How do you choose the hardware capture solution that’s
right for your business? Should you select a PC-connected
scanner, networked digital sender workstation, or a
multifunction product (MFP) that offers printing, copying, and
faxing as well as scanning?
Although there is no quick and easy answer to this question
(many businesses will need a mix of single-function scanners
and MFPs), consider the following:
Job volume
Consider the number of different users and the number of pages they will scan per day.
•At up to 350 pages per day, low-volume scanning devices may include MFPs or entry-level,
single-function scanners. These devices are appropriate for general office scanning.
•At up to 2,000 pages per day, mid-volume scanners are used by workgroups or
departments.

Job complexity
Consider the type of material you’ll be scanning.
•If you need to scan standard paper sizes and types, such as letter, legal, A4 bond paper,
or primarily single-sided pages, an entry-level scanner or MFP may be an appropriate
solution.
•If you need to scan a variety of different media types, such as over-sized paper, ID cards,
other non-standard media, or primarily two-sided pages, a more robust solution typically
found in single-function devices may be required.
Workflow complexity
Consider how the scanned material will be used.
•A low-complexity capture workflow is one in which, for example, you wish simply to scan
documents into storage. In general, entry-level scanners and MFPs are appropriate for lowcomplexity workflows with minimal data entry or capture manipulation requirements.
•More complex capture workflows might include performing optical character recognition
(OCR), validating scans as they are processed, entering data associated with the scan,
making adjustments to optimise images, automatically extracting data from a structural
form, redacting information from a scanned document, and enabling multiple users to
access and search scanned documents. For high-complexity workflows, a more robust
PC-connected or networked scanning solution may be the best choice. For example, the HP

Deployment—dedicated vs. shared
Consider how the devices will be deployed.
•Dedicated, PC-connected scanners are appropriate for individuals such as knowledge
workers, who regularly scan a number of documents that must be verified on their PCs.
For example, in a small city planning and zoning department, a single user might scan and
verify all property documents before archiving. In this situation, a single-function scanner,
connected to a PC where additional manipulation can occur, is an ideal solution.
•If multiple users need to share a scanning device or if the scanning device needs to be
managed by software such as HP Web Jetadmin2, networked MFPs or digital senders may
be the right choice. For example, in an enterprise-wide deployment of an application such
as travel expense reporting, a networked digital sender or MFP would be desired.
Whatever your business environment, HP has a scanning solution that’s right for your
document workflow. MFPs offer device consolidation, networkability, and a great value for
low-volume and low-complexity environments. But customers with higher scan volumes
or advanced workflow needs should look to a single-function scanner. If scanning must be
shared among users and/or the workflow complexity is high, a networked capture solution,

Help reduce training costs and help-desk calls and empower everyday users with the
award-winning HP Easy Select user interface. Users can manage their jobs confidently
from this large, intuitive interface—in many cases it’s one they’re already familiar with.
The control panel offers:
•Simple-to-use menus that allow you to set system defaults, customise settings for a
particular job, and configure and launch Quick Sets

Physical keyboard lets you add metadata,

The control panel includes an SVGA touchscreen graphical display with contrast adjustments,
three job-control buttons, three LED indicator lights, a Sleep mode button, a virtual
keyboard, and a physical QWERTY keyboard for inputting text, such as email addresses,
file names, and metadata.
Quick Sets—for one-touch automated workflows
Scanning profiles (or Quick Sets) are a time-saving feature that lets you launch document
workflows at the push of a button: just save your most commonly used scan settings and file
destinations as Quick Sets, then initiate scans using these saved preferences. Quick Sets can
be configured directly from the control panel, or from a PC using HP Web Jetadmin7 or the
HP Embedded Web Server.

to look just the way you want them. Instantly preview, modify, and finalise scans before
sending them into the workflow, eliminating the need to walk back and forth from a PC.

You can scan multiple pages using the ADF and view them as thumbnail images, or zoom and
pan for a detailed inspection. Document modification and finalisation options include page
reordering, page deletion and addition, and page rotation. You can apply changes to a single
page, or multiple pages at once.
Extensive user help
The HP Digital Sender Flow 8500 fn1 Document Capture Workstation has a built-in Help
system that explains how to use each screen. To open the Help system, touch the Help
button in the upper-right corner of the screen. For some screens, the Help button opens to
a global menu where you can search for specific topics. For screens that contain settings for
individual jobs, the Help button opens to a topic that explains the options for that screen.

