THE UNIVERSITY OF TEXAS AT ARLINGTON ADMINISTRATIVE AND PROFESSIONAL (NON-TEACHING) JOB DESCRIPTION TITLE: Executive Assistant to the Dean of Nursing CODE: 0340 FUNCTION: Administrative support to the Dean related to organizational matters, to coordinate the non-academic activities of the unit; daily office management, asset management, contract management, personnel matters, complex level decisions, exercising initiative and independent judgment and supervision of Dean's office staff. DUTIES AND RESPONSIBILITIES: Function 1: Relieves senior leadership of a wide variety of internal administrative duties, which require a thorough understanding of the functions, programs and policies of the University; interprets administrative decisions and policies. Function 1 Percent Time: 10.00 % Function 2: Manages the day-to-day operations for the College of Nursing. Functions as the operations manager for the College. Function 2 Percent Time: 25.00 % Function 3: Maintains personnel records including faculty and staff recruitment records, appointments, change of status, special leave requests, and performance evaluations, key request, staff badges, recognition awards. Function 3 Percent Time: 10.00 % Function 4: Maintains prospective and current faculty files; ensures that RN licenses are current. Coordinates the centralized staff and faculty hiring process. Coordinates and arranges prospective faculty interviews, travel, accommodations, etc. Coordinates faculty/staff computer technology needs and responsible for asset management/inventory control systems. Function 4 Percent Time: 20.00 % Function 5: Serves as administrative liaison with other departments on campus and outside organizations and agencies concerning administrative policies, procedures, and practices. Function 5 Percent Time: 5.00 % Function 6: Coordinate process clinical affiliation agreements between the College of Nursing and over 200 agencies in and out of the State of Texas. Function 6 Percent Time: 15.00 % Function 7: Supervise Dean's office support staff. Completes national surveys as requested, such as AACN, NLN, SREB and SDS Scholarship request. Function 7 Percent Time: 5.00 % Function 8: Represents the College on University committees and in external groups as requested by the Dean. Performs other duties as assigned by the Dean. Function 8 Percent Time: 10.00 % ACCOUNTABILITY REPORTING RELATIONSHIPS REPORTS TO: Dean of Nursing SUPERVISES: Hire Evaluate Discipline Discharge Number of employees supervised (non-students): 2 Number of students supervised: 2 INTERNAL CONTROL: Responsible for the design, execution, and effectiveness of a system of internal controls which provides reasonable assurance that department operations are effective and efficient, department assets are safeguarded, department financial information is reliable, and the department complies with applicable laws, regulations, policies, and procedures. Security Sensitive; criminal background check conducted. REQUIRED QUALIFICATIONS: Bachelor's degree. 3 years of work experience in a managerial/supervisory position in a multi level work environment. Public speaking experience; politically astute and proactive in assessing problems and issues within a large system. Ability to function in an open door policy environment, with constant interruptions. Proficiency in writing, spelling, business math and grammar. Proficiency with MS Office suite; advance knowledge of personal computer and other standard office equipment.
