Presentation Facilities
 Give participants the opportunity to identify their accommodation needs;
 Ensure that the meeting space is accessible:

obstacle-free pathways to the space;

doorways which are about one metre wide;

accessible restrooms on the same floor;

large enough space to accommodate assistive learning technologies and seating for
interpreters/companions;

enough room for those who use mobility aids to move around freely.
 Promote a scent-free environment (there’s is no official Queen’s policy regarding scents, but
it is recommended that you encourage a scent-free environment)
 Prepare event signage with large print and contrasting colours
Information Resources and Technology
 Provide print handouts;
 Arrange for conversion of conventional print material to alternative formats such as Braille,
DAISY, audio, large print or plain language and offer them before the meeting;
 Provide meeting materials in advance for those who need more time or quiet to gain better
comprehension;
 Indicate a location where electronic versions of the material can be accessed;
 Ensure that all video material shown is captioned and accessible;
 Ensure that all material handed out is accessible;
 Provide a feedback mechanism.
