Anschutz Medical Campus HR Management meeting: o Friday, March 6, 2015 o from 9:30-10:30 o ED2 South, L28-2201 (2nd floor) Denver Campus HR Management meeting: o Friday, March 6, 2015 o from 2:30-3:30 o CU Building, Room #440 MINUTES Welcome and introductions Human Resources department staff updates o Stephanie Perez has accepted a position with CSU. o Ryan Untisz has been promoted to an HR Consultant in the Employment Services unit. o The Operations unit welcomes four new staff: Dennis Evans and Melissa Flippin on the Anschutz Campus, Jaella Rangel and Shala Massey on the Denver Campus, along with Lauren Koester on the Denver Campus as a temporary staff to help bring the unit current in their operations. o Hannah Bandle will be leaving the HR department in June to join her husband who took a position in Albany, New York. Affordable Care Act for student employees o A CU Denver | Anschutz DRAFT Student Employee Hours Administrative Policy has been written and can be found with the March 2015 minutes on the HR web site. For policy consistency across the university the CU Denver | Anschutz draft policy is consistent with those adopted by the Colorado Springs and Boulder campuses and the System office. Please provide Kevin Jacobs with feedback. o In compliance with the Affordable Care Act the policy addresses student minimum enrollment requirements along with exceptions for university regular benefit eligibility. o Employee Services will be notifying students by letter of their eligibility. A new benefit default to the exclusive plan will be in place to require action by students in order to prevent double coverage and added expense to the university. o Departments are responsible for benefit coverage of students even if the student transfers to work in a different department. FaST (Faculty and Staff Threat Assessment) Team Jaella Rangel will be working with the team. During the time previous to her arriving it was learned the calls forwarded from the FaST line did not have the messages forwarded so had not been checked. The issue has been resolved for the future. HR department goals for 2015 o The HCM (Human Capital Management) system will soon be replacing the People Soft system. Taleo is a product of HCM that will replace JobsatCU with CUCareers. Other products also included will be onboarding and competencies. o The HR Employment Services will be working to develop for the HR Business Partners clearer and more standardized roles, basic agreements and improved communication. This process will include conversations with HR Business Partners. o For recruitment and selection a written timeline is being established to help guide the process. Taleo Update HR Staff and a few business partners completed some testing recently. We provided feedback to Employee Services who are hoping to work through any glitches before we conduct further testing with Business Partners. If you are interested in helping with testing, please contact Florie Montoya. HCM Update Continuing work on position description profile creation. In the future, users will be able to pull up general duties by job code vs. having to create job descriptions from scratch for university staff positions. Job description information from PeopleAdmin environment will be fed into the new system and will be available if needed. Classified duties will be populated from classification specs from the State. In the new environment, users will not need to figure out how to navigate the system to make a change. All actions will be initiated via a form. Once the form is complete and is approved, the information will be updated in HCM. HR working group is currently reviewing action/reason codes, security, earning codes including options for capturing multiple components of pay. HR working groups will be able to test in the April through June timeframe. Business Partners who would like to participate in testing will be able to do so starting in July. One Year Search Waivers for Faculty We are still gathering feedback and will not discontinue approval of these waivers until we have identified other options. We need to have additional discussions with the School of Medicine as the majority of current waivers in this category are in the School. We have discussed using Visiting titles as a replacement for one year waivers. Employment Services Reminders Please use the revised templates for university staff offers letters located on the HR website under Forms/Templates/Processes. Please do not use old versions. Minimum Qualifications We need your help to ensure that those you are appointing meet minimum qualifications for waivers or searches. When you submit a request for a search waiver, please ensure that you review the qualifications listed in the description and ensure that the resume for the person who is being appointed documents their qualifications and they meet all minimum qualifications. Also for searches, remind search committees that anyone who is recommended for appointment must meet all minimum qualifications listed in the job announcement. Temporaries If you have a need for a temp, please contact Brooke Fitzpatrick. We are keeping a spreadsheet of those who have expressed interest in temporary appointments. The list consists primarily of retirees. Appointments Previously Called Search Waivers In the future, there will be a change to the way we process appointments for those who have gone through a search process for other positions, who are being reinstated, or who are promoting or transferring. We are looking at a process where the business partner will submit a resume along with the job description vs. having to create a separate posting and then having the person apply for university staff positions. We need to work through the process for faculty positions as well. More information regarding the process will be shared once finalized. HR Operations updates o Reminder: please submit PMRs one week before they are due on the 1st and 15th of each month. If possible, send one spreadsheet containing all actions for that particular PMR. o Departments are responsible for making name updates in HRMS. In addition, please send a copy of the new Social Security card with the employee’s prior name and the employee ID number. Please send name changes to the HR.I-9@ucdenver.edu email with a copy of the new social security card along the persons prior and new name so their I9 and employment file may be updated. o Centralized email boxes have been established for various Operations unit functions and can be found on the HR web site under HR Staff, HR Operations. Staff Council Effective January 1, 2015 the EPA (Exempt Professional Assembly) has been dissolved, its membership combined with the Staff Council to provide one council to represent Classified Staff, University Staff, Sr. PRAs, PRAs and Research Associates. The Boulder campus has this structure and the Colorado Springs campus is also going this way. Performance Management Thank you for those that have completed the new process and calendar timeline.
