OPERATIONAL INFORMATION TECHNOLOGY COMMITTEE MEETING NOTES Wednesday, March 25, 2015 3:00 – 4:00 PM FAC 228D I. Canvas – Update (David Moss, Mario Guerra) David Moss and Mario Guerra gave an update on the Blackboard to Canvas transition. There are about 200 faculty members still using Blackboard. The last semester to use blackboard is Summer 2015. There are exceptions to transition for users who are retiring. Blackboard will be “turned off” August 1st, 2015, but it will be archived for faculty to grab content. There are many resources for the transition such as 24/7 support, training centers, and one on one consultation. A survey revealed that 76% of faculty and 81% of students are extremely satisfied or satisfied. Q. Where would you go to learn about the more advanced features of Canvas? A. We can do sessions for each department to help faculty with whatever components that they are interested in. Q. Does this free up any resources? A. Yes, since Canvas is in the “cloud” there is no hardware needed. The resources is used on Canvas. Comments: The exceptions to not move need to truly be exceptions. II. ASMP Technical Architecture – Update (Julienne VanDerZiel, Eric Weigel) Julienne VanDerZiel and Eric Weigel presented the new ASMP 2.0 Technical Architecture. There are 20 new approved selections. Graph on page 7 depicts all of the architecture components -- the selected architecture by TADS, the preexisting UT ones, and parts that do not fall into the scope of TADS. Pages 9-13 show the product mappings for application products. Pages 14-15 are all the key new features of the new products with their benefits and impact. The next steps are to complete the plan to procure, deploy, and transition staff. Implementation should start in May. Q. Will the Big Bang implementation date come to OIT for endorsement? A. Yes, the decision on the implementation decision will go to BSC but the actual date will go here. Q. Is DocuSign available now? A. No, not yet. We are still planning the implementation. The graduate school will be testing it soon. We are hoping to have all of these components and services available in 16 months. Q. Will all the units have to buy their own CoFax licenses and machines? A. No, it will be subsidized centrally. But the unit will have to pay for the actual hardware. There’s a multi-device software that will have the same capability of the normal CoFax machine. Possibly available in 9 months. Q. There’s a need for a campus wide knowledge on these new resources. Maybe a townhall? How will you send this information out? A. Rich Janes is in charge Julienne is open to meet with anyone. Q. Thought I heard that faculty, student, and grad student portal be the same? A. No, we just chose the underlying infrastructure, not how it will look like. We will create a customer steering committee on the creation of the portal. We are working of the architecture not the business side, not on design. Eric will meet with Tracy on the whole plan.
