Fax messages in Google Apps web client Sending a fax using Google Apps You can send a fax message from a role account or your personal mail account. 1. Select Compose Mail to create a new message. A new message box will open. 2. Type in the fax number of the recipient in the To field. Ensure you add the @fax.monash.edu.au each time. Tip: Add fax numbers to your Contacts in the following format to save time from typing them every time you send a fax message. Add details to your fax message as per normal. Type in the Subject and message. 4. Attach the document you want to fax. Note: Your message and the attached documents will be sent as a single fax. Fax machines will print out the message and documents and mail clients will receive the fax in the form of an email with attachments. Tip: Maximum size for any single attachment is 18 Mb. The total size of your message must not exceed 20 Mb. 5. Select Send to send your fax message. Receiving a fax message in Google Apps 1. The Monash fax server will route a fax to the email account of designated Fax representative, who then forwards messages to the mail accounts of the intended recipients. Note: Fax messages can be sent to either individual mail accounts or a mailing lists. Please contact your fax representative if you need further clarification. 2. Open the mail message and attachment to read the fax message. Fax failure and troubleshooting Sometimes the fax may not be delivered. In that case, check the following: The syntax is correct. The domain always needs to be @fax.monash.edu.au. The fax number is correct. Check the number and try again. Errors on the Fax Server. Check with the Service Desk for any errors with the Fax Server. The recipient has errors. The problem could be at the other end. In that case, check with the person and resend when their systems are back to normal. After some time, please try to send the fax again. If unsuccessful, please log a call with the Service Desk to look into the problem. 2
