Purpose
Purpose:
To provide highly skilled administrative support service to the Department of Communication
and specifically, to the Chair, in the area of operations and finance. The position requires
extensive knowledge of University policies and procedures and ability to exercise independent
judgment and supervision.
Essential Functions
Function 1:
Manages all financial transactions (approximately 30 accounts) and maintains all financial
ledgers. Develops and monitors departmental budget, including monthly review and verification
for accuracy.
60 % Time
Function 2:
Assistant to the Graduate Advisor -- includes making course subs/waivers, processing change of
program requests, hiring of GTAs and GRAs, course permissions and enrollment. Also maintains
comprehensive database to track grad student progress and historical program data.
25 % Time
Function 3:
Responsible for departmental purchasing, ProCard payment and reconciliation. Reviews and
approves departmental requisitions and service request forms.
5 % Time
Function 4:
Reviews and verifies for accuracy the monthly departmental payroll prior to payday.
5 % Time
Function 5:
Maintains personnel records including staff recruitment forms, appointments, change of status,
special leave requests, terminations, attendance records and performance evaluations.

Function 6:
Supervise departmental support staff.

Function 7:
Processes documentation and paperwork for classified employee positions by posting, screening
applications and hiring candidates.

Qualifications
Required Qualifications:
Bachelor's degree with 2 years of upper level secretarial experience OR high school or equivalent
with 6 years of administrative, secretarial and clerical experience with 2 years of supervisory
experience. Applicant must have prior work experience within the Department of
Communication. Applicants must include in their online resume the following information: 1)

Preferred Qualifications:
Master's degree with 2 or more years of upper level secretarial experience. Experience with MS
Office. DEFINE (UT Arlington data management/accounting system), MyMav (PeopleSoft), and
HRMS (Human Resource Management System) experience. Excellent communication skills.
Experience with the UT Arlington Department of Communication.
