the state catalog system with the same number have identical course content. If a student wishes to transfer credit from a non-
Florida school, a request is first made to the School of Engineering Academic Advisor. The
Advisor will direct the student to meet with an appropriate member of the UNF faculty to discuss the proposed transfer course.
The student is advised to bring as much information as possible to the meeting: course description, course syllabi, course assignments, etc. If the course is deemed comparable to the
UNF course, the faculty member will email this fact to the School of Engineering Advisor who will substitute the course into the student’s Degree Evaluation.
6.
CO-OPERATIVE EDUCATION
The University of North Florida Cooperative Education (Co-op) Program is designed to assist students achieve their educational and career goals, in conjunction with meeting the needs of Coop employers. Students gain practical work experience relevant to their major field of studies through supervised part time work.
Co-op Course
Students interested in a Co-op course should first meet with the Career Coordinator Liaison in the Career Services Office, Building 2 (Founder’s Hall) Room 1100. The Liaison coordinates the Co-op programs for the College of Computing, Engineering and Construction. The student will be given paperwork that must be completed and signed by the Co-op employer. The form must be returned to the Engineering Advisor and the Director of Engineering for approval.
Once approved, the student is allowed to register for one credit per term of Co-op credit. The completed form with all approvals is then returned to the Career Coordinator Liaison. Up to 3
Co-op credits may be used to satisfy the technical elective requirements.

7.
FUNDAMENTALS OF ENGINEERING APPLICATION
Engineering students are encouraged to take the Fundamentals of Engineering Examination during their senior year. The application includes a satisfactory progress statement. For more information on this exam and to complete this form, apply via http://www.fbpe.org/ . The student must bring the form to the Engineering Advisor who certifies that the student is a senior in good standing.
The student then takes the form to the College of Computing, Engineering and Construction office to obtain a signature from the Dean or Associate Dean. The form has to be forwarded to,
UNF’s One Stop Student Services in Building 53 (Hick’s Hall) Suite 1700, where the school seal is affixed. This completed form becomes part of the student’s application package.
ENGINEERING SCHOLARSHIPS
Scholarship Application
The University of North Florida offers scholarships at the undergraduate level and some at the graduate level. Follow the link http://www.unf.edu/scholarships/ for more information.
Once scholarships are advertised, students may apply up until the deadline date. After the deadline, the scholarship processer verifies the criteria of each applicant such as GPA, Major,
Enrollment Hours, etc.
The Scholarship committee meets and makes recommendations to the director who then approves the recipients of the awards.
Scholarship Awarding
The scholarship processor enters selected applicants’ data into the Scholarship Management
System (SMS) database to offer awards to each recipient. Scholarship recipients are notified via email and sent a Scholarship Acceptance Letter and Agreement Form.
Once recipients accept their awards, all mentioned documents along with a thank you letter to the donor and a bio are forwarded to the engineering scholarship processor (office manager). The
Fund Manager makes his/her approval via the SMS database and backup documentation are forwarded to UNF Foundation Accounting Department by the scholarship processor.

Scholarship Payment Disbursements
UNF Foundation Accounting verifies scholarship recipients’ documentation within 2 business days. Foundation Accounting then verifies funding amounts to ensure that appropriate funds are in place to award recipients.
UNF Financial Aid office verifies recipients’ financial needs and releases funds to the UNF
Cashier’s Office within 2 business days. The UNF Cashier’s Office disburses funds to recipients via mailed check or direct deposit in recipients’ checking account within 2 business days.
Recipients are invited to attend the annual E-Week Engineering Kick-Off Scholarship Luncheon in mid-February of each year to meet with their donors and to accept scholarship certificates.
9.
KEY ACCESS
Intelikeys to Labs and Classrooms
Faculty authorizing student access to labs must fill out an electronic Key Request form by going to their UNF MyWings staff tab, My Applications, and click on Key Request. The form must be filled out completely online, saved, and sent to the Director of Engineering for approval.
The Director approves the request and forwards the online key request to the UNF Lock Shop where an email will be sent to the initiator of the key request notifying the requestor that the key is ready to be picked up.
Students and OPS personnel should come to the engineering main office, Building 50, Room
2500 and fill out a Key Policy form prior to picking up his/her assigned key. The key must be activated within 5 days of issuing date.
Anyone not returning keys after termination of employment or end of term access will be fined a
$40.00 fee or have a hold placed on his/her registration if key holder is a student.
Lost or stolen keys must be reported to the University Police Department (UPD) to obtain a report number. The police report and number should be taken to the UNF Lock Shop for filing and issuing of a replacement key.

