Purpose
Purpose:
Provide responsible administrative support to the Vice Provost, Executive Assistant
and Director. Communicate effectively, direct simultaneous activities efficiently, and
possess strong interpersonal, communication, and time management skills.
Essential Functions
Function 1:
Provide administrative support for the Vice Provost Executive Assistant and Provide
support to Director of International programs with Asia special programs, special
events, activities of the Center for Global Academic Initiatives (CGAI), including
Commencement Ceremonies.
30 % Time
Function 2:
Responsible for daily administrative duties, such as anwering all incoming calls,
assisting visitors, distribute mail for CGAI, keeping log of documents being routed
between CGAI and Deans Office, maintaining key log and preparing annual audit key
report, handles payments, receipts and process deposits daily, and daily upkeep of
suite area.
40 % Time
Function 3:
Maitain the inventory of supplies for the CGAI office. Use Procurement Master Card
to order supplies, register staff for conferences, and other procurement needs. Keep
a procurement log and reconcile it monthly.
10 % Time
Function 4:
Make room reservations on Astra Web Client for room reservations for events, class
and check with CoB Deans Office for room availability.
10 % Time
Function 5:
Plan and coordinate meetings, events and other special activities for CGAI.
10 % Time

Other functions as assigned.
Qualifications
Required Qualifications:
High school graduation or equivalent. 3 years of secretarial experience. Computer
Skills and ability to use standard office equipment. Applicants must include in their

period employed (from month/year to month/year), job title, summary of job duties
and 2)Education: college or college degree, list school name, degree type, major,
graduated or not, and hours completed if not graduated.
Preferred Qualifications:
Advanced knowledge of Chinese language, able to communicate, read and write.
Extensive experience and knowledge of Microsoft suite (Word, Excel, Outlook, and
Publisher). Excellent communication, time management and interpersonal skills.
