The Salisbury University Greek Assessment Program 2013 The Salisbury University Greek Assessment Program (SUGAP) is an annual evaluation and awards program for the Greek Life community of Salisbury University. The purposes of this program are to: Encourage chapters to uphold the missions, values and standards of their respective organizations and promote the Greek Life community values of leadership, scholarship, citizenship, stewardship and friendship; Assess the organizational health of each chapter and the overall Greek community and provide feedback for chapters on strengths and growth areas; Demonstrate the value and relevance of Greek Life at SU and measure achievement of SU Student Affairs learning outcomes; Gather data for use in marketing Greek Life; and Reward chapters who demonstrate values-action congruence. The information in this manual serves to support each chapter in its compilation of materials for annual submission each spring semester. The examples provided are suggestions of documentation for each standard. Alternative documentation may be submitted that meets the criteria. 1 SUGAP History A Call for Values Congruence “Recent studies indicate a widening gap between the rhetoric of Greek chapters and the reality of their practices on college campuses. Fraternity and sorority mission statements eloquently and clearly define these co-curricular organizations as supporting and enhancing the mission of higher education. However, illegal and abusive alcohol consumption and its second hand effects - sexual assault, vandalism, violence, negative community relations, an anti-intellectual environment, and a lack of civility - continue to plague Greek systems. A Call for Values Congruence outlines a specific set of strategies to close the gap between what fraternities and sororities espouse and what their chapters do.” “The Franklin Square Group believes that rhetoric will match reality when fraternity and sorority headquarters, host campuses, and students collaboratively implement and assess practices and policies grounded in a shared set of standards. A site visit certification process is proposed to affirm shared standards among collegiate Greek chapter and inter/national Greek organizations.” “This site visit process would focus on each individual chapter’s record of abiding by established policies and fulfilling enunciated expectations. The results of these certification reviews would be shared with individual chapters, alumni, and the respective national headquarters of each 2 fraternity and sorority. Such reviews should result in commendation, certification, or probationary status, and where justified, should lead to the closing of individual chapters.” The Franklin Square Group 2003 The Greek Council was designed as an open forum to provide direction and guidance to the Salisbury University Fraternity and Sorority Community. Through dialogue, assessment, and collaboration, the Council aims to create initiatives that advance the Greek agenda, and provide expectations and policies for recognized chapters at the University. A variety of stakeholders, including undergraduates, chapter officers, alumni advisors, faculty/staff advisors, and administrators were invited to participate. In response to the charges outlined in A Call for Values Congruence, the Greek Steering Committee began meeting in February 2007 for the specific purposes of defining a set of shared expectations and creating an assessment tool to measure compliance. A variety of standards, evaluation models, and “best practices” were studied, including those in use by National Fraternity/Sorority Headquarters and other institutions of higher education (see Source Documents). The Committee was asked to, not only evaluate where the Community is presently, but to set the proverbial bar at a level that ensured the continued existence of Greek Life at the University. The resulting Salisbury University Greek Assessment Program (SUGAP) is both a quantitative and qualitative measurement of organizational success in a given academic year. It defines the type of chapter that we believe our existing organizations have the potential to be, while also providing a blueprint for future expansion groups. Although the SUGAP should be 3 viewed primarily as an incentive-based program with opportunities for positive reinforcement and recognition, accountability remains a major theme. In the modern world of higher education, fraternities and sororities must continue to justify their place at the table through word and deed. The SUGAP is an annual evaluation of chapter operations, assessing the following areas of fraternal life: Academic Affairs Campus & Community Involvement Leadership Development Chapter Operations Recruitment & New Member Education Risk Management Ritual Each chapter is expected to meet the various standards set forth by the Greek Steering Committee, and to provide supporting documentation as requested to verify satisfactory compliance. Extra credit opportunities are available for chapters that go above and beyond the minimum expectations. Q: What is the grading scale for the SUGAP? 