10.
STUDENT EMPLOYMENT
OPS Student Employment at UNF
Students seeking employment at the university must be enrolled at least half time, 9 credit hours, and attend classes regularly in order to be Exempt from the payment of the Federal Insurance
Contributions Act (FICA). Any students not meeting enrollment criteria or showing sufficient legal documentation will be required to have FICA deducted from all earned wages during periods of ineligibility.
Students interested in employment opportunities other than Federal Work-Study should refer to the job listing via UNF’s Office of Human Resources, the Career Services Office, or seek employment independently.
Student Employment Criteria
A half-time undergraduate student is defined as being enrolled at UNF at a minimum of 6 credit hours in the fall and spring semesters (4 credit hours during the summer). Graduate students must be enrolled at UNF in 4 credit hours in the fall and spring semesters (3 credit hours in the summer).
Federal College Work Study Program Student Employees at the undergrad or graduate level are required to be enrolled in a minimum of 6 credit hours at UNF in each term (fall, spring, and summer) and are limited to 20 work hours per week while classes are in session.
Student workers, except FWSP and International students, are allowed to work up to 40 hours per week and retain FICA exemption. International students must be enrolled full time and are limited to 20 work hours per week during the fall and spring semesters.
OPS Student Employment with Engineering
Students seeking employment with faculty as graders, research, or in the labs, should contact their faculty advisor requesting employment or the faculty can make a request for a particular student to hire.
The faculty advisor should ensure funds are available and pre-approved by the engineering director prior to hiring. Students should complete employment application on the UNF homepage employment website http://www.unf.edu/hr/ at the Human Resources link,
Employment, Applicant Resources, Current Job Openings, and click on the link to the Online
Application System.
Once applications are created online and submitted, the student should see the office manager who will initiate an online recruitment request and forward the request to Human Resources for approval. The student is contacted to go to Human Resources located in Building 1 (J. J. Daniel
Hall) Room 1101, after approval for payroll processing.
After processing for payroll, the student employee should bring his/her payroll slip to the Office
Manager in Building 50, Room 2500.
Timesheet Processing
Students who are employed in the engineering department must fill out an electronic timesheet on a daily basis if working. Timesheets are located in the student’s UNF MyWings account.

Timesheets must be submitted to the timesheet processor on a bi-weekly basis by the deadline of
Monday at 10:00 a.m.
Timesheets are returned to students only if needing corrections. Students are paid on bi-weekly
Fridays. If there are errors regarding timesheets, the timesheet processor will be notified via email.
Late Timesheet Submittal
Students submitting timesheets late, after 10:00 a.m., will be given the opportunity of an override by the Payroll Department up until 1:00 p.m. that same day. Students submitting timesheets beyond 1:00 p.m. must fill out a Late Timesheet Submittal form given to the student via the timesheet processor or office manager.
11.
ENGINEERING LAB PROCEDURES
Electrical Project Board Checkout
Students requiring project boards for class must get approval from the professor before checkout.
A unit number or serial number will be used for identification purposes. The student will sign out the project board with his/her UNF student N-number. The project board will be signed, dated, and released by the Lab Teaching Specialist.
Lab Kits
Lab kits are usually provided to students and are not required to be returned. Each lab kit is signed out to ensure that each student receives his/her kit.
Equipment Checkout
Any engineering equipment that will be used off campus, in other departments, or out for repair must have a Property Checkout form completed. The decal number, item description, serial and model number, and the location of where the item is stored, must be provided on the form.
A copy of the checkout form is given to the receiver of the equipment/item for proof that the equipment/item has been properly checked out. Once the equipment is returned, it will be signed and dated by the issuer and returned to its original storage space.

FABRICATION LAB USE (Machine Shop)
UNF Departments Fabrication Lab Access
In order for UNF Departments outside of the School of Engineering department to obtain access to the Engineering Fabrication Lab, the department must complete the Fabrication Laboratory
Invoice form obtained from the Fab Lab Technician for billing purposes.
Proper training must be done for use of certain lab machines. A lab shop liability waiver form must be signed by each shop user. All materials necessary for the department’s project must be provided by said department.
Appointments to use the Fab Lab must be made via email to the proper Lab Manager and

according to the available schedules on Blackboard. According to availability, the lab hours may be limited during certain semesters. Departments outside of engineering will be charged for materials used that are provided by the engineering department as well as any broken tools, bits, or equipment.
Engineering Student Lab Access
In order for UNF engineering students to obtain access to the Fab Lab, students must first take and pass the Blackboard exam and understand the lab rules.
The student must contact the Lab Manager to arrange a time to learn and train on the lab machines. Once the student has completed the mandatory training, the student will be issued a card stating he/she was trained on the machine. The name of each machine trained on will be printed on the card.
13.
ENGINEERING ORDERING PROCEDURES
Student Class Project Order Forms
Students requiring equipment or items ordered for their class projects must request their orders by completing order forms provided by the Lab Managers. Orders are placed on Tuesdays of each week from 2:00 p.m. – 5:00 p.m. Order forms must be given to Lab Managers by Tuesday at 12:00 p.m. Failure to meet this deadline will cause a week’s delay in ordering.
Order forms must obtain the name of the vendor, part number, course number, requesting instructor’s signature and date, quantity needed, item price, shipping and handling charges, and the total of the order. A list with this information may be attached to the order form to avoid using multiple forms.
Shipping will be ground delivery only unless approved by the School’s Director. Expedited shipping may be requested and authorized after review by the director. All senior design orders must be approved by the director prior to placing orders.
Orders should be placed through sites in the U.S. as shipping times from overseas may be extended and returns may be non-existent. Items ordered will be delivered to the School of
Engineering main office in Building 50 Room 2500, and students will be notified for pick up.
Student Reimbursement for Ordering
If students make independent orders aside from going through the Lab Managers, the student will be reimbursed providing he/she provide the receipts. However, students must make every effort to place orders through the proper channels and not independently.
Once items are delivered and picked up by the student, the original receipt and packing slips must be submitted to the instructor who will turn in the receipt to the engineering office manager to process for reimbursements. Reimbursements to students will be mailed via direct pay invoice or UNF Foundation Accounting.

