Executive Assistant to Vice President for Development Purpose Purpose: Provides professional level administrative support to the Vice President for Development. This requires a thorough understanding of the University's policies and procedures. Essential Functions Function 1: Responsible for daily office management, fiscal management, annual budget preparation and forecasting. Assist Vice President in monitoring and approving departmental expenditures. 15 % Time Function 2: Human resource management for the department. Post vacant positions, manage recruitment process and maintain personnel files. 15 % Time Function 3: Maintain VP's calendar, answer phones, prepare correspondence, schedule meetings, prepare briefing materials and presentations, prepare agendas and record minutes, transcribe dictation, process monthly expense reimbursements, coordinate all travel arrangements, domestic and foreign. 25 % Time Function 4: Track donor activity as reported by the President and Vice President using Raiser's Edge software. 15 % Time Function 5: Correspond with members of the UT Arlington Development Board via phone and email. Assist with planning and coordination of semi-annual Development Board meetings and quarterly committee meetings. 15 % Time Function 6: Conduct semi-monthly meetings for administrative staff, coordinate departmental activities and assists with special projects as needed. 15 % Time Function 7: % Time Function 8: % Time Marginal/Incidental Functions Marginal/Incidental Functions: Other functions as assigned. Qualifications Required Qualifications: Bachelor's degree with 3 years upper level experience in administrative, secretarial or clerical position OR high school graduation or equivalent with 7 years of increasingly responsible administrative, secretarial or clerical experience. Experience with accounts and budget management. Excellent oral and written communication skills. Strong interpersonal skills. Ability to maintain confidential information. Ability to prioritize and organize multiple tasks and deadlines.
