Rules & Guidelines Formal Recruitment
1. GENERAL RULES
a. All council-fraternity members and bidded/new members will be dry and illicit
substance-free, free of alcohol and drug use, during formal recruitment,
beginning 12am the Thursday of the formal recruitment period and ending 7pm
the Monday following formal recruitment.
i. Any violation of this rule will be met with a formal conduct hearing by the
council VP of Conduct review and monetary charges, equal to one
infraction per member found guilty.
ii. The only exception is if the council-fraternity members are over the age
of 21 and are drinking in a professional establishment. (Restaurant, bars,
etc.)
b. Formal recruitment participants must be currently enrolled male students at
Minnesota State University, Mankato in good standing.
i. Formal recruitment participants who have a collegiate grade point
average, must verify their GPA is above a 2.5 on a 4.0 scale.
ii. Formal recruitment participants who do not have a collegiate grade point
average may be asked to report their high school GPA. This information
will not be considered protected, and will be compiled by the council VP
of Academic Affairs and membership development for use by chapters.
Formal recruitment participants will be made aware of this during the
recruitment opener (Greek 201), on the first day of formal recruitment.
iii. Formal recruitment registration will open at the beginning of summer
orientation and will be hosted through MavSync.
iv. Formal recruitment registration will close Thursday, the first day of
formal recruitment.
v. There will be a $20 registration fee for formal recruitment.
c. Members of any council fraternity chapters are not to contact any formal
recruitment participants, likewise, formal recruitment participants are not
allowed to contact affiliated members after the start of the first formal
recruitment event
2. BIDDING NEW MEMBERS
a. During the week, if a chapter would like to extend a bid to a formal recruitment
participant, the chapter President or chapter Recruitment Chairman must
contact the council Vice President of Recruitment, council President, or Assistant
Director of Greek Life.

i. In order to be eligible to receive a bid, during formal recruitment, a
formal participant must visit all participating council fraternities once, as
well as attend two preference parties.
ii. It will be the role of the Beta Rho Chi’s to track attendance each night of
formal recruitment.
All bids will be kept confidential and will be kept until bid disbursement on
Sunday.
Potential new members that are not participating in formal recruitment may be
contacted during the formal recruitment process, but they may not be offered a
bid until open bidding resumes after Bid Day festivities have concluded.
All formal recruitment bids must be turned in to the council VP of Recruitment,
council President, or Assistant Director of Greek Life, by 1pm Sunday of formal
recruitment.
Formal recruitment participants who receive a bid will have time on Sunday to
review all bids received and either sign or opt for more time.
i. If the formal recruitment participants choose not to sign at the time a
Beta Rho Chi or the VP of Recruitment will contact them 1-2 days later.
Upon receiving bid(s), formal recruitment participants will be informed of bidexpiration, no-contact policy, council academic dishonesty policy, no hazing
policies, grade-release policy, six month bid acceptance time limit policy, and the
date of the IFC/PHC new member workshop.
i. All formal recruitment bids will expire at 11:59pm the Wednesday
following formal recruitment.
Immediately upon bid acceptance, the chapter the formal recruitment
participant accepted a bid to must contact a Beta Rho Chi, council VP of
Recruitment, the council President, or the Assistant Director of Greek Life.
At the end of the day Sunday the names and accepted affiliation of any formal
recruitment participants, who have accepted bids, will be published and made
public knowledge by the council.
1. In no case, shall the list of bidded formal recruitment participants
be made accessible, prior to bid acceptance, to anyone other than
the Beta Rho Chi’s, council VP of Recruitment, council President,
or Assistant Director of Greek life.
2. The number of bids extended by any specific chapter shall not be
made public knowledge.
3. The council shall not publish the names of formal recruitment
participants who have not accepted bids until the end of the
formal recruitment period/no-contact period.
4. Once a formal recruitment participant has accepted a bid to a
fraternity, no other fraternity may attempt to recruit him.
i. Open bidding will close at 11:59 p.m. on the Wednesday prior to the formal
recruitment process beginning, and it will resume at 8:00 p.m. on the day of Bid
Day.
3. EVENTS
a. All event forms are due to the council VP of Recruitment by midnight one-month
prior to the start of formal recruitment. (ex: Sunday August 8th before Sunday
September 8th).
i. The nature of chapter specific events shall remain confidential until
formal recruitment is over.
ii. At the completion of the formal recruitment period, the council may
make reference to, but not specifically release, the details of any chapter
specific formal recruitment event at any time, unless the chapter agrees
to its use.
b. Recruitment events and promotional materials may not make reference to
alcohol or other drugs and must be in good taste.
i. Council VP of PR and Marketing will have judgment of taste.
c. Only active members, new/bidded members, and alumni members are allowed
to take part of the formal recruitment events along with the formal recruitment
participants.
i. In the case a third party must be present by nature of the event (e.g.
bouncy castle attendant), such necessity must be made clear in the event
form and approved by the council VP of Recruitment and Assistant
Director for Greek Life.
d. The event structure is as follows;
i. Thursday 6-7pm
Recruitment Opener
1. Thursday 7-11pm
All Fraternity Tournament/Tailgate
ii. Friday 5-8:30pm
1st half house parties
iii. Saturday 4-8:30pm
2nd half house parties
iv. Sunday 11-1:30pm

