THE UNIVERSITY OF TEXAS AT ARLINGTON ADMINISTRATIVE AND PROFESSIONAL (NON-TEACHING) JOB DESCRIPTION TITLE: CODE: Executive Assistant to the Vice President 0305 FUNCTION: Represents the Office of the Vice President for Academic Affairs and manages and carries out tasks related to the activities of that office, with focus on budget oversight. Provides highly responsible assistance to the Vice President for Academic Affairs. DUTIES AND RESPONSIBILITIES: Exercises independent judgment in accomplishing tasks and making decisions on a daily basis about the general affairs of the office, relieving Vice President of various responsibilities and decisions. Reconciles office accounts and oversees budget activities of other reporting units. Distribution of Academic Affairs initiative funds, enrollment management funds, and Distance Education fees to faculty and academic units as needed. Offers input on plans, issues and problems associated with assigned area. Maintains amicable working relationship with other university units and off-campus contacts. Coordination of special meetings of the faculty and administration. ACCOUNTABILITY REPORTING RELATIONSHIPS REPORTS TO: Vice President for Academic Affairs SUPERVISES: INTERNAL CONTROL: Responsible for the design, execution, and effectiveness of a system of internal controls which provides reasonable assurance that department operations are effective and efficient, department assets are safeguarded, department financial information is reliable, and the department complies with applicable laws, regulations, policies, and procedures. WORKING CONDITIONS: Office environment. REQUIRED QUALIFICATIONS: Bachelor’s degree with three years upper level secretarial experience or high school with seven years of increasingly responsible administrative, secretarial and clerical experience with three years of supervisory experience. Ability to maintain confidentiality. Computer literacy, including the ability to use spreadsheets, word processing and database management. Shorthand or speed writing skills preferred. Possess excellent oral and written communications skills, leadership skills, organizational skills and interpersonal skills. OTHER REQUIREMENTS: Must have knowledge of DEFINE accounting system and University of Texas System rules and regulations pertaining to budget oversight preferred.
