Administrative Assistant I
Purpose
Purpose:
To provide varied administrative support to the Director of the Center.
Essential Functions
Function 1:
Relieves Director/Assistant Director of a wide variety of internal administrative
duties and a large volume of decisions which require a thorough understanding of
the functions, programs, and policies of the Center, the department and the
University.
30 % Time
Function 2:
Assists in the management of administrative staff services and in developing and
implementing internal procedures.
15 % Time
Function 3:
Maintains and reconciles departmental accounts, prepares the departmental budget,
coordinates travel and prepares vouchers for payment or reimbursement. Maintains
time leave usage, employee records, worker's compensation, training and annual
appointments for the organizational unit. Reviews and approves documents
including purchase orders, vouchers, petty cash, deposits, transfer of funds and
other departmental expenditures.

Function 4:
Maintains calendar of events and arranges schedules and meetings.
10 % Time
Function 5:
Designs and/or executes an effective system of internal controls concerning records
retention, and develops and updates retention schedules and a manual of operating
procedures for records retention, storage and destruction. Supervises and assists in
the gathering and recording of data. Assimilates and compiles data using
independent judgment in producing final reports.
25 % Time
Function 6:
Acts as the unit liaison with other departments and with outside agencies.

Qualifications
Required Qualifications:
Bachelor's degree with 1 year upper level secretarial experience OR high school
graduation or equivalent with 5 years of increasingly responsible administrative,
secretarial, and clerical experience and 1 year of supervisory experience. Applicants

Preferred Qualifications:
Experience managing departmental budget, coordinating travel, and prepares
vouchers for payment or reimbursement. Experience with personnel functions.
Experience in a community service setting. Strong computer skills (MS Office, etc.).
Excellent communication and interpersonal skills. Skills with Mac Desktop. Customer
service skills.
