Growing and expanding the business is an important goal for Webtec. They
have offices in Europe, China and the America’s. In order to grow their USA and
European business thus gaining a competitive advantage, Webtec decided that
implementing EDI should become a priority.

USA market demands EDI
One of Webtec’s largest customers in the USA wanted to promote Webtec
as their preferred supplier providing that Webtec were set up for EDI, this
customer did not want to process large amounts of orders manually. In
order to grow their USA and European business thus gaining a competitive
advantage, Webtec decided that implementing EDI should become a
priority.
Seamless integration with Epicor ERP
Webtec has been using Epicor’s ERP system since 2006. In order to fully
benefit from the advantages of EDI, Webtec demanded a seamless

integration between EDI and Epicor. As Webtec knew little to nothing about
EDI themselves, then they were happy when Epicor recommended their
partner TIE Kinetix and its Epicor integrated EDI Solution.

Step by step planning and implementation
As EDI was totally new for Webtec, TIE Kinetix took a step by step approach
in assessing the situation, planning and educating Webtec at the same time.
Making sure Webtec understood all processes and ensuring a proper adoption
of the system by the users. Because EDI can be complicated and not easy to
pick up and run with, Webtec needed someone experienced and so the TIE
Kinetix consultants did the actual mapping and Webtec worked with Epicor
to set up the system, managed the testing and coordinated the project. All
in all, very much a joint effort.

knowledge and experience working with the Epicor integrated EDI solution,
ensured efficient mapping and processes and a solid implementation” says
Jane Giddings, IT Process Manager at Webtec.
Although the implementation process took longer than expected, partly
due to the thorough testing processes of Webtec’s customer in the USA and
partly due to communication issues because of the time difference, Jane
found that taking the step by step approach helped gain sufficient insight
into EDI.

Less time spent because of improved communication with
trade partners
Webtec is gradually moving its trade partners to EDI and the first results are
already showing. They found that managing a partner account has become
a lot more efficient. They are spending less time on it because everything
is now automated. In addition, Webtec has set up dashboards and BAM’s in
their Epicor ERP system to monitor and measure the processes, making it
easier to manage. “The time saving EDI has brought is significant. Before,
processing an order from start to finish including invoicing and actual admin
time could take a couple of hours, now it is done in a matter of minutes”
says Jane Giddings.
EDI as a vision for the future
At this moment the order volumes are relatively small, although it is
gradually picking up as more business partners are connected. “The vision

Webtec is in a market where they need to act quickly. So if a potential
customer wants to do business but needs EDI in place as a means of
transmission, the time required to set EDI up from scratch would mean that
there is a good chance the customer may go elsewhere. By having it already

set up, Webtec increases the opportunities to do business and can be
proactive instead of reactive. It clearly gives them a competitive advantage.
Smooth integration with Epicor ERP
Webtec is currently using an Epicor 9 version making use of Service Connect
and are planning to upgrade to a newer version making use of Direct Import.
It was an advantage for Webtec to be able to start using EDI with Service
Connect and not having the requirement to first upgrade the E9 system.
This is because the US customer required EDI urgently, and waiting for a
suitable time to upgrade would have been a problem for Webtec. Although
it required some work to get EDI up and running using Service Connect, the
upgrade to the newer Epicor 9 version making use of Direct Import for EDI,
should be an easy and smooth process not disturbing existing EDI already in
use.