PURCHASE REQUISITIONS AND SHIPMENTS
Initiating Purchase Requisitions
To purchase items, a quote must be provided from the vendor. New vendor forms must be completed if the vendor is not listed in the UNF Banner System. Vendor forms are found on the
UNF Purchasing website at http://www.unf.edu/purchasing/Vendor_Applications.aspx
.
Vendor documents required are: W-9, Vendor Certificate of Foreign Status for U.S. Tax
Withholding, and Registration Form.
The requester must send the vendor form to the vendor for completion prior to the purchase requisition being placed. Once the vendor form is received by the requestor, it is submitted to the UNF Purchasing Department for review and approval. Purchasing assigns an N-number and forwards the vendor number via an email to the School of Engineering Office Manager who will initiate a requisition.
If purchase is from engineering accounts, prior approval must be given from the director.
Funding from other sources must have fund account number included with the requisition. If purchase is IT equipment, the IT Department must give approval for any IT items or software.
Once all approvals are in place, the office manager must forward quotes and back up documentation for engineering items to UNF Purchasing to place orders. Quotes and back up documentation for IT equipment and software must be forwarded by the office manager to the
College of Computing, Engineering and Construction Computer Tech Department.
Vendor Payments
After purchase orders are placed, the office manager prints out the purchase order and attaches the requisition. Purchase items will be shipped via the UNF Shipping and Receiving Department for processing and delivered directly to the School of Engineering main office.
UNF Purchasing department is contacted by the office manager once items are received.
Purchasing initiates an invoice to the vendor for payment. An invoice is assigned a number, and the office manager prints out the invoice and attaches to files. Once charges show up on the end of the month budget ledger for reconciling, the purchasing process is complete.
Outgoing Shipments
Packages for off campus shipments must be prepared in a proper box, tube, or container prior to shipping. The shipper must print and attach address labels including contact phone numbers to and from the client. UPS or Fed Ex account numbers must also be provided.
The shipper must arrange for pick-up of package/s by contacting the UNF Shipping and
Receiving Department via the engineering office manager or faculty.
15.
TRAVEL PROCEDURES
Paper Travel Authorizations (TAR)
Student clubs propose their travel to the director of engineering regarding supplemental funding necessary to travel and submit a budget sheet with names of all students traveling and estimated costs. If the director does not approve assisting with funding, students should seek additional

funding independent of the engineering department or from other sources.
With funding approval from the director of engineering, students report to the office manager about applying approved expenses to the department’s Purchasing Card (PCard). One student from the group must fill out a paper Travel Authorization Report form (TAR) and a signed
Student Waiver Liability Form, obtained from the office manager which must be completed by each student traveling.
The TAR must be signed by the traveler and submitted to the office manager to route for approvals from the director and dean. The original TAR and liability form must be sent to UNF
Travel Department for processing.
Rental Cars
Upon approval of the student’s TAR, if required rental vehicle is needed, the traveler must make reservations via UNF’s rental car carrier, AVIS Rental using economy / compact car. If the cost of the rental car exceeds approved amount, the student club must reimburses the department.
Reimbursement checks are given to the office manager for processing.
The traveler or driver of the rental car must print a copy of the reservation and take the document to the UNF Controller’s Office, Building 53 (Hicks Hall) Suite 2800 with the TAR to request a rental car voucher prior to picking up the vehicle. The traveler or driver must bring the voucher to the office manager who keeps a copy and files with the traveler’s TAR.
The day of travel, the traveler must provide the Voucher Form to AVIS Rental Car Agency in order to pick up the vehicle. Once travel is complete, the traveler returns the vehicle to the car rental agency. Traveler must hold on to the original car rental return receipt for reimbursement.
Student Travel Reimbursement (TR)
The student must submit all original receipts to include, car rental, airfare, gas, tolls, parking, etc. to the office manager once travel is complete in order to be reimbursed. The traveler must complete a paper Travel Reimbursement (TR) form and submit it along with receipts to the office manager who will obtain signatures from the director.
The office manager processes the TR via UNF Travel Department and files a copy of the TR with the TAR, and the student is reimbursed.

MOVING ENGINEERING VEHICLES
Vehicles Check Out Process
Students requesting to use the School of Engineering Trailer or any other moving vehicle must obtain authorization from the Engineering Lab Manager. A Check Out form must be filled out with the student’s name prior to the student receiving the keys to the vehicle. The student must keep a record of accurate mileage usage while the vehicle is in his/her possession. Once the vehicle is returned, the student must return the vehicle to its proper parking space and return the keys to the engineering main office.
The mileage used must be recorded in the Vehicle Log Check Out book with the student’s printed name, date, and time of returning the vehicle.
