The following pages contain the application to lead an AMC Major Excursion. Please complete the form with as
much detail as possible, and attach additional sheets if necessary. Also include a detailed budget/costing sheet
that clearly shows all costs associated with your planned excursion. The trip proposal form and budget are due
two weeks prior to the MEC meeting in which it will be reviewed. Deadlines will be posted on the MEC leader
website (http://snebulos.mit.edu/orgs/amc/) and sent to you on the MEC leader listserv well in advance of the
meeting. The MEC will not accept late proposals unless the chair is notified in advance with a compelling reason.
Incomplete applications will be returned to you and not reviewed until complete, so please make sure to fill in all
applicable sections.
The application was created in a Microsoft Word protected document. To fill in each section click on the check
box and/or on the grey text box and start typing. The boxes will automatically get larger as you fill in text. If you
find that you need a lot of space to explain a section, please say “see additional attachment” and attach a separate
page.
In addition, the following are helpful during the review process, but need only be submitted after your proposal is
accepted:

A completed confidential medical form for the leader and co-leader (after approval is given)
Copies of first aid and CPR certifications for leader and co-leader (before or after approval is given)
A completed application to be a co-leader if the co-leader is new (before proposal is submitted)
We will accept snail mail applications, but electronic forms are preferred. Please save and forward your

Executive summary

description of the trip and the
activities planned.
This trip will involve hiking inside Glacier National Park (GNP) under the auspices of
Glacier Institute (GI), www.glacierinstitute.org, which offers hands-on, field based
experiences in collaboration with GNP. The trip includes 4 day-long courses on various
topics in GNP, led by a GI instructor while hiking on park's trails. GI works with the
AMC leaders to ensure a balance that allows learning while hiking. On the other 2
hiking days GI will send a staff member/naturalist with us who will answer general
questions. GI will provide necessary permits for all hikes.
In West Glacier we will stay for 5 nights at Glacier Institute’s Glacier Park Field Camp
(GPFC). GPFC is in a beautiful location just inside Glacier National Park, ½ mile from
West Glacier on a bluff overlooking the Middle Fork of the Flathead River. We will stay
in rustic cabins (unheated), which have hostel-style twin beds with nightstands and
lamps. There is a separate bathhouse with 4 individual showers and 5 individual toilets.
Other buildings house the kitchen/dining area, the classroom and library. In Many
Glacier we will stay 3 nights at a local motor inn, double occupancy ($122.64 per night
per room; tax incl).
All meals are included in the price. The meals at field camp will be provided and
prepared by Glacier Institute in conjunction with a caterer. The meals are provided at
good cost ($30 per person per day for 3 meals), and previous trips in 2004-2008 found
them very satisfactory. Breakfasts and suppers at Many Glacier (MG) will be eaten in
restaurants. Based on information from local restuarants, we have budgeted $15 pp for
the 3 breakfasts, $30 pp for each of 2 dinners, and $40 pp for dinner at the historic Many
Glacier Hotel that has suberb views. These estimates may be somewhat high since it is
likely that not everyone will order the same meals, but preferable to underestimating.
Bag lunches for the 3 days at MG will be ordered the night before from the motel
restaurant at a cost of $15/person per day. The convenience of this justifies the cost.

The educational component is a significant highlight of this trip. This trip offers fieldbased programs unparalleled on most major excursions. By working with the Glacier
Institute, AMC can offer an approved trip that fits within GNP's regulations. We will
have a specific topic and educator on 4 days; the other 2 days we will have a GI
naturalist along to answer general questions. This is wonderful hiking, with the added
benefit of learning along the trail.

Glacier National Park does not allow the AMC to hike inside the park without using
their one approved outfitter or an approved educational partner. The Glacier Institute is
an approved educational partner. Its mission is similar to the AMC's and they welcome

GI : 25% deposit due when trip has enough participants signed up; full payment due 30
days before program start and is not refundable after that date. Inn requires one night's
fee to hold rooms; will refund all but a service charge of $15 per room if we cancel more
than 3 days prior to arrival. Car rentals are being held with a credit card; no deposit
required. Airline tickets will be individually purchased by participants.
Particiapants may cancel and receive a refund up to 3 months before the start of the trip,
April 11, 2009, subject to the conditions decribed below in the cancellation policy.
$500 deposit due within 2 weeks from acceptance in the trip to hold place. Full amount
due 3 months before the start of the trip: April 11, 2009.
Refunds will be given to the extent that it will not raise the costs to the other participants.
If the person's spot can be filled, that person may be entitled to up to a full refund of any
costs, less a handling fee of $100. If their spot cannot be filled, a participant who
cancels will receive a refund for any cancellable portion of the trip that will not increase
the costs to the other participants or leaders Participants will be fullly informed of these
policies and conditions in the prospectus, before they commit money. Participants will
purchase airline tickets directly from the airline with their own funds. Thus, refund of
any cost of airline ticket will be determined by airline policy and worked out between the
participant and the airline.