100+ points = “Alpha” Chapter of Excellence 90-99 points = “Beta” Chapter of Excellence 80-89 points = “Gamma” 70-79 points = “Delta” 5 Q: What types of incentives, awards, and recognition does the SUGAP offer to Chapters of Excellence? In support of the SUGAP, the Salisbury University Appropriations Board has allocated $4,000 for meritbased recognition purposes. A SUGAP score of < 70 points is considered failing. Per the Salisbury University Greek Recognition Policy, any chapter that has failed the SUGAP 3 times within a 4 year period could suffer a Revocation of Charter. Q: What resources are available to assist chapters throughout the SUGAP process? Each chapter will be provided with an individualized action plan designed to address any prior-year SUGAP deficiencies. A comprehensive list of programming contacts, resources, and models has been included in this packet to aid chapters in their semester planning. Beginning in the Fall semester, the Director of Student Activities will facilitate various workshops and roundtable discussions devoted to each of the 7 areas of assessment. Individual officers and/or committee chairs will be specifically targeted for invitation, and chapters will be encouraged to share “best practices” with one another. Individual appointments with the Director of Student Activities or designee may be scheduled as often as needed to brainstorm ideas and review documentation materials, up until 3 weeks prior to the submission deadline. 6 Q: What is the timeline for the 2011-2012 SUGAP? The SUGAP is designed to evaluate a chapter’s efforts during the Spring 2012 and Fall 2012 semesters. However, any work that the Chapter does during Summer 2012 (after May 31) may be counted towards the Fall 2012 semester’s requirements. Completed SUGAP portfolios will be due by the date announced by OSAO&L (approximately 3 weeks prior to the end of the term). The results will be tabulated and announced during a Spring 2012 awards program. Q: Will the SUGAP results be made public record? All stakeholders of Greek Life, including undergraduates, alumni, advisors, National Fraternity/Sorority Headquarters Staff, and Salisbury University Administration will have access to your SUGAP results. Information about the SUGAP and historical scores will be published by the IFC/Panhellenic/OSAOL for recognition and recruitment purposes. Q: Any tips or advice? 1. Delegate, delegate, delegate! The Chapter President should not have to pull everything together at the last minute. Divide up the responsibilities among appropriate executive board members and committee chairs. 2. Periodically devote chapter meeting time to give SUGAP updates and review remaining requirements. 3. Save copies of everything. Get a SUGAP binder and begin storing documentation. 4. Label all documentation included in the final SUGAP portfolio so that we can easily determine the specific standard being referenced. 5. Feel free to include any additional documentation (i.e. publicity, room reservations, pictures, thank you notes, program handouts, reports to National HQ, etc.) to spruce up your SUGAP portfolio. The more detailed documentation that you provide, the greater your chance of being recognized with a Chapter Excellence Award. 6. Be aware of all in-semester deadlines. 7. Keep accurate attendance at your chapter programs/events. 8. Make sure that your members sign in at all IFC/Panhellenic/NPHC/OSAOL sponsored programs/events. 9. Motivate your chapter members by appealing to their competitive nature. A high score can earn you awards, recognition, bragging rights, and an important selling point during recruitment. The SUGAP is infinitely more important than Greek Week or Intramurals. 10. Ask for help if you need it! 7 Academic Affairs This section serves to evaluate chapter values in comparison with community standards of scholarship. Note: Sections 1 – 3 may be included on one spreadsheet with three different columns, each with a total average as suggested. 1.) To receive full point consideration, events submitted for documentation must not be repeating or featured in multiple areas of assessment. (Ie. Relay for Life will not receive credit if featured as an Alumni program, Philanthropy Program and Fundraising program). All program report forms must have original signatures as listed to be recognized as documentation. When hosting a speaker or guest for a workshop or program, it is strongly encouraged to have a non-chapter member as the facilitator of the program to receive full credit. Portfolios received after the deadline will receive a 20 point deduction in scoring. 33 1. A NEW binder to place all your worksheets in 2. Dividers are always nice to separate each section of the SUGAP requirements as well as your activities 3. Is everything whole punched and not falling out of your binder? 4. At the beginning of each section is there a checklist of all the items you have included for that portion of SUGAP? 5. Do you have any pictures? If your organization has documentation that the event took place it would be nice to see that in your binder. 6. Handwritten or typed? It’s easier to read when the information is typed out instead of handwritten on a piece of notebook paper 7. Missing information for your binder? If you need help locating rosters or information for a section of SUGAP, email OSAOL and follow-up, but allow at least 3 weeks before the deadline to locate the information. 8. “But I gave it to you in the beginning of the semester! Shouldn’t you already have it?” Even if you handed in information on your chapter you must reprint it for your SUGAP binder.
