Review of meeting minutes 11/23/15 a.

G. Harvill moved to approve, M. Palm seconded, minutes approved.

Information Items a.

Task force Updates i.

Distance Education

1.

Meeting 0on 12/2 with Avidex to discuss classroom upgrades.

2.

Microsoft reps will be on campus to tour the MEC and look at designs for Samuelson, looking at new technologies they could enable for us in those spaces. ii.

E-textbooks and OER had a demo by Pearson representatives for their e-text and

Myfoundations Lab, variety of online modules for reading, writing, and student success.

Looking at doing a pilot on their Direct Access Initiative, which would provide textbooks on the first day of class at a substantial discount. b.

EISC Update i.

Lab usage data from IS takes statistics from 22 labs on campus, does not include department owned or sponsored labs.

1.

Labs have about 60% usage at maximum peak hours, Monday-Thursday from 10-4.

2.

Discussed the possibility of cross referencing R25 scheduling data.

3.

Labs in the Multimodal Education Center which are set up for collaboration have high usage, thinking about reconfiguring labs around a more collaborative design. ii.

Doing reviews of projects that have been approved through ESIC as a way to improve the process and to determine why projects may have gotten off-track and how to address those issues. Specifically looking at McConnell digital sound system, 25 Live, public Internet (Wi-

Fi), and redundant Internet link. iii.

MediaAmp Portal has launched and the project is closed. iv.

POS for Wildcat Bookstore is complete. v.

Recruiting Solutions for HR is 85% complete to replace People Admin. vi.

Strategic Planning Online is 50% complete. vii.

Student Tech Fee has full quorum of students now, accepting request for funding.

Taking proactive approach to refreshing labs and reviewing their policies which will be shared with ASLC and EISC. c.

BTAC i.

PeopleSoft and 25 Live are being integrated, updating policies around when students can change primary name to preferred name on rosters, only first name change allowed. ii.

Looking at textbook adoption and getting them adopted earlier for Disability Services. iii.

Connection Card photos for faculty and staff are being put into MyCWU Directory and will be uploaded 1/1. d.

IS Update

i.

Discussed virtual desktop integration, which allows buying a basic computer which then connect to a server with a full PC/MAC instance and gives access to both environments at a lower cost.

Will be piloting technologies and looking at full-featured platform.

2.

Discussed issues regarding the centers computer labs that are used for testing.

3.

Discussed virtualization impact on proctoring and Respondus Lockdown Browsers. ii.

New password reset tool on 12/8, will use information from PeopleSoft database that only will be known by the user instead of using challenge questions. iii.

Challenges with Wi-Fi connectivity in Wendell Hill Hall, antenna placement is possible a cause as well as age of devices.

If other locations are determined with spotty coverage it is recommended to call

HelpDesk and inform them.

Action: C. Schedler will send Panopto Guide for students to K. Wu.

Action: G. Harvill will acquire library lab usage data for P. Fu.

Service Desk Response Process a.

Brining in new ITIL framework to help with responses to issues, using a central point of contact then escalating from there.

b.

Previously had no tracking of tier 2 support.

c.

Focuses on aligning IT services with needs of business.

d.

Online service catalog is now available to any CWU user for help, including a knowledge base of articles for self-help.

e.

Now provide customer support for: Networks and Operations, Enterprise Applications, Canvas, computer support, lab support, classroom technology, and Payroll.

f.

Now have a splash page for getting information on MyCWU.

i.

Discussed having a ticker or splash page also on the main CWU.edu homepage.

g.

Discussed response time for difference incidence response metrics.

Other a.

Discussed Curriculog issues with transparency, lack of ability for discussion channels, and its effect on implementations of it on new classes.
