Department Introduction:

Transportation Services provides innovative and sustainable transportation solutions that facilitate the educational, research, cultural and service missions of the University. TS supports the UW campus with the following: Parking, Transit,

Bicycling, Walking, Rideshare, Fleet Services, UW Shuttles, and Transportation Planning & Construction.

Job Purpose:

Under the Direction of the UW Shuttles Manager, coordinate and perform work using knowledge and experience specific to the UW Shuttles program, which includes Health Sciences Express, Seattle Cancer Care Alliance, Dial-a-Ride, South

Lake Union, and Night Ride shuttle service.

Duties and Responsibilities:

Serve as the primary phone/e-mail contact for the UW Shuttles program, including Health Sciences Express,

Seattle Cancer Care Alliance, Dial-a-Ride, South Lake Union, and Night Ride shuttle service

Serve as UW Shuttles dispatch; use a two-way radio to communicate with all of UW Shuttles field-based staff; respond to shuttle drivers’ inquiries regarding ride instructions, schedules, and/or passengers; forward drivers’ problems, and concerns to the Shuttles Assistant Manager and/or Manager

Independently resolve inquiries and complaints, and provide information to the campus community regarding the

UW Shuttles program including routes and schedules, service hours, passenger pick-up and drop off locations, policies and procedures, medical commodities, lost and found, and other shuttles-related issues

Review referrals and requests for Dial-A-Ride service; follow-up with Disability Resource Office and/or Dial-A-

Ride passengers using tact and discretion in discussing service needs

Use customized software (Trapeze) to schedule Dial-A-Ride passenger ride requests and create daily driving manifests for drivers; work with Dial-A-Ride passengers to establish daily and quarterly schedules

Independently determine when supplemental service by vendors is needed due to program limitations; coordinate and communicate with the vendor to confirm and/or request rides; follow up with vendor regarding late or missed rides; review and reconcile vendor invoices

Provide general clerical support for UW Shuttles maintaining confidentiality as needed

Maintain management and general departmental files

Schedule meetings as assigned, make room reservations as needed

 Assist with administrative functions of Shuttles’ drug testing program, as directed

 Work with the Transportation Service’s Communications Team to maintain the UW Shuttles website, request edits for Shuttles brochures and signage and update information on stop locations for Campus Mobility Route Map

Enter shuttle ridership data into database; use word processing, graphics, statistical, spreadsheet, and data software to create and maintain current ridership reports and performance metrics; assist with developing other computer based reporting tools

Assist in promoting ridership for the UW Shuttles program; work with staff regarding implementation of new programs, expansion of shuttle routes and pick-up/drop-off locations, and new shuttle services

Maintain and update inventory of team supplies

Provide excellent customer service through effective, clear, courteous and professional interactions with clients, colleagues and the campus community

Participate in compliance with all University, Facilities Services and Transportation Services policies and procedures including supporting management directives and the vision and values of Transportation Services, process improvement initiatives (Balanced Scorecard, Lean, Ideas Systems), regular report-outs to supervision regarding work progress, and active participation in meetings and trainings as scheduled

Possess the ability to handle stressful situations and changing priorities effectively

May occasionally be assigned to drive Dial-A-Ride vans based on program needs

Required Skills, Experience and Knowledge:

High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience

Must possess valid driver’s license

Proficient with computers: MS Office including Outlook, MS Word, MS Excel

Experience with multi-line phone, preferably in a high volume environment

Excellent customer service experience

Experience working with people who have disabilities or conditions that limit mobility

Excellent verbal and written communications skills

Demonstrated ability to perform successfully working independently and as part of a team

Must be able to follow written and/or verbal instructions and communicate in English regarding the use of supplies and equipment; comply with safety policies and procedures

Have knowledge and understand of safe work practices and policies

Must be able to wear all proper Personal Protective Equipment (PPE) as required

Must be able to follow written and/or verbal instructions and communicate in English regarding the use of chemicals, supplies, and equipment; comply with safety policies and procedures

Desirable Skills, Experience and Knowledge:

Experience and proficiency with MS Office including word processing, spreadsheets, databases, web development, HTML, and Adobe Suite Design including In Design, Illustrator and Photoshop

Experience scheduling and dispatching

Familiarity with UW campus/buildings

Familiarity with current UW Transportation Services programs

Valid CPR/First Aid certification at time of employment

Experience with process improvement initiatives

Conditions of Employment:

Valid Washington State driver's license

Must be able to work in a non-smoking environment

A satisfactory outcome from a criminal background verification will be required prior to hire
