Infor Equipment Quotation Management

Infor Equipment Quotation Management
Take the guesswork out of
your quotation process
Do you need greater confidence in your ability to
deliver quotations more quickly and accurately? Are
you looking for a comprehensive system that gives you
the freedom to add extra services, warranties,
maintenance agreements and spare parts–all while
drafting a customer's equipment quotation? Or, how
about a system that helps you manage complex
configurations graphically while seeing the impact that
each attribute has on your deal's bottom line? Well,
look no further. Infor™ Equipment Quotation
Management is here to help you achieve all of these
things and more.
Equipment Quotation Manager offers enhanced
functionality for companies that sell and configure
complex equipment sales and parts as well as manage
intricate after-sales contracts. Equipment Quotation
Manager is part of the Infor Equipment solution, which
offers analytics and other tools for managing the
equipment lifecycle. Equipment Quotation Manager
extends the value of this suite of applications by taking
the quotation management process to the next
level–making it easier to control and more precise than
ever before.
It's all in the presentation
Ease of use is what our system is all about. Microsoft
describes this further in their Window Presentation
Foundation: "Infor Smart Office delivers a user
experience that is unequalled in the ERP space in
terms of its beauty and usability." It includes improved
mashup technology, pulling together different functions
into a smoother, more intuitive user presentation. With
one viewing portal and a series of user-friendly tabs,
the system helps to make the task of creating
equipment quotations more foolproof and streamlined
for busy sales executives.
Infor Equipment Quotation
Management extends the value of
Infor Equipment by taking the
quotation management process to the
next level—making it easier to control
and more precise than ever before.
Equipment Quotation Manager provides "template
data" that is preapproved (and filtered) and supported
by back-office or administrative staff. Equipment sales
configuration rules can be mapped within the system,
thereby ensuring sales executives avoid making costly
mistakes–such as releasing the wrong promotion
or discount.
Enhanced search and selection
When you have a customer on the line asking about a
particular item, there's no room for error. You have to
get to the information you need as quickly as possible.
Our system's enhanced search and selection
functionality helps you search for equipment based on
the specific attributes you need. Within a few mouse
clicks, the system can determine if it's in stock and
when it can be delivered. If you don't have the exact
model the customer requires, you can quickly
determine if another similar unit is available and, if so,
how it needs to be adjusted or reconfigured to meet
the customer's exact needs.
When you don't have the customer's equipment in
stock, it's easy to check the status of your delivery
cycle to see if you have one available somewhere in
the supply chain–possibly on purchase order. With
greater visibility, the system helps to improve your
capability to promise, so that you can offer
customers–as quickly as possible–exactly what
they want.
And since equipment or base units often have a lead time
from the original equipment manufacturer (OEM) of several
months or more, you can reserve a unit so it is not offered
to another customer. You can also get a clear overview of
which equipment is attached to which quotes through the
same convenient search tab–improving efficiency while
saving you time and frustration down the line.
With Equipment Quotation Manager everything is right in
front of you. Simply add any spare part or consumable
your customer might need, such as oil, filters, or kits used
in everyday operations or add routine maintenance. You
can also manage requested and planned delivery dates
so you can follow up on service all the way to your
customer's doorstep.
Infor Equipment Configurator
Are you looking for a simple way to add standard or
extended warranties to your customers' quotations? Our
system makes it easy by automatically suggesting which
standard warranties should be applied during the sale of a
unit and then allows you to add extended warranties–truly
adding value to your customer service.
Our system includes enhanced functionality to help you
configure complex equipment that can often be uniquely
configured using a large number of customer defined
add-ons and options. Infor Equipment Configurator also
supports the complex relationships that often exist
between the various configuration options (for example, if
you choose engine A, then only gearbox B and C are
available). Infor Equipment Configurator takes you through
this process graphically–helping to simplify complex
processes into a straightforward end-to-end view. Using
drop-down fields, you can select the allowable attributes
that the customer can request. When a new attribute is
selected, the sales and cost prices are automatically
updated–helping you always stay one step ahead.
Managing trade-ins
When your customer wants to trade in a used piece of
equipment to offset the cost against a new piece of
equipment, the system's trade-in feature is invaluable. This
trade-in equipment may be one you have worked on in
the past, or one that you have not met before.
Extensive details associated with the trade-in can be