Out-of-the-box digital sending
The HP Digital Sender Flow 8500 fn1 Document Capture Workstation offers robust,
embedded digital sending features, without the need to download additional software.

generations, required users to download HP Digital Sending Software in order to enable

Embedded OCR and powerful imaging
With optical character recognition (OCR), you can convert scanned images to common file
types with editable and searchable text.
Produce impressive black-and-white or colour scans at up to 600 dpi resolution and 24bit colour depth. Optimise scans for text, images, or mixed text and images, and adjust
sharpness, brightness or darkness, and contrast. Get the scanning results you need:
•Save scans in a wide range of file formats, including JPG, TIFF, MTIFF, PDF (image-only,
searchable, high compressed and AES encrypted), PDF/A, TXT, Unicode TXT, RTF, and HTML.
•Automatically detect and remove blank pages in scanned output with blank page

•Choose from three colour modes: colour, black-and-white, and grayscale.

•A multiphase pick process separates a stack of paper into increasingly smaller stacks, while
advanced separation ensures only one page is fed through the device at a time.

without interruption. First, the minimum amount of force required to pick a page from the
stack is applied. If this amount of force is not adequate, the roller speed and/or pressure is
adjusted.

used to verify that a single sheet has been separated from the stack for processing.
In the event that the ADF is unable to pick a page, or if multiple pages are pulled into the
paper path, the feeding process stops and the device notifies you of the error. Pages that
have already been scanned are stored in memory, which means that you don’t have to
restart your scan from the beginning.

HP embedded web server
While HP Web Jetadmin2 is used to manage groups of devices, the HP Embedded Web Server
provides access to an individual document capture workstation from your PC instead of from
the control panel. It requires no special software to install or configure, just a computer that
is on the same network as the device.
The HP Embedded Web Server allows you to:

•View and change device settings, including settings for email, network folders, address
book, digital fax, save to USB, Quick Sets, authentication, and more

Keep your sensitive data secure with the embedded HP
High-Performance Secure Hard Disk. In addition, the HP
Digital Sender Flow 8500 fn1 Document Capture Workstation
offers a variety of options for user authentication and data
encryption, including support for IPsec, user-configurable
PINs, and more.
Secure hard disk
Protect sensitive data stored on the device with the HP High-Performance Secure Hard Disk.
Even if physically removed, all data on the disk is automatically encrypted and cannot be
accessed. In addition, the HP Digital Sender Flow 8500 fn1 Document Capture Workstation
can securely overwrite stored data:
•Whenever a job finishes, all the associated files can be overwritten.
•The entire contents of the hard drive can be securely erased when a hard disk is
decommissioned or redeployed in your environment.
•HP offers multiple mechanisms to erase job data and stored data, including erase
functionality that conforms to U.S. NIST SP800-88 overwrite algorithm specifications.
Advanced security
The HP Digital Sender Flow 8500 fn1 Document Capture Workstation offers industry-leading
solutions to secure access, network communications, and the device itself. Impressive
security features are frequently ignored because IT can find them difficult to implement. HP
focuses not only on delivering state-of-the-art security capabilities but creating seamlessly
integrated, easy-to-use solutions as well.
Controlling access
•Multiple authentication methods. With authentication options available from the device,
you can configure Windows®/Kerberos authentication, LDAP authentication, and user PIN
authentication that integrates with your existing infrastructure. Authentication can help
your organisation manage user access, prevent unwanted scanning and digital sending,
help secure access to management utilities, and avoid unwanted device configurations.
•HP Access Control solutions. HP Access Control combines the cost controls and security
features an enterprise needs with the ease-of-use that users demand. Solutions for job
accounting, pull printing, and more are included.
•HP and third-party authentication. With the hardware integration pocket, you have
the option of adding badge/card reader solutions and more in order to control access to
network directories and folders.5
•Access Control Lists (ACL). Use the HP Embedded Web Server to implement user-based
access controls with customisable security policies. Instead of a control panel lock that
applies to all users equally, access is controlled by who is signed in. Administrators, key
operators, groups of users, and even guests can each have different levels of access to the
device’s features. There are 46 access control points that can be granted to specific users
or groups of users. This feature supports Active Directory user groups, so administrators
won’t need to manually add or remove each user from the device’s access control list.
•Physical device protection. Both the device and the embedded HP High-Performance
Secure Hard Disk can be physically secured from theft and tampering using a lock that
requires a physical key for removal (this accessory must be purchased separately). In
addition, host USB ports and other physical ports can be disabled to prevent unauthorised
use.

Network security. The device offers IPsec, 802.1x authentication, SNMPv3, HTTPS, certificate
management, network port disablement, and firewall support.
•Additional encryption is available on several levels:
