Purchasing Assistant We are currently looking for a fast paced and dynamic Purchasing Assistant. You have experience purchasing domestically but are excited to grow your skill set. You have a keen eye for detail and you love the challenge of the completely unexpected. You are structured, but not too rigid and can change directions at the drop of a dime. The successful candidate will be responsible for: Vendor Relations • Negotiating with vendors to ensure pricing, product quality, warranty, payment terms and delivery of service meets with end user expectations and requirements • Reviewing and responding to large amounts of time-sensitive, day-trading opportunities utilizing sound business acumen and efficiencies • Communicating with vendors requesting confirmation of earliest ship dates for new orders • Resolving with vendors if there are any short shipment issues • Maintains up-to-date vendor files, including price lists, contact information, catalogues, market trends, comparative data and other information related to the purchasing function Purchasing Administration • Setting up and maintaining SKU's in the ERP system • Creating and maintaining purchase orders and reconciling payments • Performing shipment tracking/tracing against required ship date on PO • Reviewing inventory position and making recommendation for reorders Logistics • Checking and confirming accuracy of shipment documents, matching to reconciling payments, ensuring all documentation is present and accurate • Working with the Accounting department to resolve outstanding purchase order invoicing issues • Coordinating changes to delivery schedules i.e. updating PO’s, processing changes to reconciling payments, back and forth required between office, vendors, bank and freight forwarder for every change made to delivery schedule • Communicating to Product Managers, Sales and Marketing departments whenever there is any change to the shipping or ETA schedule • Helping find solutions to address/resolve production or shipment delays • Ensuring customer policies and special requests are implemented from the vendors and freight forwarder • Helping manage inventory allocation process in ERP system i.e. management of inventory holds and impact • Notifying freight forwarder of pending shipment details including required arrival date • Responsible for retuning and reversing logistics for credit and/or replacement • Communicating final ship-to location, including any changes to ultimate destination • Following up and ensuring product clears customs as quickly as possible and resolving any issues which may cause customs delays • For domestic shipments, ensuring we have all appropriate documentation for customs clearance, the proper duty rate has been applied, and the product is received at the correct cost in our system • Identifying slow moving inventory while maintain and reviewing inventory levels to increase efficiency Inventory Management • Forecasting and inventory management, continuously liaising with Operations to ensure accurate forecasting/replenishment outlooks • Driving continuous quality improvements of existing products • Liaises with vendors and/or user departments to resolve issues regarding material and supply problems that occur. Other • Participate in continuous process improvement initiatives • Projects as assigned The successful candidate requires: College diploma or University degree in Business Administration or a related field Minimum two to four years of purchasing related work experience Proficiency with MS office product suite (Word, Excel, PowerPoint etc.) Experience with vendor relations Ability to multitask, work under deadlines and make sound business decisions Exceptional time management skills An entrepreneurial spirit and goal oriented mentality Excellent communication skills, both verbal and written Strong organizational skills to manage concurrent projects Ability to work in a fast paced and rapidly changing environment Self-motivated team player with ability to work independently as well as function effectively within a team If the above interests you, then apply to join a fast paced, creative and energetic team!
