RECOGNIZED ALUMNI ASSOCIATION APPLICATION GUIDE
REQUIREMENTS TO BE RECOGNIZED
■■ Elect/Appoint the following officers for the Alumni Association: President, Vice President, Treasurer and
Secretary and update Portal to ensure that the four officers are reflected with accurate contact information
(address, phone and email).
■■ Submit a constitution and bylaws for the Alumni Association. A sample constitution and bylaws may be found
here.
REQUIREMENTS TO MAINTAIN RECOGNITION
■■ The Alumni Association portion of the chapter Annual Report must be completed by April 15. The following
requirements are included in the Alumni Association portion of the Annual Report:

Update/Confirm four officers (President, Vice President, Secretary and Treasurer) in Portal.
Submit an updated constitution and bylaws for the Alumni Association.
Sponsor at least one alumni reunion event annually.
Have and maintain an Alumni Facebook group.
Send at least one communication (electronic or mail) to all chapter alumni.
Increase the Chapter Endowment.
Reduce the number of chapter alumni with missing contact information (address, email and phone)
SERVICES PROVIDED TO RECOGNIZED ALUMNI ASSOCIATIONS AT NO COST
■■ One vote at all Grand Chapters and any mail votes.
■■ Updated alumni directory for your chapter.
■■ Liability insurance for recognized Alumni Associations and its officers.
■■ Two electronic newsletters (up to six pages). The Alumni Association provides the content and proofs the final
version. We will design, edit and distribute.
■■ Two mailed newsletters (up to six pages). The Alumni Association provides the content and pays for postage.
We will design, edit and distribute including paying for printing and labor.
■■ Fundraising assistance for Chapter Endowment.

HOW TO START AN ALUMNI ASSOCIATION
So you want to start a chapter-based alumni association. Great! We at headquarters wholeheartedly support your
efforts and encourage you to be successful in your endeavors.
About now you are asking yourself, ‘Well, what do we do next?’
Contact a member of the Alumni Engagement staff through Headquarters, 317-843-1911 or tbtm@
alphasigmaphi.org. He will be your coach and guide through the process.
Here are a few things you may want to do to get started:
1. Get 4-5 alumni together who mutually share an interest in forming an alumni association.
2. Review the National Constitution as it relates to alumni associations: Article IV, Section 2-5. National
Constitution
3. Review the Volunteer Handbook, pages 20-24 on Alumni Associations
4. Review the Alumni Association Recognition Criteria document, attached.
5. Communicate your intent to all chapter alumni

Chapter alumni list are available from Headquarters.
6. Select officers to serve until the first election
7. Begin drafting a Constitution and Bylaws for the organization

8. Hold a meeting to ratify your Constitution.
9. Elect your first set of officers.
10.Meet the requirements to become a recognized alumni association.
