Support Specialist II Purpose Purpose: To provide varied administrative support for the Upward Bound Programs' routine business or academic activities with minimal supervision. Essential Functions Function 1: Prepare and maintain Personnel Action Forms (PAF) for employees. Process payroll. Handle monthly vacation/sick leave reports. Assist in the preparation of participants stipends as needed. Reconcile statement of accounts for both grants. Provide secretarial assistance, including word processing, compose correspondence, office management, answer telephones, meet and receive guests, process mail, and take minutes at meeting. 25 % Time Function 2: Maintain files, records, and program documentation. Select, train, and supervise student clerical staff; conduct monthly meetings and implement new office procedures for office staff. Assist Program Director and Coordinator with budgetary and accounting responsibilities for grants. 25 % Time Function 3: Keep ledger of expenditures for all grants. Assist in submitting documentation to the U.S. Department of Education and other funding agents as needed. Assist with grant proposals. 25 % Time Function 4: Purchase supplies and reconcile department credit card purchases; prepare VP2's; arrange staff and/or participant travel accommodations. Assist in the planning and implementation of the six-week summer residential programs. Assist in the development and production of monthly newsletters. Coordinate meetings, workshops, field trips and activities, and assist in reserving facilities for program use. Qualifications Required Qualifications: High school graduation or equivalent. 3 years of administrative, secretarial, and clerical experience.
