June 24, 2005 To: ACAVC Membership Subj: ACAVC Meeting Minutes 1. Date, Time, Location: June 11, 2005, 1:22 pm (1322 hours), Langley AFB, ACC/LGW Conference Room. 2. Purpose: General membership meeting. This meeting focused on supporting the Worldwide Ammo Bowl, review of the operating budget plan, and provided direction for other ongoing initiatives. 3. Attendees: A quorum was not present with only 4 members of 14 represented. (Note: A quorum of eight approved the minutes and operating budget via e-mail vote.). The following members were present for the membership meeting: Members: John Matthews – President Michael Gavin – Vice President Wilbur McCullough – Secretary/Treasurer Richard Pennington Associates: Theron "T.J." Jensen 4. The following Agenda Items were discussed: a. Reviewed 2 Apr 05 meeting minutes. 1. Motion to accept – Mike Gavin 2. 2nd by Rich Pennington. b. Reviewed current funds status - $3114.16 in the ACAVC account (Note: A check for $1050.000 will be sent to Mike Robertson for the Ammo Bowl fund donations ACAVC received. Another check for $200.00 was written to John Matthews to reimburse him for the Earnest donation from the Chapter. Bill McCullough donated $40.00 to the Chapter.) A more thorough status will be available at the next meeting since the new treasurer just got access to the account. Reviewed Operating Budget as presented at the last General membership meeting and proposed changes. 1. Motion to accept – Mike Gavin 2. 2nd by Rich Pennington. 5. Old Business: a. Fundraising Committee: LGW hosted a burger burn and made $100.00. Thanks to T.J., Jeff, and Mike for all of their support. T.J. mentioned he and Jeff want to set up a chili cook-off in mid/late-Jul in conjunction with Mike's brat burn. The Ammo Bowl should present some fund-raising opportunities with food and coin sales. b. Awards Committee: There were no MAJCOM-level Award Winners for Munitions in the Tri-State area during this period. Mike Gavin made a recommendation that all base level winners should receive a letter of congratulation from the President for their Base level nomination. Letter would focus their outstanding commitments and Best Wishes for the future. Bill McCullough will work up a proposed letter and submit it to the Board for their review/coordination. c. ACAVC 2005 Activity Calendar: Fishing trip – John Cecere. No status update except that John now has a smaller boat. d. Membership Status: No change. However, Hank Lightbody is in the area and has expressed some interest in joining the Chapter. He should be at our next meeting. e. Chief Richard Gauvin Donation: Brett Cope acknowledged receipt of the donation. f. AMMO Bowl 2005: In work. i. Fields: Reserved. Some rules discussion ensued over ASA rule for a 325' fence versus reality of the 300' fence at Langley. T.J. will work this rule change and ask about the uniform rule. ii. Contractor Donations. The $1050.00 in will be sent to Mike Robertson for placement into the ILMW AMMO Bowl fund. Last year's bracketing and general info passed around for review. iii. Placards are designed. Mike Gavin will check into a banner. iv. T.J. is working on shirts and hats. v. Langley Ammo and ACAVC will take care of food concessions. T.J. will work with the 1st EMS MSA on this. Mike Gavin will check with Services on rules. 6. New Business: a. Mike Gavin reimbursed John Matthews for the SrA Gregory Earnest donation of $200.00 from the Chapter. b. ACAVC Coin: T.J. presented the final graphics for the coin to the group. The various renderings were coordinated by e-mail. We were able to obtain 30 numbered and 100 unnumbered coins. Mike Gavin will hold 10 at LGW and John Matthews will have 10 for distribution. The other 80 will go on sale for fund-raising purposes. 2 AMMO Chiefs Association Virginia Chapter, P.O. Box 65499, Hampton VA 23665-5499 c. Package from Armed Forces Retirement Home: The members reviewed the request for a donation. It was readily apparent the request did not fit within the scope of the Constitution and By-Laws. Request denied. d. ILMW Worldwide AMMO Bowl: The AMMO Bowl will be held from 3 – 5 Sept 05 at Langley AFB. i. AMMO Bowl date/location notification e-mail: Verified Mike Robertson sent out the notification message. ii. Umpire source/cost: T.J. will check on umpire availability and cost. iii. Field preparation/upkeep team: Responsibility of the host and teams. iv. Coaches meeting: In the notification package. v. AMMO Call location/time: In the notification package. vi. AMMO Bowl game play: Will be a round robin and doubleelimination tournament. vii. Awards presentation: T.J. and Rich will work with Langley personnel on determining the social events (upon return from TDYs). viii. T.J. stated DM may have a source for balls. ix. Need to check with Mike Robertson on who will throw out the first pitch. There is a possibility Gen. Harrell may be available but need tournament director buy-in. e. Floor was opened up for any further discussion. There were no additional issues brought up. i. The President decided to review reunion materials examples to send to Mike Roylance after the ACAVC meeting. The 2006 reunion is to be held in Reno in September or October. Mike Roylance and Jerry Modlin are heading up the effort. ii. Bill McCullough stated the Constitution and By-Laws were ready for signature. iii. John Matthews recommended multiple e-mails be sent to members for votes and meeting notifications. iv. John Matthews mentioned the possibility of setting up a Sunset Committee. He recommended there be a main ACA committee and an ACAVC committee, each with a main point of contact and made up of three or four people. v. John Matthews opened a discussion about the role of the ACA. There are still communication gaps, missing agendas prior to meetings, no meeting minutes, and no participation by all concerned parties in votes. Some people got disgruntled and quit the ACA. Elections were held at the last reunion for Board of Director members and we just learned another election may be held this October. It was also brought up the ACA does not have a regional Chapter for local efforts but National monies tend to support local events. It was discussed that a Board of Directors on-line chat or conference call needs to be held to iron out issues. 3 AMMO Chiefs Association Virginia Chapter, P.O. Box 65499, Hampton VA 23665-5499 vi. The ACA Awards Night will be held at the Hurlburt Field Officers Club on October 15, 2005. Awaiting time and cost data. f. Meeting was adjourned at 2:29 pm (1429 hours). i.