managed, including its serial number, purchase price,
value received (the amount the trade-in is worth to you),
warehouse and location, manufacturer, and more. Most
importantly, the system quickly lets you know down to the
penny if you are making a profit or loss on each deal.
Adding spare parts, extended warranties, service and
maintenance agreements
Like many leading equipment companies today, you aim
to deliver first-rate service and continuous customer care.
Our solution supports your efforts by making it easy to
provide extra value to your customers as part of the
quotation process–eliminating the need to have to track
down information on spreadsheets or make unnecessary
phone calls.
2
You can define and add two types of service to your
quotations: configuration and commissioning services. A
configuration service is used to configure the equipment
with additional options to suit the customer's
requirements. Commissioning services are used to
manage on-site work after the equipment has been
delivered, such as providing training for the equipment
operators. When the quotation is released, work requests
and maintenance customer orders are automatically
created–reducing the need for extensive follow-up.
Do you want to offer your customer ongoing service such
as routine maintenance or annual overhauls? With Infor,
you can include maintenance agreements to ensure that
you can continue to add customer value even after the
equipment is delivered and in operation.
Financing, promotions, and
additional costs
Our solution is ideal for handling the financing of your
customers' equipment and services including leasing. To
start with, Equipment Quotation Manager brings enhanced
functionality to our leasing solution–making it possible to
configure detailed leasing records during the quotation
process. You can also manage special promotions (both
those claimable from the OEM and those initiated within
your own organization) as well as any discounts you may
want to offer. If you are using the Infor Warranty Claim
solution, then this can be used to reclaim the cost of
claimable promotions from the OEM. In the end, our
system helps you turn ordinary customer service into a
value-added competitive advantage.
Infor Equipment Quotation Management
And, with our solution, you don't have to waste time
creating quotes for additional or miscellaneous costs
connected to your equipment. The system provides a
separate step for including any additional cost(s) such as
charges for ground transportation or shipping.
Price adjustment
When negotiating with customers, chances are you'll need
to adjust your pricing before the quotation is finalized.
With the system's advanced price adjustment functionality,
you can manipulate the sales price at the equipment or
attribute level. This built-in process flow allows you to
methodically interact with the customer until you reach an
agreeable outcome.
Approval, revisions, printing,
and release
Equipment Quotation Manager makes it easy to
electronically send quotations for review, and
electronically approve, revise, print, and release
quotations that are pending. When a customer is not
satisfied with the quote, there's no need to start from
scratch–you can quickly revise it on the spot. Simply copy
the existing quotation into a new version or copy it into a
totally new quotation number and edit it accordingly.
Follow-up
After releasing a quotation into a sales order, it's important
to continue to track its status and, in particular, its sales
order lines–especially since it can often take more than 12
months to deliver complex equipment to your customers.
The quotation follow-up functionality allows you to view
various types of records that were generated by the
release of the quotation. By tracking your units throughout
the quotation cycle, you can stay on top of your game
when it comes to service and customer satisfaction.
Benefits–made to order
Equipment Quotation Manager is designed to bring
disparate information from across your enterprise into a
single viewing portal. With improved functionality and
usability, it helps to take the guesswork out of the
quotation management process. You'll have greater
confidence in your ability to quote quickly and accurately
– helping you seal the deal with prospects while
generating repeat business with your existing customer
base.Equipment Quotation Manager:
• Provides a single point of entry for managing the entire
quotation process–from lead to order
• Incorporates your supplier, customer, and equipment
information into each quote for greater accuracy
The system also comes with a flexible print studio that can
automatically save a copy of the quotation in the Infor
Document Archive Foundation solution (optional) and then
allows you to adjust the format of the quotation layout
quickly and easily. You can generate a quotation in a rich
text format that can then be opened and adjusted using
products such as Microsoft® Word before presenting it to
the customer.
• Offers the ability to add value to your quotation, such
as parts sales, commissioning services, promotions,
and maintenance agreements

released, and everything takes care of itself: A released
quotation not only creates a sales order, but can generate
work orders used to manage the configuration of the
equipment as well as maintenance agreements,
warranties, and equipment history records.

while automatically updating cost, price, and margin
figures

• Improves internal communications through one reliable
