Program Coordinator

Program Coordinator Expeditor
Department Introduction:
Job Purpose:
Coordinate the operation of Transportation Facilities Maintenance and University Transportation Services (UTC) building
programs.
Under general direction from the Facilities Manager, perform expeditor coordination of facilities maintenance work and
administrative duties using knowledge and experience specific to Transportation parking facilities operations. Exercise
independent judgment in interpreting and applying facilities maintenance rules and regulations. Independently advise and
provide facilities maintenance information to transportation staff, UW process partners, and/or the public regarding
facilities maintenance program operations, policies, procedures and activities; select/recommend alternative courses of
action and monitor facilities maintenance expenditures.
Duties and Responsibilities:
Expeditor
 Intake and dispatch of all maintenance, cleaning, repair, and UTC building customer calls
 Respond to voice mails
 Develop, communicate, initiate, and verify completion of work for established quarterly deep cleaning and routine
preventative maintenance schedule
 Perform complex scheduling including independently prioritizing needs of all service calls
 Process and track all work orders based on project deadlines and communicate potential project delays
 Update and maintain work order database
 Schedule facilities meetings as requested
 Maintain equipment warranties and prepare paperwork for all manufacture warranty parts
 Coordinate surplus and prepare surplus documents
 Coordinate assigned vehicle cleaning, scheduled maintenance, and repairs with Fleet Services
 Order and coordinate restock of inventory supplies, parts, tools, and equipment
 Maintain key inventory
 Maintain building maintenance files
 Coordinate surplus and prepare surplus paperwork
UTC Building coordination administration
 Custodial maintenance coordination
 Develop schedule, communicate, initiate, and verify completion of work for deep cleaning and routine preventative
building maintenance (e.g. window washing, carpet cleaning, furniture cleaning, vent cleaning, shred it bins, etc.)
 Initiate work orders for building repairs (e.g. lights, conference room sliding door
 Assist with the coordination of building renovation and office moves
 Develop and Maintain building files
Other
 Provide information and advice to customers and staff regarding facilities maintenance operation’s policies,
procedures and activities
 Use word processing, graphics, spreadsheet and/or data base software
 May direct and/or lead the work of UT2
 Perform other duties as assigned
 Regular and predictable attendance is required

Required Skills, Experience and Knowledge:
 High school graduation or equivalent AND two years of experience in the program specialty OR equivalent
education/experience
 Have knowledge and understand of safe work practices and policies
 Must be able to wear all proper Personal Protective Equipment (PPE) as required
 Must be able to follow written and/or verbal instructions and communicate in English regarding the use of
chemicals, supplies, and equipment; comply with safety policies and procedures
Desirable Skills, Experience and Knowledge:
 Advanced customer service skills
 Ability to multi-task
 Organized
 Intermediate to advance Microsoft Office skills, specifically in Outlook, Excel, Word, Power Point, Visio, and
Google documents
 Geographical knowledge of service area and maintenance service request systems
 Knowledge of transportation industry recommended but not required