v. Sunday 4pm-5pm

e. Each formal recruitment participant will be provided a Greek Life name
tag/lanyard to wear throughout the week.
f. If food is served at the events, chapters are required to inform individuals of the
contents in case of possible food allergies.
g. Events which take place in the Centennial Student Union must abide by all Union
policies. See University scheduling for a complete copy of Union policies.
h. Events that take place off campus must be within 3 miles of campus and not take
place outside the Mankato area.
i. Fraternities and/or individual members (including new members and alumni) are
not allowed to give gifts or favors to potential new members.
j.
i. No fraternity member, including new members and alumni, may buy
anything for a formal recruitment participant (meal, soft drink, etc.). No
formal recruitment participant may buy anything for a fraternity
member.
1. This excludes refreshments provided by the Fraternity at a
recruitment event.
2. Any refreshments provided during a recruitment event are to be
listed in the event form, turned in to the council prior to the
formal recruitment period.
No formal recruitment participant may be taken behind closed doors during
formal recruitment. All doors, in an event location, must be open and unlocked
during formal recruitment.
k. There will be no promising of invitations to membership (bids) directly or
indirectly by any member, new member or alumni of a fraternity.
l. Beta Rho Chi’s will be the only individuals who will transport formal recruitment
participants during the formal recruitment week, unless otherwise authorized by
the Assistant Director of Greek Life, or in the case of emergency.
m. Recruitment house parties will occur in a rotation structure, every 40 minutes,
with 10 minutes allowed for transportation between parties. Parties will start
every 50 minutes
n. House party events may only commence with the consent of the Beta Rho Chi’s.
4. Infractions
a. In the case that a chapter violates any of the policies listed in this document the
council VP of Recruitment, council President, or Assistant Director of Greek Life
may assess an infraction, unless otherwise defined by this document or the
council by-laws.
b. An infraction will result in a monetary charge to the chapter of $15-$50
depending on severity of infraction
c. All infractions must be paid by the end of the semester they are incurred in.
Summer infractions will be included in the fall semester.
d. Beta Rho Chi’s that do not meet their expectations and/or break the rules may
be released with a $200 fine.
e. Any serious chapter infraction will result in a meeting with the VP of conduct
review.
5. Disaffiliation
a. Disaffiliation will be the external disassociation of members for the purpose of
promoting and guiding formal recruitment participants through council formal
recruitment.
b. Council member fraternities will each put forth Beta Rho Chi’s based on chapter
size. One for a chapter smaller than 20 members in the spring, and two for
chapters over 20 members in the spring.
i. Beta Rho Chi names must be turned in to the council VP of Recruitment
by February 18, 2015.
c. All Beta Rho Chis must attend mandatory training, hosted by the council VP of
Recruitment. Failure to do so will result in the Beta Ro Chi’s release unless
approved by the VP of Recruitment.
d. Beta Rho Chi’s, as well as the council VP of Recruitment and the council
President will avoid public affiliation following spring commencement.
i. Public interaction that identify a person’s affiliation may occur only if
there is another Beta Ro Chi present from another chapter.
e. Disaffiliation includes the following;
i. No wearing of Greek letters, or other affiliation associated regalia or
symbolism.
ii. Exclusion from affiliation’s pre-formal, informal recruitment events
1. This exclusion includes any event where a non-member is
allowed, or is suspected to participate.
2. This should not exclude chapter retreat, but may include chapter
meeting if potential new members are present.
3. At no times may the council prevent a disaffiliated member from
texting or private/direct messaging a member of their affiliated
chapter.
a. Unless messages relate to the recruitment of a specific
formal recruitment participant(s).
b. Such messaging will result in an infraction for the affiliated
chapter
iii. Disaffiliated members must make reasonable attempt to eliminate public
social media interaction with members of their affiliated chapters.
1. Public social media interaction includes profile pictures and recent
posts displaying affiliation.
2. The council shall not ask any member to deactivate or “turn-off”
any of their social media accounts, unless those accounts are in
poor taste to the recruitment process.
iv. If asked by a formal recruitment participant disaffiliated members must
not disclose information, which would make apparent their affiliation.
v. If any council fraternity member discloses the affiliation of a Beta Rho
Chi, an infraction will be assessed to the affiliation of the disclosing
member, not the disclosed Beta Rho Chi’s, unless they are from the same
affiliation.
1. In case of disclosure of Beta Rho Chi by other chapter the Beta
Rho Chi will be able to fulfill his duties as Beta Rho Chi
f. Each disaffiliated member will be given temporary use of a council polo. The polo
is to be signed out to the disaffiliated member at the beginning of their
disaffiliation term and signed in once they have re-affiliated.
i. Disaffiliated members are required to wear the council polo at any
organized council sponsored event.
ii. In the case a disaffiliated member loses the polo or returns the polo in
poor condition, they will personally be liable for the full replacement
cost.
1. The affiliated chapter of a disaffiliated member may choose to
absorb the cost of a lost or damaged council polo, but the
affiliated chapter’s President must approve this decision.
g. The Beta Ro Chi’s may re-affiliate after the reveal on Sunday of formal
recruitment week.
