Application to participate in the train season ticket discount scheme.
The University of Essex are pleased to announce that ‘one’ have offered staff a discount on
train season passes of 5%. This scheme is applicable on monthly, quarterly, six monthly and
annual season passes and will start from the xxxx 2008.
To be eligible to participate in the discount scheme please read the terms and conditions
attached to this page, then complete and sign this form and send it to the xxxxxxxxxx who will
send you further details about how to obtain your discounted rail pass and more information
about the scheme.

Terms & Conditions for participating in the train season ticket discount
scheme
I confirm that I agree to the following terms and conditions for participation in the train
discount scheme:
a) This scheme is offered by ‘one’ to the University of Essex employees as part of
the University of Essex’s Staff Travel Plan to encourage more sustainable travel.
b) The scheme applies to staff employed directly by the University of Essex. This
includes those on a fixed term contract so long as the term of the season ticket
does not exceed the length of the contract of employment.
c) The scheme is for the purchase of a season ticket for travel between home and my
usual place of work at the University of Essex. I understand that use of the season
ticket for any other purpose may result in disciplinary action, unless it is permitted
under this agreement.
d) It is acknowledged that the season ticket may be used for personal travel out side of
my normal working hours providing that the predominant use is for the purposes set
out in clause (c) and it is permitted under the train company’s terms and conditions of
travel.
e) Where possible and appropriate I will use the ticket for travel on the University of
Essex’s business at no additional cost to the University of Essex and where
applicable will use the ticket for discounted fares for business travel.
f)
In the event of the season ticket becoming lost or stolen, the obligation will be on me
to seek a replacement season ticket from the train company that issued the ticket at
my own cost although the University of Essex will provide any reasonable assistance
in seeking a replacement season ticket in the event that I have any problems with
obtaining a replacement.
g) I will assist in the monitoring of the scheme by completion of user questionnaires as
and when requested.
h) The University of Essex’s agreement with ‘one’ will be for an initial period of 12
months. Thereafter it will continue from year to year unless 3 months prior written
notice of termination is given by one party to the other expiring at the end of the
relevant 12 month period. No guarantee of the continued availability of the
discount outside of this agreement can be given.
i)
I agree to comply with the terms of use for the season ticket issued by the train
company and not to do anything which would adversely affect the good standing of
the University of Essex.
j)
I acknowledge that I am only entitled to apply for a discount in relation to purchase of
tickets for travel as mentioned in clauses c, d and e above and only with the “one”
train company and I must not do anything that would cause or be likely to cause the
University of Essex to be in breach of the agreement between University of Essex
and ‘one’ in relation to the travel scheme discount.
k) If I leave the University of Essex’s employment or the predominant use of my season
ticket is no longer for work purposes I will no longer be entitled to the discount on the
remainder of my ticket and therefore must forthwith seek a refund from the office of
the ‘one’ train company that issued it.

o) Please note that once your application is approved, full details will be provided to
you regarding how the scheme operates and you can start using it immediately.
In brief:
1. You will need to call a central telephone number which is available seven
days a week to obtain your initial pass and to renew it in future.
2. You will need to quote your name, extension number and payroll number.
3. “one” will require your home address
4. You will need to pay for your pass via credit or debit card
5. If you are a new train user “one” will initially require two passport sized
photos before they can send you your discounted travel pass.
6. You will be able to start your season pass on a date of your choice
7. “one” will send the rail pass to your home address, this is likely to take
around five working days
p) You must keep the ticket and Photo Card together at all times whilst travelling.
‘one’ are within their rights to confiscate or withdraw a ticket without refund and
refuse to sell any further tickets to an individual if they discover incorrect or
fraudulent use of a ticket.
q) If your journey is delayed by 30-59 minutes, ‘one’ will pay compensation to 50%
of the daily cost of the discounted value of the ticket, and twice this amount if the
delay is over 60 minutes. Compensation is normally paid in National Rail
vouchers. This is in line with ‘one’s standard compensation arrangements and
therefore may be subject to change.
r) If you arrive at the station and found you have forgotten or lost your ticket you will
be charged the normal daily amount to travel to work. You will not be entitled to a
refund for the days you had to purchase a daily ticket once you have produced
your season ticket.
s) In the case of anti-social, serious misbehaviour or criminal activity, ‘one’ reserves
the right to decline to sell tickets to that relevant employee.
